Then map your data and owners, make the relevant data fit for purpose, establish continuous governance and risk controls, and choose architecture that matches real workloads. Pilot that foundation on a bounded use case before expanding it.
Why AI readiness starts with decisions, not storage
A data lake, warehouse, or cloud migration does not by itself make data suitable for AI. Readiness depends on whether the data is relevant, reliable, documented, accessible to the right people, and permitted for the intended use. The same dataset may be adequate for one decision and unsuitable for another.

Begin by describing the business decision or process the system will support. Identify who will use its output, what action they may take, what happens if the output is wrong, and what constraints apply. Include the expected result in practical terms—such as a faster review or more consistent prioritization—without assuming that an AI system is the right solution before the use case is clear.
NIST’s voluntary AI Risk Management Framework (AI RMF) 1.0 is intended for organizations of different sizes and applies across AI lifecycle activities. It is a useful structure for thinking about risk, not a blanket legal requirement or a prescribed infrastructure plan. NIST says the framework is being revised, so check its live page for current status and version information.

Map the data, access, and accountability you already have
Once the use case is defined, trace the information it depends on. Follow data from source systems through transformations and storage to the people or systems that consume it. A useful inventory is not just a list of databases: it connects data to its meaning, owner, permitted use, and route into the intended workflow.
- Sources and data types: Record the systems involved, whether their data is structured or unstructured, and whether updates arrive in batches or continuously.
- Ownership: Name the business data owner and the steward or team responsible for definitions, quality issues, and change notifications.
- Access paths: Identify who can read, change, export, or combine the data, including the access route used by analytics and AI workloads.
- Sensitive information: Flag personal, confidential, regulated, or otherwise restricted fields, along with applicable privacy, security, and retention requirements.
- Known problems: Note duplicate records, inconsistent definitions, missing fields, inaccessible systems, and data that is copied without a clear owner.
This mapping exposes gaps that a platform purchase will not resolve—for example, two departments using the same label for different measures, or no clear authority to approve access.

Make data fit for the use case
Assess data fitness against the decision you defined, not against an abstract standard of “clean data.” Determine which fields must be accurate, complete, timely, consistent, and representative enough for that use. Then set validation, cleaning, and standardization rules that address those requirements.
Document metadata and provenance: what a field means, where it came from, how it was transformed, when it was refreshed, and what limitations users should know. NIST’s AI RMF 1.0 describes gathering, validating, and cleaning data, as well as documenting metadata and dataset characteristics in relation to objectives and legal and ethical considerations. The goal is to make fitness and limitations visible, rather than to imply that any dataset is universally ready for AI.

Make governance continuous across the AI lifecycle
Governance should specify how data may be accessed and used, who approves exceptions, how privacy and security obligations are handled, how long information is retained, who owns quality, and how incidents are escalated. These rules need to work in daily operations, not only in a project approval document.
NIST’s AI RMF Core organizes risk-management work into four functions: Govern, Map, Measure, and Manage. Govern is cross-cutting: it informs the other functions rather than operating as a one-time gate. The framework calls for risk management throughout the system lifecycle. That makes it a practical lens for assigning responsibilities from planning and development through deployment and monitoring. See the NIST AI RMF Core.

Controls should reflect the actual context. NIST cautions that addressing trustworthiness characteristics individually does not guarantee a trustworthy system: trade-offs are often involved, not every characteristic matters equally in every setting, and priorities vary. For example, a use case that affects access to an important service may require different review and escalation controls from an internal tool that drafts low-risk summaries. The NIST AI RMF FAQs explain this context-dependent approach.

Choose architecture against actual workload requirements
With the use case, data paths, and controls understood, compare architecture options against requirements rather than adopting a fashionable pattern by default. Establish whether the workload needs batch or streaming ingestion, operational or analytical stores, structured or unstructured data support, shared definitions, or cross-system access. Consider how it will coexist with existing systems and who will operate it.
Best Value
- Secure private cloud - Enjoy 100% data ownership and multi-platform access from anywhere
- Easy sharing and syncing - Safely access and share files and media from anywhere, and keep clients, colleagues and collaborators on the same page

- 2-Year Warranty - Reliable hardware backed by Synology's expert customer support team and ongoing software updates
When evaluating candidates, compare the following dimensions:
- Fit with existing systems and the effort needed to connect them.
- Support for the required data types and workload patterns.
- Access controls and governance mechanisms, including metadata, lineage, and quality capabilities.
- Interoperability and the practical ability to move or use data across systems.
- Security and privacy requirements, plus the staff needed to maintain the design.
- Performance and reliability measured against the use case, and total cost under expected usage.
Architecture patterns are choices, not guarantees. AWS describes scalable data lakes, purpose-built analytics, unified access, and governance in its Prescriptive Guidance. Microsoft describes a unified platform using virtualization and selective replication in its guidance on data mesh and data marketplace architecture. Google Cloud describes governance across the data lifecycle in its overview of data governance. These are each vendors’ descriptions of approaches and capabilities, not independent comparative performance evidence or a universal recommendation.
Pilot, measure, and expand deliberately
Test the foundation with one bounded workload that represents a real need but has manageable consequences. Set success and stop criteria before implementation so the pilot can reveal whether the data and operating model are adequate, not merely whether a model can produce an output.
The Tool Desk
Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →- Choose the workload: Define its users, decision, data sources, permitted use, and what an error could mean.
- Set evaluation criteria: Specify acceptable data quality, access-control behavior, reliability, latency, maintainability, and cost for this workload.
- Run it through the intended controls: Test the actual access paths, documentation, approvals, and incident escalation—not just a prototype with unusually broad permissions.
- Review results and changes: Record failures, operational burden, and whether sources or requirements need to change. Revisit governance when the data or system changes.
- Expand only where evidence supports it: Reuse working definitions and controls where appropriate, while assessing new use cases and risks on their own terms.
This sequence is a practical way to apply lifecycle risk management and architecture guidance; NIST does not mandate this exact project order. A pilot that exposes data ownership or quality problems is useful evidence about the foundation, even if it does not justify scaling the AI workload.
