For me, that changed the page from a blank surface into a place to assemble the pieces of a task. It is a personal workflow shift—not a measured productivity gain—and the menu is more than a shortcut for mentioning a colleague.
What happens when you type @ in Google Docs?
In a document on a computer, type @ to open suggestions. Add letters, numbers, or symbols to narrow the options; for example, type @email and press Enter to insert an email draft. Google describes the menu as a way to link to people, files, and events, and add items to a Doc. Google’s @ menu instructions list both interactive references and familiar document elements.
The useful change is that insertion becomes discoverable where you are writing. Instead of leaving the draft to look through Insert menus, you can start with a character, search for what you need, and choose an item inline. That is a workflow convenience, not proof that every task becomes faster.
What the menu can insert
- Smart chips: people, files, dates, Calendar events, and places.
- Building blocks: prepared layouts and prompts for project management, communication, and meetings, including email drafts and meeting notes.
- Other document elements: dropdowns, checklists, numbered or bulleted lists, images, tables, charts, headings, and hyperlinks.
How smart chips make references interactive
A plain-text name or reference just sits in the document. A smart chip can expose related information when you hover over or click it. Google Docs supports chips for users with Gmail or Google Workspace addresses, Docs, Sheets, and Slides files, dates and Calendar events, and places. People chips do not share the document
A person chip can identify someone in the draft, but it does not share the document or grant that person access. Set document permissions separately using the sharing controls. This distinction matters when a chip looks like a handoff: it is a reference, not an access setting.
Date and event chips connect a draft to the calendar
Date shortcuts include @today, @tomorrow, @yesterday, @date, and relative dates. A Calendar event chip can offer a Join action when its video meeting is starting soon or already underway. The chip therefore can do more than label a date, while the Join action depends on the event’s timing and meeting details.

Place chips add a location link
A place chip can open a location in Google Maps, show it in the Maps side panel, or provide directions. That makes a venue or address in a plan more useful than a location typed only as text. Google explains the options in its place chip help page.
When building blocks are useful
Building blocks turn a repeated document pattern into something you can insert instead of recreating from scratch. Google groups its available blocks around project management, communication, and meetings. Find them either through the @ menu or through Insert > Building blocks; Google’s building blocks guide describes the available workflow.

For example, a meeting note can be drafted alongside the rest of a project document, or an email draft can be inserted without treating it as a separate blank-page task. The advantage is having structure and related content close to the work in progress; it does not establish a universal time saving.
Save your own reusable blocks, if your account is eligible
Eligible work or school users can select content and save it as a custom building block for reuse. Google says custom building blocks are not shareable as blocks: another person can copy a template and create their own block from it. See Google’s custom building block instructions. This restriction applies to the custom-block feature, not to every item in the @ menu.

Drafting a Calendar event inside a document
Docs also supports drafting a Calendar event from a document and sending it to Google Calendar. The draft can include a title, time, location, description, and guests. Google identifies this workflow as limited to eligible work or school accounts; its Calendar event drafting instructions explain the feature.
This is a different use of the menu from inserting an event chip: one references an event, while the event-drafting workflow creates a proposed event from the document and sends it to Calendar.

What to keep in mind before relying on the @ menu
- Availability depends on the feature. Custom building blocks and event drafting have work or school account eligibility limits. The documentation does not say that all @ menu features require a paid Workspace account.
- Google’s guidance is mainly desktop-oriented. On phones, behavior and exact menu availability can vary, so do not assume every computer flow is identical in the mobile apps.
- Use chips for useful connections, not as a substitute for permissions. A person reference does not give access to the file.
Why it changed my drafting workflow
The @ menu changed the way I think about a document: it can hold the references, structured notes, and related communication that make a task actionable, rather than just the prose describing it. The distinction is practical. A plain reference stays plain text; a chip can connect to related information; a building block supplies a reusable structure; and, for eligible accounts, event drafting can carry a plan into Calendar.
That does not make the menu essential for every document. If you are writing uninterrupted prose, it may add little. When a draft needs people, dates, files, a meeting structure, or a related communication, starting with @ is a convenient way to discover and place those pieces without leaving the page.
