AI can help you get oriented in a long document, compare files, find specific details, and reshape or extract information. Treat it as a first pass, not a substitute for reading: request source locations, check important claims against the original, and confirm the privacy terms for the exact service and account before uploading sensitive material.
What AI document review can do
Document review is broader than asking for a summary. OpenAI’s file-upload guidance groups common tasks into synthesis, transformation, and extraction. Examples include summarizing a complicated paper, comparing two documents, applying a rubric from one file to another, rewriting a short document, finding references to a topic, extracting quotations or metadata, and pulling out headings or bullet lists. These are documented use cases, not guarantees that every answer will be complete or correct. OpenAI’s file-upload documentation describes them.

- Get oriented: Ask for the main argument, recommendations, dates, named parties, exceptions, or open questions.
- Compare: Ask what changed between versions, where two documents agree, or which obligations appear in one but not the other.
- Find: Ask where a document discusses a topic, term, person, or requirement.
- Transform: Turn material into a brief, checklist, outline, or reader-appropriate rewrite.
- Extract: Request specific quotations, metadata, headings, or lists for later checking.
A workflow that keeps the source in view
- Define the job and audience. For example: “Summarize this report for a new project manager who needs to know the decisions and deadlines.”
- Specify the output. Ask for the main claims, recommendations, dates, named parties, exceptions, and unanswered questions in separate sections or a table.
- Request evidence for consequential points. Ask for a page, section, heading, or short supporting passage for each important claim.
- Check the original. Verify figures, proper names, obligations, exclusions, and quotations in context. A citation or highlighted passage helps you navigate to the evidence; it does not establish that the answer interpreted it correctly.
- Run a targeted second pass. Supply a checklist or rubric and ask what the document does or does not satisfy. Make the final judgment yourself.
For PDFs, Adobe says Acrobat AI Assistant can answer questions about PDF content with citations and highlights, and selecting a source number jumps to the relevant section. Adobe also describes PDF Spaces for questions across multiple supported documents. Use those links to inspect the cited passage in context. Choose based on the files you need to review, how many belong in one task, whether answers lead back to their sources, and what privacy controls apply. Vendor feature pages describe capabilities; they are not controlled tests of comparative accuracy.

For any option, review access permissions, file-size and count limits, supported formats, retention, and organizational controls before making it part of a regular process.
What to verify before relying on an answer
Microsoft cautions that Copilot responses can be incomplete or inaccurate and advises users to double-check facts and review citations before acting. Its privacy FAQ puts it plainly: “AI can make mistakes.” That FAQ applies to an older consumer app version and does not apply to Microsoft 365 Copilot signed in with Entra ID. Microsoft’s FAQ sets out that scope.

- Check arithmetic, dates, names, and quoted language against the document.
- Read cited passages with the surrounding context, including footnotes, exceptions, and definitions.
- For contracts, policies, technical specifications, or other consequential material, check every relevant section rather than relying on a summary.
- If the file is incomplete, scanned, or difficult to read, confirm that the assistant had usable access to the parts you asked about.
Check privacy terms before uploading
Privacy claims depend on the service and account context. Check the current retention and model-training terms, tenant or administrator settings, and whether the material is allowed to leave its current system. Share only what the task requires. Do not assume protections described for a business or enterprise service apply to a consumer account, or vice versa.
Microsoft’s consumer upload page says uploaded files are stored securely for no longer than 18 months and are not used to train models. That statement belongs to the consumer upload page; it should not be generalized to every Microsoft product or account. Microsoft’s consumer upload terms provide the details. The older consumer privacy FAQ explicitly excludes Microsoft 365 Copilot signed in with Entra ID. For enterprise Copilot Chat, Microsoft separately says enterprise data protection excludes prompts and responses from foundation-model training and uploaded files are stored in a user’s OneDrive for Business; controls vary by subscription. Microsoft’s enterprise FAQ describes that scope.

OpenAI’s security page lists SOC 2 Type 2 examination coverage for controls relevant to its API and ChatGPT business services, as well as certifications for specifically named business services. Those statements do not replace checking the terms for a particular consumer account or upload. OpenAI’s security and privacy information identifies the services covered.
