Use customer data with an AI tool only through a workflow your organization has approved for that type of information. Before entering anything, minimize or remove identifying details, check how the service and its connected systems handle the data, and make sure the purpose, retention, access, and sharing are understood. For UK organizations, assess and document whether the proposed processing requires a data protection impact assessment (DPIA).
Can I paste customer information into an AI tool at work?
Only if your organization has approved that tool and workflow for the specific data and task. A tool being easy to access—or described as secure by its provider—does not by itself establish that it is suitable for customer information. Ask your manager or privacy or security team if approval is unclear; do not test an unapproved service with real customer data.
The right safeguards depend on what the AI system does, what information it receives, the suppliers and integrations involved, and how the organization uses its output. The UK Information Commissioner’s Office (ICO) puts it plainly: “There is no ‘one-size-fits-all’ approach to security.” Its guidance is specific to UK data-protection considerations, not a universal rule for every country. How to protect customer data when using AI tools at work
- Check approval before use. Confirm that the organization has approved the AI service, the relevant feature or integration, and the data category for this task. If the answer is uncertain, pause and ask the appropriate internal contact.
- Define the task and its purpose. Be specific about what the AI should help accomplish. Do not use customer information for a different purpose simply because it is available or convenient.
- Send only what the task needs. Remove fields and details that are not necessary. Consider whether a summary, redacted extract, synthetic example, or less detailed information can produce a useful result.
- Check the complete data flow. Find out what the service does with submitted information, how long it retains it, who can access it, and whether it is shared with or processed by other providers. Include connected storage, plugins, integrations, and organizational workflows in the review.
- Confirm oversight and document the decision. Make sure the responsible business owner and relevant privacy or security specialists have assessed the use case. Record the purpose, information involved, safeguards, and any required risk assessment.
- Provide appropriate privacy information. Check that applicable notices explain the processing purpose, retention period, and recipients or sharing, and that they are provided at the right time.
Minimize information before entering a prompt
Start with the least identifying version of the information that can still answer the question. For example, a request to draft a response to a complaint may not need a customer’s name, email address, account number, or full case history. Use a short, redacted summary if that is enough for the task.

Removing direct identifiers can reduce exposure, but replacing a name with a code or initials is usually pseudonymisation, not anonymisation: someone may still be able to identify the person by combining details or consulting other records. Do not treat pseudonymised information as anonymous or as automatically safe to share. If the task needs the original details, use only an approved workflow with suitable safeguards.
Review the tool, its suppliers, and connected systems
Assess the whole service chain rather than looking only at the prompt box. AI systems may depend on third-party code and interconnected components, and an organization’s own integrations or access settings can affect where data goes and who can see it. Before a use case is approved, establish what the service does with submitted data, including its retention and any model-training use; who within the organization and among service providers can access it; what other systems receive it through integrations; and whether the available controls fit the data’s sensitivity and the task. Do not assume that a setting, contract term, or provider claim answers every question about the organization’s complete workflow.
Set the purpose, transparency, and retention
People should receive appropriate information about how their personal data is used. The ICO identifies processing purposes, retention periods, and recipients as core transparency information. Its UK guidance says that when data is collected directly, this information should be provided at collection and before the data is used to train a model or apply a model to those individuals. Internally, record why the AI use is needed, which data it uses, how long the data is kept, and who receives or can access it. If the purpose, retention, or sharing cannot be explained clearly, resolve that before sending customer data.
When to involve privacy, security, or legal specialists
Escalate before use if information is sensitive, the proposed use affects many people, the data flow is unclear, or the output may materially affect customers. Involve the people responsible for privacy, security, and legal review as appropriate; AI risk is an organizational accountability issue, not solely a technical-team task.

For processing subject to UK data-protection law, assess the proposed use case to determine whether it is likely to result in high risk and whether a DPIA is required. Document the reasoning, including when the organization concludes a DPIA is not needed. The ICO’s guidance describes governance and accountability expectations, but the assessment depends on the processing rather than on a blanket rule for all AI use. The ICO’s AI and data-protection guidance addresses the UK GDPR and Data Protection Act 2018, focuses on data-protection challenges introduced or heightened by AI, and is not an exhaustive account of every organizational obligation. The guidance page says the material, updated 15 March 2023, is under review following the Data (Use and Access) Act.
