Give the tool a defined job, work through focused stages, verify its claims, and make the final decisions yourself. That turns one-off prompting into a repeatable workflow without treating generated text as ready to publish.
Start with the assignment, not the chatbot
Before opening a writing tool, write down four things: who the piece is for, why it needs to exist, what the reader should understand or do, and what deliverable you need. A blog post, customer email, memo, FAQ, and presentation script have different constraints even when they cover the same subject.

OpenAI Academy’s April 10, 2026 guidance frames the work as “Plan → Draft → Revise → Package.” In that sequence, planning clarifies the goal, audience, and ask; packaging adapts the finished material to its destination. OpenAI Academy’s writing guidance also recommends treating output as a draft to review, not a final authority.

Give the model the context it needs
A prompt works better as an assignment brief than as a wish. State the purpose, reader, requested format, tone, length or scope, and any non-negotiable constraints. Supply relevant source material, and explain what each file or excerpt is for. If accuracy depends on a source, tell the tool to use that source rather than fill gaps from general knowledge.

For a multi-part task, put the steps in order and distinguish instructions from source text. Anthropic’s long-context guidance recommends organizing long inputs clearly and placing the query after the material it refers to. The aim is to make the job and evidence easy to distinguish, not to make the prompt elaborate.
A practical brief
Reader: [who will use this and what they already know]
Purpose: [what this piece needs to accomplish]
Deliverable: [format and approximate scope]
Sources: [provided material and how to use it]
Constraints: [facts to preserve, exclusions, tone, and format]
Task: First propose an outline. Do not add factual claims that are not supported by the sources.
Replace the bracketed directions with real details before sending the prompt. For longer work, share the source material in a clearly labeled section and put the task after it.
Ask for a defined draft
Use the model for a specific piece of work: an outline, a first-pass draft, a shorter version, a clearer transition, or a set of alternative openings. “Write something good” leaves the reader, purpose, and standards unstated. “Draft a 700-word explainer for first-time renters using only the attached policy and define each technical term” gives the tool a testable target.

AI can help start a blank page or explore options, but the first output is material to work with—not evidence that the argument is sound. If it misses a requirement, make the next request concrete: name what is missing and what a successful revision should do.
Revise in separate passes
Reviewing everything at once makes it harder to notice structural problems beneath sentence-level polish. Move from the largest decisions to the smallest, and check proposed edits rather than accepting them automatically.
- Argument and coverage: Ask whether the main point is clear, the important reader questions are answered, and any claim lacks support.
- Structure and flow: Check whether sections appear in a useful order, transitions make sense, and examples clarify rather than distract.
- Clarity and tone: Look for jargon, vague wording, unnecessary repetition, and a tone that does not fit the intended reader.
- Line edits: Tighten sentences and correct grammar only after the substance and organization are settled.
Google’s Gemini in Google Docs help describes iterative refinement and controls for accepting or rejecting suggestions individually or as a group. Those controls are useful only if you read what changes; an edit that improves fluency can still alter meaning.

Verify facts before publishing
Confident wording is not a reliability signal. NIST’s 2024 Generative AI Profile calls confidently presented erroneous or false generated content “confabulation” and notes that it can matter in open-ended, long-form output. Check factual material against the original evidence rather than asking the same tool to reassure you.
- Confirm names, dates, figures, quotations, and technical details against their original sources.
- Open cited links and make sure they support the specific claim attached to them.
- Check whether a statement has been broadened beyond the source’s region, edition, time period, or conditions.
- Remove or qualify claims that cannot be traced to reliable evidence.
NIST’s report-evaluation paper highlights completeness, accuracy, and traceable citations as important evaluation concerns. A polished draft can still omit a key qualification or attach a plausible-looking citation to the wrong point.
Keep the author’s judgment and voice
A style example can help a tool approximate features such as sentence length or formality, but it cannot decide what the piece should argue or which details deserve emphasis. The writer must choose what to include, what to leave out, and whether the draft says something they actually mean.

Read the draft aloud, then compare it with how you would explain the subject to the intended reader. Replace generic phrasing with precise details, restore important nuance, and remove language that sounds smooth but says little. Academic discussions of generative AI in writing likewise emphasize rigorous scholarship and avoiding overreliance; they do not establish a universal formula for every kind of writing. Package the work for its destination
Once the content is sound, adapt it to where it will appear. A web article needs scannable headings and working links; an email needs a clear subject and next action; a slide needs concise points that can be understood at a glance. Check the format, names, citations, links, and requested action in the final version, then read it once from the reader’s perspective.
Use tool features with their limits in mind
Writing features vary by product, account, and integration. Google documents that Gemini in Docs may use sources such as Drive, Chat, Gmail, or the web and can draw on an existing document’s style and formatting; access depends on eligibility and plan. Its separate editing guidance lists language, desktop, and plan restrictions. Google’s Docs help is the place to check current availability and review controls.

Anthropic describes Claude’s Google Docs integration as a beta that reads the open file and selected content, can edit in place, and offers an “Ask before edits” mode. The integration also has browser, file, and operation limits. Check Anthropic’s current help page before relying on a particular capability.
When choosing a tool or feature, focus on the stage it supports, the documents or sources it can actually access, whether edits are suggestions or direct changes, and how well it fits the place you already work. Official documentation explains product functions; it is not a controlled comparison of writing quality.
