Depending on the product, it can handle vendor records, invoice capture, review and approval, payment configuration or settlement, and updates to accounting records. The term covers several kinds of systems—not every AP product does all of these jobs.
What accounts payable software does
Accounts payable is the business function and recordkeeping for amounts owed to vendors. AP software gives staff a place to track supplier invoices and outgoing expenditures; it may be a dedicated platform or part of a wider accounting or enterprise resource planning (ERP) system. Microsoft’s AP overview describes the function in terms of vendor invoices and expenditures.

In a more automated setup, software can connect several steps from receiving an invoice to recording or paying it. Common capabilities include capturing invoice details, checking them against purchase records, routing them for approval, configuring or executing payments, and synchronizing transactions with accounting records. The exact scope varies by product. Stripe’s AP software guide and Sage’s overview of the AP process describe these broader workflows.
How the AP workflow commonly works
- Receive and capture. An invoice may be entered manually, received electronically, or read from a document so its details can populate invoice fields.
- Validate and match. The system can compare invoice details with a purchase order. Three-way matching also checks a goods receipt. Differences can be flagged for review instead of being treated as routine.
- Route for approval. Rules direct invoices to the appropriate approver. Some systems can automatically approve invoices that meet defined criteria and send others to authorized staff.
- Configure or make payment. Depending on the product, staff may schedule or configure a payment, execute it through the service, or record a payment made elsewhere. Methods and availability vary by system and region.
- Post and reconcile. The transaction may be posted or synchronized to accounting records, where it can support bookkeeping and reconciliation.
These are common stages, not a guarantee that every product handles every step. An invoice-capture tool may stop after reading and entering invoice data; a broader AP platform may also connect approvals, payments, and accounting records.

How AP software differs from related terms
- Accounts payable: the business function and records for amounts owed to suppliers.
- Invoice processing: receiving, reading, validating, and entering invoice information. It is one part of the broader AP workflow.
- AP automation software: software that digitizes or automates steps in that workflow. Its scope can range from invoice capture to connected approvals, payments, and accounting synchronization. Zoho’s guide to AP software describes the category as an end-to-end workflow.
- ERP AP module: AP functionality built into a broader ERP. It can keep work within the system an organization already uses for finance.
- Standalone AP platform: dedicated invoice-to-pay software that works alongside an existing accounting system and typically needs to exchange data with it.
For a practical distinction, ask whether a tool only captures invoices or whether it also supports approval, payment, and accounting handoff. “Automation” describes digitizing work; it does not by itself establish how much of the process a product covers.
What varies between AP systems
Products can differ substantially even when they share the same category label. Check the scope and system fit rather than assuming that a feature is included:

- Accounting fit: a module in the existing ERP or accounting system versus a separate platform that must synchronize with it.
- Matching and exceptions: whether the system supports purchase-order and receipt matching, and how it routes discrepancies to people for review.
- Payment role: whether it configures, schedules, executes, or merely records payments.
- Controls and traceability: approval permissions, exception review, and retention of transaction or approval history.
Automation still needs controls
Automated rules can reduce manual handling, but they do not guarantee that an invoice is accurate or a payment is safe. Microsoft documents workflows that can approve invoices meeting defined criteria and flag others for authorized review. Stripe notes that incomplete matching data can contribute to duplicate payments or elevated invoice exception rates.
