Before sharing sensitive information with a chatbot, review three controls separately: whether chats can be used to train models, whether they are saved in chat history, and whether memory or personalization remains active. Turning off one does not necessarily turn off the others—or delete what you already shared. Settings can reduce particular uses, but they do not make a chatbot a confidential channel. Remove unnecessary identifiers and check the provider’s current terms before sending anything sensitive.
What to check before you type
- Confirm the service and account type. Check which app and version you are using, and whether you are signed in with a personal, work, school, or managed account. Available controls and defaults can differ.
- Find the training control. Look for wording such as “improve the model” or “training on conversation activity.” Check whether opting out applies only to future chats and whether it leaves existing chat history intact.
- Review history and deletion separately. A training opt-out is not necessarily a history-off switch or a way to erase saved chats. Find the provider’s chat deletion and activity controls.
- Check memory and personalization. These can shape replies using saved details or recent conversations even when a chat is excluded from training.
- Read the temporary-mode terms. Check how long chats may be retained, whether safety review can occur, whether temporary chats use existing personalization, and whether the mode creates memories.
- Inspect other data paths. Files, voice, screen sharing, connected apps, plugins, and feedback can share or preserve more context than the text in your prompt.
- Redact before sending. Remove names, addresses, account numbers, credentials, customer records, confidential work details, and other identifiers that are not needed to answer your question.

ChatGPT: separate training, history, memory, and Temporary Chat
Turn off model improvement for future conversations
In ChatGPT, open Settings > Data controls and review Improve the model for everyone. OpenAI says that turning this off means new conversations are not used to train its models. Know what Temporary Chat does—and does not do
Temporary Chat does not appear in chat history, create or update memories, or get used to improve OpenAI models while it remains temporary. OpenAI may retain a copy for up to 30 days for safety. Check whether Temporary Chat personalization is enabled: a personalized temporary chat can use existing memories, custom instructions, and plugins. Saving a Temporary Chat converts it into a regular chat. OpenAI also says submitting feedback can make the entire associated conversation eligible for model training even after you have opted out. Check whether this is a managed workspace
OpenAI says Business, Enterprise, Edu, Healthcare workspaces, and API data are not used to improve models by default. Review Keep Activity and auto-delete
Google’s Gemini Apps Privacy Hub says chats and shared material may be saved in Gemini Apps Activity and used to improve services, including training generative AI models, when Keep Activity is on. Understand the retention and review exceptions when activity is off
With Keep Activity off, future chats do not appear in Gemini Apps Activity and are not used to train AI models unless you submit feedback. Google retains chats with your account for 72 hours to respond, process feedback, and protect Google, users, and the public. Temporary Chats have the same 72-hour retention period and are not used to train Google’s AI models.

Some chats may be reviewed by human reviewers for service improvement and safety. Google says reviewer-reviewed chats may be retained for up to three years; deleting activity does not delete chats retained separately after review. Feedback submitted while Keep Activity is off may include relevant chat context and included content; reviewed feedback and associated conversations may also be retained for up to three years. Check connected apps and other Google activity settings
Turning Keep Activity off may disable some connected apps, but does not change other Google settings such as Web & App Activity or Location History. Google says prompts involving connected apps may produce summaries, excerpts, generated media, or inferences from connected sources; when Keep Activity is on, those may be used to improve services. Microsoft Copilot: check the current version and account
Microsoft’s cited privacy-controls page concerns an older Copilot app version and personal Microsoft accounts. It notes that a new app version became available on August 18, 2026, and expressly excludes Microsoft 365 Copilot used with a work or school account. Distinguish training, personalization, and history
For signed-in personal Copilot, Microsoft documents separate controls for Training on conversation activity and Training on voice conversations. Its page says opting out excludes future conversation activity from training, but does not exclude other general product or system improvement, advertising, digital safety, security, or compliance uses. Training opt-out can also coexist with personalization: Copilot may still remember recent conversations to tailor replies.
Microsoft describes other controls for personalization and memory, usage data from Bing, MSN, Edge, and other products, chat-history retention and deletion, and personalized ads. The cited personal-account experience retains conversation history for 18 months and offers deletion of individual items or the full history. Why one privacy toggle is not enough
Privacy controls have different scopes. Training governs whether conversation data is used to improve models; history and deletion govern what is saved to your account; memory and personalization affect how details are used to tailor responses. Temporary modes and activity-off settings may still allow limited retention for safety, service delivery, or feedback. Files, voice, connected apps, and feedback can introduce additional data flows.

There is no useful single “private” ranking based on one toggle. Compare the controls that matter to your use: future model training, saved history, personalization, retention after temporary use, human review, treatment of uploads or feedback, and whether the account is personal or managed.
A safer way to ask a sensitive question
- Describe the issue without names, account numbers, exact addresses, passwords, access tokens, or identifying records.
- Replace details with neutral labels such as “Client A,” “my bank,” or “a city in the Midwest.”
- Share only the excerpt or file content needed for the answer; do not upload a full record when a redacted passage will do.
- Do not submit feedback on a sensitive exchange until you understand whether the conversation itself may be included.
- For confidential work, health, legal, or financial material, use only an account and service whose current terms and organizational rules explicitly support that use.
Settings can limit particular kinds of use; they cannot guarantee that sensitive information will never be retained, reviewed, or processed. If disclosure would cause harm, do not enter it.
