Choose the tool by the job

Use Power Query when the data preparation is the repetitive part
Power Query connects to data sources, transforms and combines data, then loads the result to a worksheet or the Data Model. It is the more suitable starting point when the same cleanup or merge has to be repeated as source data changes. Instead of rebuilding those preparation steps for each report, you can refresh the query-based workflow.

That does not make Power Query a PivotTable with a different name. Its job is to prepare data. After the data is loaded, you may still need the Data Model, a PivotTable, a PivotChart, or another presentation choice to answer questions about it.
Add the Data Model and Power Pivot for multi-table analysis
When analysis depends on relationships between tables or calculations you want to reuse, use Excel’s Data Model and Power Pivot. Power Pivot adds modeling capabilities including relationships, DAX calculations, KPIs, and hierarchies. A typical workflow is to use Power Query to shape and load sources, model related data in the Data Model, and report from that model with a PivotTable or PivotChart.

This arrangement is useful when the question is not just “How do I summarize this list?” but “How do these related tables fit together, and how can I reuse this calculation?” The tools are complementary: Power Query handles preparation, Power Pivot handles modeling, and PivotTables can remain the reporting interface.
Keep PivotTables for quick summaries and exploration
PivotTables remain a practical choice for interactive summarizing, aggregating, filtering, grouping, and drilling into data. If a source is already clean and a one-off or flexible summary is the goal, replacing the PivotTable may add steps without solving a real problem. PivotCharts can present the same summarized data visually.

For worksheet data, organize the source as a list: use labels in the first row, keep each column’s data type consistent, and avoid blank rows or columns inside the range. An Excel Table is convenient because refreshing the PivotTable can include new and updated rows. For other source types, check how updates are brought into the report and refresh when needed.

Feature availability is not identical across Excel editions. Microsoft describes the full Power Query and Power Pivot feature set for Excel for Windows with Microsoft 365 Apps for enterprise. Excel for Mac has some Power Query support and many basic analysis features, but differs from Windows. Capabilities also depend on version and subscription, so confirm your specific setup before relying on a Windows-only instruction or modeling feature. Connect Excel to a Power BI model when the shared model is the source
If your organization maintains a Power BI semantic model, Excel can connect to it for analysis rather than requiring you to recreate the model locally. Microsoft documents Analyze in Excel and supported connected-table workflows; these require appropriate access and compatible licensing or configuration. Excel analysis can still use PivotTables, so this is a route to a shared governed data source—not a reason PivotTables disappear. One documented live-connected summarized-data export route is capped at 500,000 rows; do not treat that figure as a universal Excel worksheet or PivotTable ceiling. A practical way to decide
- If you keep repeating import, cleanup, or merge steps, start with Power Query.
- If your analysis relies on relationships or reusable calculations across tables, use the Data Model and Power Pivot where your Excel edition supports them.
- If you need a quick interactive summary of suitable tabular data, a PivotTable is still a good fit.
- If the approved source is an organizational Power BI semantic model, connect Excel to it when you have the required access and configuration.
