Copilot brings drafting, coaching, summaries, and inbox actions to eligible Outlook users, with some supported Outlook apps also allowing connected Gmail, Yahoo, and iCloud accounts. Shortwave is another AI email service to investigate, but the available product information does not establish enough detail to rank it against either platform.
What can each assistant do with email?
| Task | Gemini in Gmail | Copilot in Outlook | Shortwave |
|---|---|---|---|
| Summarize threads | Google describes thread summaries, including more complex summaries. | Microsoft lists email-thread summaries. | Not stated on Shortwave’s official homepage. |
| Find information in email | Google describes asking inbox questions, such as finding confirmation numbers or receipts. | Microsoft describes email triage and chat about organizational and web information; the cited feature page does not establish inbox search as an equivalent feature. | Not stated on Shortwave’s official homepage. |
| Draft or improve messages | Google describes prompted compose and replies, draft polishing, contextual Smart Reply, and using a Google Drive file as a reference. | Microsoft lists prompted drafts using thread and organizational context, plus coaching on tone, sentiment, and clarity. | Not stated on Shortwave’s official homepage. |
| Take inbox actions or manage rules | Not stated on Google’s cited feature page. | Microsoft lists actions such as pin, flag, archive, and delete, as well as creating and managing rules in natural language. | Not stated on Shortwave’s official homepage. |
| Use with other email providers | The documented features are in Gmail. | Microsoft documents connected Gmail, Yahoo, and iCloud accounts in supported Outlook experiences for eligible users; this does not establish that every Copilot feature works with each provider. | Supported providers are not established by Shortwave’s official homepage. |
Feature descriptions are from Google’s “Gemini in Gmail – How to Use AI for Email,” Microsoft Support’s “Frequently asked questions about Copilot in Outlook” and “Sharing Copilot in Outlook,” and Shortwave’s official homepage. A missing detail in this table means it is not established by those cited pages, not necessarily that the product can never do it.

Which assistant fits the email account I already use?
Choose Gemini if Gmail is your main inbox
Gemini’s documented email features are built into Gmail’s compose and inbox workflows. That makes it the clearest fit if you want help understanding a Gmail conversation, locating a detail, or drafting a reply without moving your normal email work to another client.
Choose Copilot if Outlook is your main inbox
Outlook Copilot covers both writing and inbox management: it can help generate or coach a message, summarize a thread, and perform supported triage or rule tasks. It may also suit eligible users who want to use supported connected accounts within Outlook, but treat that as an Outlook integration option—not a guarantee that all Outlook Copilot scenarios transfer to an external mailbox.

Evaluate a third-party service on its own evidence
Shortwave’s homepage presents it as an AI email automation service. That alone is not enough to compare its actual thread handling, writing features, provider support, privacy controls, or limitations with Gemini and Copilot. Before choosing it, check those specifics in current product documentation and account settings rather than assuming it is more capable, private, or accurate.
What determines whether the features are available?
Gmail eligibility varies by plan, language, and platform
Google says Gemini features are available on desktop and mobile for personal and business use. Its product page says personal Gmail access is available with a Google AI or Ultra plan and that Gemini is included with Google Workspace subscription plans. Gmail Help further qualifies feature availability by plan, language, and platform. Check the current eligibility for your account and region; these descriptions do not mean every Gmail user receives every feature.

Outlook eligibility depends on license and mailbox conditions
Microsoft identifies a work Copilot license for some Outlook functions, and availability can vary by subscription, license, and Outlook app. Its documented Outlook scenarios are limited to a user’s primary mailbox; they do not apply to certain archive, group, shared, or delegate mailboxes, and are not supported for mailboxes that are not hosted on Exchange Online. Some encrypted or labeled messages are also unsupported.
Connected accounts have additional Outlook requirements
Microsoft says eligible subscription or work/school Copilot access can be shared with connected Gmail, Yahoo, and iCloud accounts in supported Outlook apps. Connected Experiences must be enabled, and Microsoft says this sharing feature is unavailable in classic Outlook for Windows. These connected-account conditions are separate from the mailbox and feature restrictions above, so check the specific scenario you plan to use.

What do the vendors say about privacy and review?
In a Google post published April 7, 2026, Google stated: “Google does not train its foundational AI models, including Gemini, on your personal emails” and “Gemini in Gmail does not retain your data.” These are Google’s statements about its practices, attributed in the post to Gmail VP of Product Blake Barnes; they are not independent audit findings, and they should not be generalized to every Google AI product.
Microsoft’s Copilot in Outlook FAQ advises: “As with any AI generated content it’s a great tool to get started, but it’s important that you review, edit, and verify anything it creates for you.” For any assistant, check factual details, names, dates, and commitments before sending a generated reply. For a work or school account, also check the terms and settings that apply to your organization.

How should I choose between them?
- Stay with Gmail and want inbox answers, thread summaries, or Gmail-native writing help: start by checking Gemini eligibility for your account.
- Use Outlook and want both writing assistance and inbox actions: check your Copilot license, app, and mailbox eligibility.
- Use a non-Microsoft account but want Copilot in Outlook: confirm that your account and Outlook app meet Microsoft’s connected-account conditions, then verify which functions work for that setup.
- Considering Shortwave or another third-party tool: confirm provider support, specific AI features, privacy terms, and account requirements directly before moving or connecting email.
