What each InDesign save command does
| Command | What it writes | Document left active | Cloud document availability |
|---|---|---|---|
| File > Save | Updates the current document with your changes. | The current document. | Available as part of the cloud-document workflow; cloud documents may autosave, subject to the limitation for large-scale documents. |
| File > Save As | Saves the document under a new name and location. | The newly named document. | Adobe’s guidance describes this command for saving under a new name; cloud-document duplication is handled separately. |
| File > Save a Copy | Creates another file without changing the active document. | The original document. | Unavailable for InDesign cloud documents. |
Adobe’s document-saving guidance describes the commands and their effects. The key distinction is what remains open after the operation: Save As moves you to the newly named file, while Save a Copy leaves you in the source document.

How to choose the right command
- Choose Save when you want to keep working in the same file and record your latest changes.
- Choose Save As when you want a renamed or relocated working file and intend to continue editing that new file.
- Choose Save a Copy when you want a separate snapshot or backup but plan to keep editing the original.
Save, rename, or create a copy: steps
- Open the InDesign document and decide whether you are updating it, moving to a newly named working file, or creating a separate copy.
- For an ordinary update, select File > Save.
- To create a newly named working file, select File > Save As. Choose the destination and filename, then save. Continue editing the newly named document.
- To create a separate copy while keeping the source active, select File > Save a Copy. Choose the destination and filename, then save.
- Before relying on the new version, check its filename and location in the document tab or a file browser.
In the save dialog, check both the destination and filename before confirming. The resulting active-document behavior follows Adobe’s save instructions.
Saving a cloud document
InDesign’s cloud documents are distinct from locally saved INDD files and Creative Cloud-synced files. Adobe says Save a Copy is unavailable for cloud documents. To make another cloud document, Adobe documents Duplicate as a management action in the Your files section; it is not the same as Save a Copy in the File menu. See Adobe’s cloud-document overview and cloud-document management instructions.
#1 Best Overall
Adobe describes cloud documents as accessible across devices and documents autosaving and version history. However, its cloud documents FAQ says autosave is currently disabled for large-scale documents, so do not assume every cloud document is continuously autosaved.
Compatibility and collaboration considerations
Use IDML for compatibility, not as a guaranteed duplicate
Adobe describes IDML as a format that can help with compatibility and troubleshooting, including opening documents in supported earlier InDesign versions. Conversion may not preserve some newer features, so IDML is not a guaranteed lossless substitute for saving a copy of an INDD document. See Adobe’s saving and export guidance.

InCopy-linked documents may need attention
In an InCopy-managed workflow, Save As and Save a Copy can retain links to existing InCopy files. Assignments may then appear missing or out of date until updated. This is a collaboration-specific concern rather than an expected effect for a standalone document; Adobe explains it in its managed files guidance.
Previews, recovery files, and dependable saving
Document previews add file size and save time
Previews can make documents easier to identify, but Adobe notes that they increase file size and saving time. You can enable previews in preferences or set them for an individual document through the Save As or Save a Copy options. Details are in Adobe’s saving documents instructions.
Rank #3
Recovery data is not a backup
InDesign recovery data is temporary and is normally deleted after a document is saved or closed normally. Adobe recommends keeping recovery data on a local drive with adequate space and reliable performance; network locations can slow saving or lead to recovery failures if interrupted. Recovery is not a substitute for deliberately saving your document or creating a separate copy. See Adobe’s recovery data guidance.
