The eight examples below show how organizations used it, which systems they connected, and what outcomes their own case studies reported. The figures are company-reported, not independently verified, and should not be treated as expected results for another business.
Eight real n8n automation examples
1. Turn WhatsApp messages into property and lead records
System AI built a workflow that accepts WhatsApp text messages and voice notes, interprets the request, checks whether a lead already exists, and updates either Zoho CRM or Google Sheets. It sends a confirmation so staff do not have to copy information manually between conversations and records. The case study says the administrative step fell from four to five minutes to about 10–20 seconds, saving about one day per week at the customer’s volume. It also reports that property onboarding-to-sale time fell from 62 days to 44 days. These are figures reported by n8n’s System AI case study; its publication date is not displayed.

2. Launch real-estate outreach campaigns by voice
Flow AI created a voice-driven campaign interface for real-estate agents. ElevenLabs turns spoken requests into structured input; n8n checks customer opt-in status, applies messaging safeguards, prepares personalized copy, sends messages through SMS providers or Mailgun, and logs each step. Customers are separated into dedicated n8n projects. The case study says work that previously took three to five hours could run in under 60 seconds, and describes more than 50 live n8n projects. The compliance details concern Flow AI’s U.S. use case; they are not legal advice. See n8n’s Flow AI case study (publication date not displayed).

When a service request arrives, Oversee uses n8n and AI to gather relevant information from a case database and assemble a structured report. Staff review that context and decide what to do next; the workflow supports decisions rather than resolving cases autonomously. Oversee also uses workflows to collect information across systems for internal and external reporting, including a request flow built around Notion. Its case study reports a 50% reduction in first response time. Oversee’s CTO demonstrated producing a report in two to three hours that had previously taken two weeks. A separate 70% reduction mentioned in the case study is a goal, not an achieved result. See n8n’s Oversee case study (publication date not displayed).

6. Process contract mappings and bulk updates
Stepstone receives 60–70 contract mappings each day when a reseller changes its data feed. A workflow batches the processing: work that previously took two to three minutes per item now takes around 20 seconds for the daily batch. In a separate workflow, the team removed a discontinued product from contract entries for 20 large customers, affecting about 4,500 entries. Stepstone said that second task saved the equivalent of two workdays for five full-time employees. Figures come from n8n’s Stepstone case study; its publication date is not displayed.
7. Support healthcare call-recording compliance review
Fullscript describes using n8n to help ensure personal data is deleted after practitioner calls. The team had manually listened to recordings within 30 minutes of calls and reviewed 13,000 calls a month; a workflow managed in n8n reduced the time spent on the task. A separate security-investigation workflow verifies an account user, uses a Slack bot for data verification, summarizes findings with an AI agent, and creates an audit report in Google Docs with suggested next steps. The case study reports hundreds or thousands of employee hours saved, without giving one precise total. See n8n’s Fullscript case study (publication date not displayed).

Koralplay’s workflow authenticates to a back office, enriches transaction information, checks regulatory status, updates a Notion ticket, and notifies the customer. The company reports that a ticket which took 10–15 minutes now takes about 70 seconds, saving 616 hours weekly, and that it automates 70% of payment-related tickets in one market. It also uses n8n for recurring reports, release notifications, QA tasks, and internal workflows. These are Koralplay’s reported figures, not independently verified outcomes. See n8n’s Koralplay case study (publication date not displayed).
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. How to choose an example to adapt
Start with the event that should trigger the workflow and the system that needs to receive the result. Then compare how much judgment the workflow makes, what information it handles, and how people will oversee it.
- Trigger and volume: Is work started by a message, ticket, request, schedule, or data-feed change? How often does it happen?
- Systems: Identify the source of the information and the destination where the record, message, or report must appear.
- Role of AI and human review: Decide whether AI should interpret or summarize information, and where a person must verify it or choose the next action. Oversee’s support reports, for example, inform staff rather than resolve cases automatically.
- Data and governance: For sensitive information, account for permissions, credentials, logging, approval gates, and security review. Huel and Trendyol describe controls as part of their deployments, not optional decoration.
- Deployment and scale: A personal workflow and a system used across many teams have different access and operating needs. Trendyol’s self-hosted, project-based setup is one company’s approach, not a universal requirement.
- Outcome measure: Choose a metric tied to the task, such as handling time, response time, volume processed, or staff effort, and define the period and baseline. The case-study figures here vary by workflow and company; they are not guarantees.
What these examples show about n8n
Across these cases, n8n coordinates triggers, business logic, integrations, and sometimes AI steps so information can move between systems without repeated manual handoffs. The work ranges from a single operational task to a governed platform supporting teams across an organization. The strongest examples have a clear starting event, a defined destination, and an outcome the organization can measure. Where an automated result affects customers, regulated data, or consequential decisions, the workflow may also need human review and explicit access controls.
