Gemini and Copilot can use email content to help answer questions, summarize messages, or draft text—but their access and privacy terms depend on the exact product and account. Google’s statements about Gemini in personal Gmail are not interchangeable with Workspace administrator controls; Microsoft 365 Copilot and Copilot Chat in Outlook have their own permission and history rules. To compare them fairly, check what account is signed in, which mailbox and connected sources are available, what the provider says is processed or retained, and which controls an administrator has enabled.
First identify which assistant and account you mean
“AI in email” can describe different product surfaces. Google’s published privacy statement here concerns Gemini in Gmail for personal email; Workspace controls concern managed organizational data. Microsoft’s documentation covers Microsoft 365 Copilot’s use of organizational content and a separate Outlook experience for shared or delegated mailboxes. Account type, license, administrator settings, and rollout can change what is available.

What each provider says about email data
| Product surface | Access and processing | Training and retention statements |
|---|---|---|
| Gemini in personal Gmail | Google says access granted to Gemini in Gmail is for isolated tasks, such as summarizing a lengthy email, and that Gemini processes information to complete the request. | Google’s April 7, 2026 post says it does not train foundational AI models, including Gemini, on personal emails, and says Gemini does not retain the data afterward. These statements apply to Gemini in Gmail as described in that post, not every Gemini app or integration. |
| Gemini with Google Workspace data | Google says Gemini has the same access to Workspace data as the user, with administrator restrictions and content controls shaping what it can reach. | Google says Workspace data is not used to train or improve underlying models outside Workspace without permission. The cited Workspace materials do not make the personal-Gmail request-specific retention statement a universal Workspace retention rule. |
| Microsoft 365 Copilot | Microsoft says Copilot accesses organizational context through Microsoft Graph and surfaces only data the user has at least view permission to access. | Microsoft says prompts, responses, and Graph-accessed data are not used to train foundation LLMs. It also says prompts and responses are stored in line with the organization’s Microsoft 365 contractual commitments; activity history may be managed or retained through applicable Microsoft account or Purview controls. |
Google’s personal-Gmail statement is not a blanket claim about other Gemini products. Likewise, Microsoft’s no-training statement should not be read as “nothing is stored”: Microsoft documents storage of Copilot interaction prompts and responses under the organization’s contractual commitments.

Google Workspace
Google says Workspace Gemini has the same access to Workspace data as the user. Administrators can restrict Gemini entirely or restrict access to some or all Workspace data, including Gmail and Drive, while leaving Gemini features available without Workspace-data access. Google’s examples include Drive sharing and information-rights restrictions; its cited Workspace help material says Gemini cannot access delegated Gmail mailbox messages under the described behavior. Users can also manage access within and between apps through smart-feature settings. See Google’s Workspace controls for Gemini access.

Microsoft 365 and shared Outlook mailboxes
Microsoft says Microsoft 365 Copilot uses Microsoft Graph and only surfaces organizational data the user may view. For Copilot Chat in Outlook shared and delegated mailboxes, Microsoft Support states: “Microsoft Copilot Chat respects existing Outlook permissions.” The documentation adds: “What Microsoft Copilot Chat can access and respond to depends on the mailbox and folder permissions granted to the user.” In this experience, conversation history is associated with the user’s primary account; another person using the same shared mailbox does not see that user’s Copilot Chat history. See Microsoft’s shared and delegated mailbox documentation.
Permission inheritance is only as sound as the permissions underneath it. Overshared folders, incorrectly granted mailbox access, or connected sources with broader access can undermine the practical boundary even if the assistant follows the platform’s stated permission model.
What administrators and content owners can control
Google Workspace controls
Google documents permission-aware retrieval, data loss prevention (DLP), information-rights controls, and client-side encryption for sensitive Workspace material. It says client-side-encrypted content is indecipherable to Google and Gemini without customer-controlled keys. That protection depends on the organization having configured and applied the relevant encryption; it is not evidence that every Workspace account uses it.

