Pair that written context with version control, a plan for conflicts in binary assets, review against the actual game output, limited collaborator access, and an integration build. The tools differ by engine and repository; the practical pattern is to make the change understandable and verifiable before it moves to the next person.
What a useful handoff needs to say
A task tracker does not supply a universal handoff template. The following fields are a practical way to make an engineer-to-artist or artist-to-engineer transfer actionable:
As an Amazon Associate I earn from qualifying purchases.
- Owner: Name the person responsible for the next action and who to contact about a dependency.
- Deliverable and scope: Identify the expected output and the relevant files, assets, scene, or code area. Be clear about what should not be changed.
- Dependencies: Call out required assets, code, decisions, branches, or other work that must be ready first.
- Expected result: Describe how the change should behave or appear in the game, not just what action to take.
- Acceptance check: Tell the receiver what to inspect and what would count as complete, including any relevant game state or build.
For example, “update the character material” leaves scope and success open to interpretation. A more useful handoff identifies the material and dependent assets, describes the intended in-game appearance, notes any required shader or engine dependency, and specifies the scene or build in which the receiver should check it.

Put project code and assets in the team’s version-control workflow rather than relying on a private copy or a file transfer as the only record. Epic says version control lets Unreal teams share assets and code and provides backup and history so files can be rolled back if a change goes wrong: Epic’s Unreal Engine collaboration and version-control documentation.
#1 Best Overall
That history helps collaborators see and recover changes, but it does not decide who may edit a file at the same time or how a handoff is reviewed. Those policies need to match the repository and the assets involved. Unreal’s source-control documentation covers integrations such as Perforce and SVN and recovery features; the available choice depends on the studio’s engine setup and repository: Unreal Engine source control.
Choose a conflict plan for large or binary assets
Code can often be merged as text; many game assets, including Unreal .uasset and .umap files, are not practical to resolve by editing textual differences. Before parallel work begins, make clear whether collaborators can edit the same asset, whether it is locked, and how an asset becomes available to the next person.

One documented Unreal asset workflow
Unity Version Control’s plugin documentation for Unreal describes a task-branch and common-mainline workflow using exclusive checkouts (locks) for the Content directory. Its example sequence is:
Free tools Windows power users keep installed
One-click scans. No signup required.
- Close the Unreal Editor and update the workspace.
- Open the Editor, make the asset changes, and check out the assets so other users cannot simultaneously edit them.
- Submit the changes through the repository workflow.
- When ready for further work, close the Editor and update the workspace again.
This is a tool-specific example, not a rule for every Unreal studio. Check current plugin support and configure the locking and branch policy to fit the repository before adopting it. See Unity Version Control’s Unreal workflow documentation.
Review the change where it will be used
When a deliverable is a visual or interactive change, a detached screenshot may not show whether it works in the game’s actual context. Unity’s production-pipeline material describes reviewing real game renders in context, with feedback linked to the live game view. Use a review method that lets the receiver inspect the result in the relevant scene or game state, and state in the handoff what to inspect and what acceptance means: Unity’s production-pipeline overview.
Unity’s page described its integrations as being in closed beta when crawled, so treat that availability as time-sensitive and verify current access before planning a workflow around it. The general handoff principle—identify the review context and acceptance check—does not depend on that particular product.

Give external collaborators only the access they need
For contractors or other outside collaborators, scope access to the project areas and actions needed for their assignment, then bring their changes back through the repository’s ordinary review and submission process. Unity describes role-based access for outside collaborators in its production-pipeline material, while Perforce describes granular controls for external collaborators. These are vendor descriptions rather than an independent comparison: Unity production pipeline and Perforce game development.
Do these 3 things before closing this tab:

Validate integration before the handoff is considered complete
A change that looks right in isolation may still break the integrated project. Unity DevOps documentation describes build triggers from commits or pull requests as a way to surface problems early. Epic describes Unreal Game Sync as a way for team members to find and use builds marked as working. A studio can use these capabilities to make the next check visible: whether the relevant change has entered a working build, and whether that build passes the team’s acceptance checks.
- Decide which repository event should trigger validation, such as a commit or pull request, where supported.
- Make build status and the build marked as working easy for the next person to find.
- When a build fails, return the handoff to the responsible owner with the failure context rather than treating submission alone as acceptance.
See Unity DevOps build configurations and Epic’s Unreal Game Sync documentation for the documented capabilities. Confirm present-day availability and compatibility for the studio’s versions and setup.
How to choose the workflow for your studio
There is no universally best task tracker or source-control configuration established by these product documents. Compare candidate workflows against the project’s real constraints:
| Decision area | What to check |
|---|---|
| Engine and asset formats | Whether the workflow supports the engine and the project’s large or binary files. |
| Parallel editing | How branching, locks, and conflicts work for the assets and code people actually share. |
| Review | Whether reviewers can inspect the result in a useful game context and connect feedback to the change. |
| Outside collaborators | Whether access can be limited appropriately and their changes returned through normal review. |
| Validation | Whether commits or pull requests can trigger builds and whether teammates can identify a known-working build. |
Epic, Unity, and Perforce documentation describes product capabilities and example workflows, not an independent head-to-head test. Verify current support for the specific engine and tool versions your team uses before changing production process.
Quick Recap
A practical handoff sequence
- Write down the owner, deliverable, file scope, dependencies, expected result, and receiver’s acceptance check.
- Confirm the work is in version control and that collaborators know how to find its history or recover a bad change.
- For shared binary assets, apply the project’s chosen edit, lock, branch, and update policy before anyone starts editing.
- Route the change through the normal review and submission process, using in-context inspection where the work calls for it.
- Run or locate the relevant integration build and verify the acceptance check against that result.
