Before installing an AI prompt manager, inspect its live browser permissions and privacy policy. Determine whether prompts stay in your browser or are copied to a vendor’s servers; what account, analytics, technical, and error data is collected; which websites the extension can access; what actions publish or upload content; and how export, deletion, retention, and security are handled.
These documents are vendor disclosures, not independent proof that the software behaves exactly as described. Recheck the permission dialog, policy date, and extension version when you install.

Start with the data flow, not the feature list
A prompt manager is usually a browser extension that stores reusable instructions and inserts a selected prompt into an AI chat box. That simple workflow can involve several separate data flows: local browser storage, account authentication, cloud synchronization, page access, analytics, error reporting, and optional public sharing.

A local-first design can keep the core library in the browser profile, while a sync-enabled design can transmit prompt text, workflows, and account data to a hosted service. A product may also combine both approaches, storing prompts locally until you enable an account or synchronization feature.

Build a data inventory
Look for an explicit list of every category the extension handles:
- Prompt text, titles, folders, tags, variables, and workflow definitions.
- Account details such as an email address, username, password-derived data, or authentication tokens.
- Usage analytics, feature clicks, device or browser information, IP addresses, and diagnostic events.
- Error logs, crash reports, and support conversations.
- Selected page text or other context that you deliberately save as a prompt.
- Chat content, page history, cookies, or credentials, if the policy says any are read or transmitted.
Do not treat a statement such as “we collect no personal data” as an answer unless the policy defines what the provider considers personal data and explains each feature path.
Check whether prompts remain local or leave the browser
Local-first storage
Open Prompt Manager’s policy says its prompt library and settings remain in the browser profile for core use. It says no account, email address, or sign-in is required for that local library. The policy also states that the library is not synchronized through the browser’s profile sync; moving prompts to another device requires export and import.
This limits a provider’s routine access to the library, but it does not make the prompts automatically confidential. Anyone who can access the browser profile, a synchronized computer account, a backup, or an unlocked device may still be able to reach local data. Review browser-profile access and device security separately.
Cloud or account synchronization
ContextNode describes local extension storage with optional cloud synchronization. When cloud or account features are enabled, prompt, workflow, and account data are sent to its application programming interface over HTTPS and stored by the hosted service. Its policy describes retention for operational, service, and legal purposes but does not provide a fixed number of days in the reviewed text.

PromptManager.ca’s July 2025 policy describes account details, saved prompt data, anonymized analytics, technical information, error logs, synchronization, backups, and cloud servers in the United States. That is a materially different data flow from a local-only library. Confirm the policy’s current effective date and whether the extension still uses the same service.
Use the feature path as your test
Do not rely on a broad “privacy-first” label. Ask what happens when you:
Recommended Free Tools
- Create a prompt while signed out.
- Sign in or enable synchronization.
- Edit or delete a prompt.
- Use an import, backup, or workflow feature.
- Switch browsers or devices.
The answer should identify which copy is local, which copy is hosted, and whether disabling sync removes an existing server-side copy or merely stops future uploads.
Inspect extension permissions and page interaction
Why website access matters
To insert a prompt, an extension may need to find the input field on an AI chat website. That can require permission to run on selected sites. The important distinctions are whether access is optional, whether it is limited to enabled sites, and whether you can revoke it.
Open Prompt Manager says site access is optional, can be granted for enabled sites, and can be revoked. Its policy says it looks for the chat input on those enabled sites to insert a prompt, but does not upload page content, chat history, or cookies. Verify that the current permission screen and policy still say the same thing.

Questions to answer in the browser permission dialog
- Does the extension request access to all websites, specific domains, or only when you click it?
- Can you enable access one site at a time?
- Does the permission cover reading page content, changing page content, accessing cookies, or merely interacting with an input?
- Can access be revoked later through the browser’s extension settings?
- Does a new website become enabled automatically after an update?
If the extension requests broad access but the product only needs a few chat domains, install it with the narrowest available scope and add sites deliberately.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsSeparate insertion from collection
Permission to interact with a page does not by itself prove that page text is uploaded. Conversely, a policy promise not to upload chat history does not remove the need to inspect permissions. Treat the technical permission and the data-use statement as two separate checks.
Understand importing, catalogs, and public sharing
Importing a catalog prompt
Open Prompt Manager describes importing as copying a selected catalog prompt into your local library. Once copied, the prompt is subject to the same local-storage considerations as your other entries. Review it before pasting: community entries are unverified and may contain inaccurate instructions, hidden requests to disclose information, or unsafe text.
Sharing a prompt
The same policy says that sharing publishes the selected prompt under a public handle. Treat the action as publication, not private synchronization. Never include passwords, API keys, confidential business instructions, customer information, personal identifiers, or proprietary source material in a prompt you plan to share.
Check whether sharing is opt-in, what identifier is displayed, whether the prompt can be unpublished, and whether cached or copied versions may remain elsewhere. Open Prompt Manager says public submissions can be unpublished, but you should confirm the current control before relying on it.