Google also describes defenses against indirect prompt injection, but these are mitigations rather than a guarantee that malicious instructions embedded in email cannot influence an AI system. Google announced an Admin console AI control center on May 4, 2026, for monitoring AI use and governing AI access and actions across Workspace. The announcement lists Enterprise Standard and Enterprise Plus availability and notes that some settings may appear as “Coming soon.” Check the current edition and rollout status in Google Workspace’s AI control center announcement.
Microsoft 365 controls
Microsoft’s privacy documentation describes data access through Microsoft Graph, user permissions, and organizational controls for Copilot activity history. Applicable Microsoft account or Purview settings may be used to manage, search, or retain that history. Which options apply depends on the organization’s configuration and contractual setup; check with the Microsoft 365 administrator rather than assuming a personal account setting governs organizational Copilot data. Microsoft’s overview is in Data, Privacy, and Security for Microsoft Copilot.
Shared mailboxes, chat isolation, and available actions
Shared-mailbox access and chat-history isolation are distinct questions. Microsoft documents that Outlook Copilot Chat history belongs to the individual user’s primary account, not to everyone who can access the shared mailbox. Its support page lists summarizing and drafting as available for the shared or delegated experience; several direct actions, including sending email and triage operations, are listed as unsupported or coming soon in that documentation. Because these capabilities can change, verify the current Outlook experience before relying on a specific action.

For Google Workspace, the cited help material says Gemini cannot access delegated Gmail messages under the described behavior. That is narrower than a general claim that Gemini cannot access shared organizational information: other Workspace data and access paths are governed by their own permissions and controls.
Can email content manipulate an AI assistant?
Yes, untrusted message content can create risk even when the assistant respects the user’s permissions. Microsoft’s extensibility guidance warns that source content such as email or support tickets can influence an agent, potentially leading to a wrong answer or triggering a custom action. Google also describes prompt-injection defenses, but no mitigation should be treated as making the attack impossible.
Microsoft recommends least privilege, review of access scopes and external data flows, governance of installed agents and connectors, and explicit safeguards for consequential operations such as sending, changing, deleting, or disclosing information. These are deployment recommendations, not proof that a particular organization has implemented them. See Microsoft’s Copilot extensibility security guidance.

How to evaluate the effective data boundary
- Identify the product and account. Record whether this is personal Gmail, managed Google Workspace, Microsoft 365 Copilot, or Copilot Chat in Outlook, and note the organization, license, and rollout state.
- Map the accessible content. Check which mailbox, folders, delegated accounts, Drive files, Graph-connected sources, agents, or connectors are in scope. Confirm that permissions are correct and not broader than intended.
- Review administrator and owner restrictions. Ask whether the assistant can be disabled or limited by data source, and whether sharing rules, DLP, information-rights labels, or customer-controlled encryption are configured for sensitive content.
- Separate processing, training, and retention. Ask what content is processed to answer a request, what the provider says is excluded from model training, whether prompts or answers are stored, and which account or compliance controls govern history and deletion.
- Check actions and safeguards. Distinguish summarizing or drafting from sending, deleting, approving, or changing records. Limit agent scopes and require appropriate review or confirmation before consequential actions.
- Test collaboration boundaries. In a shared or delegated mailbox, verify what the assistant can read and whether its conversation history is tied to each user or shared with mailbox collaborators.
Is Gemini or Copilot safer for email?
The vendor documentation does not establish that one is categorically safer. It consists of provider statements about different product surfaces, not a matched independent security test. A more useful decision is whether the documented controls fit the actual deployment—and whether the organization has configured them correctly.
For a personal Gmail user, Google’s stated no-training and no-retention claims are specifically about Gemini in Gmail in its April 7, 2026 post. For an organization, compare the available administrator controls, permission configuration, activity-history handling, connected agents, and action safeguards for the exact Workspace or Microsoft 365 deployment. In either ecosystem, audit mailbox and content permissions before enabling assistant access.
