AI Meeting Assistants Are Here. Quality Control Must Catch Up.

AI meeting assistants can produce useful transcripts and recaps, but errors in names, numbers, speaker labels, or action items can change the record. Here’s what to review and how to assess vendor benchmark claims.

AI meeting assistants can turn conversations into transcripts, summaries, action items, and recaps. But a fluent recap is not automatically a reliable record: errors in the transcript—especially names, numbers, technical terms, or speaker attribution—can carry through into what the summary says. Treat generated notes as a draft, and verify consequential decisions and commitments against the transcript, recording, or meeting participants.

Why quality control has to cover both transcript and recap

A meeting summary depends in part on the transcript or transcription that feeds it. If a system mishears a name, number, date, negation, or domain-specific term, the recap may repeat the error or build a misleading conclusion on it. Misattributed speech can also make it appear that the wrong person made a commitment.

Transcript quality and summary quality are related but distinct. A transcript can be mostly accurate yet still miss one critical qualifier; a concise recap can read clearly while omitting an owner or turning a tentative suggestion into an agreed action. Useful evaluation therefore looks beyond a single “accuracy” score to word errors, recognition of rare terms, speaker labels, completeness, factual accuracy, action-item fidelity, entity recognition, clarity, and unsupported additions.

What to check before using an AI-generated recap

Inspect the transcript for high-impact errors

  • Names and entities: Check people, customers, products, projects, and organizations, particularly when they are unfamiliar to the system.
  • Numbers and dates: Verify amounts, measurements, deadlines, version numbers, and any digits that could change a decision.
  • Terms and negations: Review technical vocabulary and words such as “not,” “unless,” or “延期” where a small recognition error can reverse the meaning.
  • Speaker attribution and overlap: Check who said what, especially when people interrupt, speak simultaneously, or join remotely.

These checks are not interchangeable. Zoom’s 2025 AI Performance Report, for example, describes separate measures for word error rates, rare-word recognition, and speaker-label accuracy rather than relying on one aggregate label. Zoom AI Performance Report 2025

Compare the recap with the source conversation

For decisions or commitments that matter, compare the summary with the transcript or recording, or confirm with participants. Check that decisions include their important conditions, that an owner actually accepted the task, and that deadlines and action items match what was agreed. Watch for omissions as well as invented details: a polished summary may leave out a caveat or present an inference as a commitment.

Assign a human reviewer for consequential use

Make a person responsible for reviewing high-impact claims before notes are used to assign work, communicate commitments, or inform important decisions. This is a practical application of general AI risk guidance, not a product-specific tested protocol. NIST’s Generative AI Profile defines confabulation as “the production of confidently stated but erroneous or false content” that may mislead users. It also discusses privacy and human-AI configuration risks, including over-reliance. NIST AI 600-1, Generative Artificial Intelligence Profile

How to interpret vendor benchmark claims

Vendor comparisons can help identify what a provider chose to measure, but their results are not universal rankings. Ask who commissioned the evaluation, which products and versions were included, what settings and meeting conditions were used, which languages were tested, and how the outputs were judged. A result from one setup may not predict performance with another device, accent, noisy room, overlapping speakers, specialized vocabulary, or workflow.

Zoom says it commissioned a 2025 evaluation of Google Meet, Microsoft Teams, Otter.ai, and Zoom. For selected transcription and caption tests, it assessed English, Spanish, French, and Japanese; its meeting-summary testing was English-only. The report says each scenario was run five times and summaries used platform default settings. Its setup included a MacBook Pro M1 (2020) running macOS Sequoia 15.4.1, Zoom 6.4.6, a specified Microsoft Teams version, Chrome 136 for Meet and Otter, virtual audio routing, and simulated multi-participant playback. These details define the scope of the reported comparison, not a guarantee about another organization’s meetings. Zoom’s report and findings

In that report, Zoom says it had the best word-error-rate results in the tested real-meeting scenarios and strong results in rare-word recognition, captions, and several translated-caption comparisons. For summaries, Zoom says Microsoft was slightly higher in overall comprehensiveness, while Zoom performed well on action-item detection and entity recognition. These are findings reported by the vendor that commissioned the evaluation, not an independent or universal ranking. The report’s comparative charts do not establish a general percentage that can be applied to every assistant or meeting.

Include workflow, privacy, and access in quality governance

Quality is not only a question of model output. Meeting records can include sensitive personal or organizational information, so decide who may enable recording or transcription, who can access the resulting notes, how long they are retained, and how calendar or meeting access is controlled. Make sure attendees and administrators understand the applicable settings and policies.

Product workflows can make those controls especially important. Otter says its service can automatically join through connected Google or Microsoft calendars and create notes, action items, and summaries for Zoom meetings. That describes a workflow, not independent evidence of output quality; organizations should deliberately configure and understand any automatic meeting access. Otter’s Zoom workflow description

Recap features can also depend on transcription and technical conditions. Microsoft’s Teams Intelligent Recap documentation says some chapters may fail to generate because of transcription quality or technical issues. Microsoft Support says meeting audio recap requires transcription to be enabled and that administrators can manage transcription policies. If a recap is incomplete, check the source transcript and relevant configuration rather than assuming the absence of a chapter means the topic was not discussed. This behavior is specific to the documented Teams features and should not be generalized to every assistant. NIST’s AI Risk Management Framework offers voluntary guidance for incorporating trustworthiness considerations into AI design, development, use, and evaluation. Its Generative AI Profile was released July 26, 2024. It can inform an organization’s governance process, but it is not a certification that a specific meeting assistant is accurate or safe. A practical comparison checklist

When evaluating assistants for your own meetings, use consistent conditions and inspect the outputs rather than comparing marketing labels. These dimensions are a practical evaluation frame, not a formal standard.

  • Transcript fidelity: Test names, numbers, domain-specific vocabulary, speaker attribution, and overlapping speech.
  • Summary fidelity: Check factual correctness, completeness, decisions, owners, deadlines, action items, and unsupported additions.
  • Conditions and coverage: Record languages, accents, noise, meeting size, device, application version, settings, and whether the evaluation is live or post-meeting.
  • Workflow and control: Examine user and administrator control of transcription, calendar access, review, retention, and sensitive records.
  • Evidence quality: Identify who commissioned a benchmark, whether its methods and versions are disclosed, and whether results have been independently replicated.