Audit export, deletion, uninstall, and retention
Local-library controls
A useful local-first policy should explain how to export prompts in a usable format, delete individual entries, clear the complete library, and remove data when the extension is uninstalled. Open Prompt Manager describes local export and deletion and says profile removal occurs on uninstall. Test these controls with a non-sensitive sample before storing valuable material.
- Create a disposable test prompt.
- Export it and open the resulting file to see exactly what fields are included.
- Delete the prompt inside the extension.
- Uninstall the extension, then check whether the browser profile still contains an accessible copy.
- If you used sharing, verify that the public entry is actually unpublished.
Cloud-retention questions
For a synchronized service, look for a concrete deletion process covering the live database, backups, account records, logs, and public copies. ContextNode describes keeping data as long as needed for listed operational or legal purposes, but the reviewed policy does not state a fixed deletion period. PromptManager.ca’s reviewed policy describes backups without giving a fixed retention timeline.
Ask support, in writing if necessary:
- What event starts the deletion clock?
- Are backups deleted on the same schedule as production data?
- Does closing an account delete prompts, workflow data, analytics, and error logs?
- Are public or shared prompts handled separately?
- Can an administrator recover data after a user deletes it?
Evaluate security claims without over-trusting them
Policies and store listings describe intended practices; they do not independently verify implementation. Look for specific information about encryption in transit and at rest, access controls, authentication, key management, employee access, vulnerability handling, incident notification, and audit scope.
Generic wording such as “secure,” “enterprise-grade,” or “industry-standard encryption” is not enough to establish how prompts are protected. Ask whether an independent assessment exists, what systems it covers, when it was performed, and whether the current extension version is included. The reviewed sources do not establish independent security audits for each named product.
Free tools Windows power users keep installed
One-click scans. No signup required.
Also check for mismatch risk. An extension may change permissions, add analytics, or introduce synchronization in a later release. Compare the installed version with the policy and store listing, and review update notes when available. Open Prompt Manager’s listing reports version 3.0.6, updated September 15, 2026. Prompt Manager’s listing reports version 0.0.5, updated June 22, 2023; that older date is a reason to verify maintenance status rather than evidence of safety or danger.

A practical pre-install checklist
Use this sequence before allowing an extension into a work or personal browser:
- Record the version and policy date. Save the listing version, update date, privacy-policy effective date, and developer identity.
- Read the permission dialog. Reject installation if the requested scope is broader than the feature requires or cannot be narrowed.
- Map every data category. Confirm treatment of prompt text, titles, tags, account details, analytics, technical data, logs, page text, cookies, and chat content.
- Identify storage locations. Determine what stays in the browser, what goes to a vendor, where hosted copies reside, and whether an account is required.
- Test controls with dummy data. Try export, deletion, synchronization, sharing, unpublishing, and uninstall before using confidential prompts.
- Check retention language. Look for timelines and separate treatment of backups, logs, account records, and public entries.
- Assess security evidence. Look for named controls and independent assessment details instead of relying on slogans.
- Recheck after updates. Permissions and policies can change; review them again when the extension gains sync, catalog, or AI-context features.
For workplace or regulated use
Have your organization’s security or privacy owner review the extension before employees install it. Google’s enterprise guidance recommends examining data collection, purpose, processing limits, retention, encryption, storage, and enterprise controls before introducing a generative-AI capability.
Define an approved prompt classification. Public, generic writing prompts may be acceptable in a local library; prompts containing customer data, source code, credentials, regulated records, or internal strategy may require a managed alternative or a prohibition on synchronization and sharing. Browser policies governing a browser vendor’s own generative-AI features should not be assumed to control third-party extensions.
Common mistakes and safer alternatives
Assuming local means risk-free
A local library can still be exposed through an unlocked device, a compromised browser profile, malware, backups, or an overly broad page permission. Protect the device and limit extension access.
Enabling sync for convenience without reviewing contents
Synchronization may copy every existing prompt, including old secrets or confidential notes. Review and clean the library before enabling it, and confirm how to remove hosted copies later.
Publishing a prompt that contains hidden secrets
Prompt templates often contain embedded tokens, internal URLs, names, or system instructions. Read the complete text and variables before using a catalog or sharing feature.
Confusing a policy with verification
A policy explains what the provider says it does. It does not replace permission review, configuration testing, contractual controls, or an independent audit.
