Advanced Printing in Word: Control Pages, Markup, Duplex, and Booklets

Use Word’s print pane to select pages and markup, then configure duplex or booklet printing based on your printer’s capabilities.

In Word, the main print controls are under File > Print. From there you can preview pages, choose what to print, and select options such as color or double-sided output when your printer supports them. For booklet layout and Windows-only advanced settings, use the separate controls described below.

Preview the document and choose pages

In Word for Windows, open File > Print and inspect the preview before sending the job. The preview helps catch layout problems and confirm the pages you intend to print.

  1. Open File > Print.
  2. Open the menu beside Print All Pages and choose Custom Print.
  3. Enter the page numbers or ranges. For example, enter 1-3 to print pages 1 through 3, or 3, 4-6 to print page 3 and pages 4 through 6.
  4. Review the preview, choose the number of copies, and check any color options offered for the selected printer.

Available color choices depend on the printer selected and its driver; the print pane may not expose the same controls for every device. Microsoft’s Word printing instructions describe the print pane and page-selection options.

Choose whether comments and markup appear on paper

Print review material only when you want it included in the paper copy. Comments and other markup can make a working draft easier to review, but a clean final copy may need to omit them.

Find Word’s advanced print settings in Windows

Windows desktop Word has additional controls at File > Options > Advanced. Scroll to the Print section to view them. Print on both sides of the paper

Whether Word can print both sides automatically depends on the selected printer and its driver. Automatic duplexing is simpler when available; manual duplexing can work on printers without it, but you must reload the stack in the correct orientation.

Automatic duplex printing

  1. Open File > Print and look for Print on Both Sides.
  2. If offered, select it. Choose the binding edge if Word or the printer dialog presents a long-edge or short-edge choice.
  3. Print a small test and check that the back side is upright and in the intended order before printing a long document.

Manual duplex printing in Windows

If automatic duplex is unavailable, look for Manually Print on Both Sides. Another option is to print odd-numbered pages first, reload the sheets, then print even-numbered pages. Reload directions differ by printer, so test a few pages to establish which way the stack should face and which edge should enter first. Word’s Advanced options also include a control for whether duplex pages print on the front or back of the sheet when using the odd/even method.

Two-sided printing on Mac

In Word for Mac, open File > Print, then use Copies & Pages > Layout. Choose Two-Sided and select Long-Edge or Short-Edge binding as appropriate. If automatic duplex is not available, use the printer’s manual reload instructions and test the page orientation. See Microsoft’s duplex-printing guidance.

Lay out and print a booklet

Set the booklet layout before printing. Word arranges pages for folding, so page order in the print job may differ from the document’s ordinary sequential view.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Open Layout > Margins > Custom Margins.
  2. Under Multiple pages, choose Book fold. Word changes the page orientation to landscape for the booklet layout.
  3. Increase Gutter to reserve space along the fold for binding.
  4. On the Paper tab, select the sheet size you will use. The finished booklet page is half the sheet size.
  5. Load the chosen paper, then open File > Print. Select duplex printing if the printer supports it; otherwise use the printer’s manual two-sided workflow.
  6. Print a few pages first and check the order, fold, and orientation. For manual duplex, verify how the sheets must be turned before printing the full booklet.

Choose paper size based on the booklet dimensions you want and what your printer can handle. The Microsoft instructions specify choosing the correct paper size and loading that paper; they do not prescribe a particular staple, binding method, or paper brand. See Microsoft’s booklet setup instructions and its booklet printing guidance.

When print controls are missing

Word’s print pane, advanced settings, and printer-driver menus vary by Word version, platform, selected printer, and driver. If you need controls such as print quality, paper tray, or media type, look in the printer’s own dialog or driver. Their location is device-specific; consult the printer manufacturer’s instructions for the exact path. The Windows Advanced options page does not document a universal route for these driver controls.
