AI for Fleet Maintenance: What Owners Need to Know

AI can help fleet teams spot possible faults earlier, support diagnosis, and schedule repairs, but its value depends on data quality, human review, and fit with maintenance workflows.

AI is moving fleet maintenance beyond fixed service intervals and reactive repairs by using vehicle data to flag possible problems, support diagnosis, and help plan shop work. It can give a team earlier warning, but it does not make maintenance decisions on its own: results depend on compatible data, useful alerts, technician review, and a workflow that turns findings into action.

What AI changes in a fleet maintenance workflow

Conventional preventive maintenance relies heavily on mileage, engine hours, calendar intervals, and known service needs. AI-based systems add another input: patterns in vehicle-condition and telematics data. They may identify a developing fault before a conventional warning appears, help a technician narrow down likely causes, or make maintenance information easier to use across a fleet.

A typical workflow connects telematics or vehicle-health signals with service history and work orders. Software analyzes the incoming data, then surfaces an anomaly, a predicted issue, or repair guidance. A manager or technician reviews the information and decides whether to inspect, repair, or keep monitoring the vehicle. If work is needed, the team can schedule it around routes, vehicle availability, and shop capacity.

HCLTech describes OBD telematics as a useful source of preventive-maintenance data and a connected platform linking near-real-time telematics with vehicle-condition and predictive-maintenance visibility. That kind of integration can help operations teams see vehicle status alongside maintenance needs, but it is not a substitute for a technician’s assessment.

Three ways AI can support maintenance

Earlier alerts about possible faults

Predictive-maintenance systems look for patterns that may indicate a developing problem. In case studies, vendors report detecting faults before diagnostic trouble codes (DTCs) appeared. An early alert can create time to investigate before the issue becomes a roadside breakdown, but a prediction is a prompt to verify—not proof that a component has failed.

Diagnosis and repair guidance

AI can support the repair process after a problem is identified. A guided-repair tool may help a technician find likely causes or relevant steps using fleet data and accumulated knowledge. This addresses a different bottleneck from prediction: instead of only asking which vehicle needs attention, it can help a shop work out what to do next.

Connecting maintenance with fleet operations

Connected-fleet platforms can bring telematics, vehicle condition, and maintenance information into a broader operational view. That may help managers coordinate shop work with dispatch and vehicle availability. The value depends on whether the information is timely, accurate, and connected to the systems the fleet already uses.

What reported deployments show—and what they do not

Published examples illustrate possible uses, but they are vendor- or agency-specific results, not a reliable forecast for another fleet. Different vehicle types, routes, data quality, maintenance practices, and alert thresholds can change what a system detects and whether an alert is useful.

Example Reported result How to interpret it
CDTA transit-agency pilot The National Academies of Sciences, Engineering, and Medicine reports that the one-year pilot began in October 2021 and covered 22 vehicles. CDTA initially observed alerts for three months without making repairs to assess prediction accuracy; the report says more than 75% of predictions were accurate. After the pilot, the agency selected Preteckt and continued the technology on some vehicles. This is one transit agency’s pilot, not an accuracy estimate for all fleets or vehicle types. National Academies report.
Penske repair and diagnostics deployment Hitachi Digital Services reported in 2025 that its AI-driven guided-repair solution was in use on more than 117,500 Penske lease trucks, while a proactive diagnostics model was used on more than 150,000 vehicles. The vendor also reported 15 minutes saved per repair and more than 90,000 breakdowns prevented annually. These figures describe the vendor’s reported deployment; they are not independently established average savings for other fleets. Hitachi Digital Services case study.
North American long-haul pilot Intangles reported that its pilot for a 100-truck operator detected engine faults in 37% of pilot trucks before DTC codes triggered. The company estimated that one repair strategy could save more than $4,500 in annual diesel costs for a vehicle and reported an 8% fuel-efficiency increase. Its fuel estimate used U.S. Department of Energy average retail diesel pricing dated September 11, 2023. Detection and savings are company case-study claims; the fuel estimate is tied to the stated diesel-price basis, not a general savings guarantee. Intangles case studies.
Municipal CNG refuse-vehicle pilot Intangles reported detecting engine faults in 30% of pilot trucks before DTC codes triggered. It estimated $4,200 in repairs, parts, and towing savings during the pilot and reported more than $500 per vehicle per month in savings. These are vendor-reported estimates for the pilot, not a controlled cross-fleet result. Intangles case studies.

Adoption is still uneven

The 2026 State of Sustainable Fleets / STN market brief reports that respondents estimated 20% of their fleets were AI-enabled as of late 2025; 49% said none of their fleet vehicles were AI-enabled. Among respondents who reported AI uses, maintenance diagnostics and preventive maintenance each accounted for 19% of stated uses. These are survey respondents’ estimates and reported use cases, not a census of all fleets. State of Sustainable Fleets.

How to evaluate an AI maintenance pilot

Start with a defined maintenance problem rather than buying a prediction feature for its own sake. A pilot should test whether the system improves a decision or outcome the fleet cares about, using a comparison period or group where practical.

  1. Check vehicle and data compatibility. Confirm coverage for the fleet’s vehicle makes, engines, model years, connectors, and telematics sources, especially if the fleet is mixed. Identify whether service history and work orders can be integrated.
  2. Clarify what the system actually does. Distinguish a fault report from a prediction, and a prediction from technician-ready diagnostic guidance. Ask what inputs drive each alert and how the system handles missing or inconsistent data.
  3. Set a human review path. Decide who receives alerts, who validates them, how a finding becomes a work order, and who owns the repair decision. A useful system should fit technician, shop, and dispatch processes rather than creating a parallel queue no one monitors.
  4. Measure operational outcomes. Track alert precision and false alarms, time to diagnose and repair, unplanned downtime, repeat repairs, labor and parts costs, and vehicle availability. Define the measurement window and baseline before the pilot begins.
  5. Review evidence and operating effort. Ask vendors for results that match the fleet’s vehicle types and use case, and distinguish measured deployment outcomes from estimates. Include setup, integration, training, ongoing support, and the staff time required to act on alerts.

Where AI fits—and where it does not

AI maintenance is best treated as decision support layered onto a sound maintenance operation. It can help surface patterns, direct attention, and organize information, while technicians remain responsible for confirming faults and carrying out safe repairs. A system that generates frequent low-value alerts or cannot connect findings to work orders may add workload without reducing downtime.

Hardware is only one part of the setup. A compatible OBD-II GPS fleet-tracking device with diagnostics may provide useful data for some light-duty vehicles, but it is not itself an AI maintenance platform. Commercial trucks may use different connectors or protocols, so check compatibility before choosing equipment. More broadly, fleets may need predictive-maintenance software, AI-guided diagnostics, and connected-fleet integration to support the full workflow.
