7 Tools for Maintaining SaaS Infrastructure With a Small IT Team

A practical guide to seven SaaS infrastructure tools for small teams, with advice on avoiding overlapping alerts, limiting access, and testing backups.

A small SaaS team does not need every operations product on the market. It needs clear coverage for the risks it actually has: edge traffic, service health, application errors, external availability, private access, credentials, and recoverable data. The seven tools below map to those jobs; NAKIVO is included separately as an optional eighth backup alternative because the source article lists it in addition to restic.

This is a documentation-based guide, not a hands-on product benchmark. Treat the tools as options to evaluate against what your hosting provider and current stack already cover. Add a tool only when someone owns its setup, alerts, permissions, and ongoing maintenance.

How to choose tools without creating more operational work

Start with a coverage gap, not a product list. For each service, identify what you cannot currently detect, control, or recover. Then evaluate the work a candidate adds: setup, maintenance, access administration, data retention, alert routing, and restore testing. A tool that produces alerts nobody owns is not operational coverage.

  • Assign an owner to every alert destination, permission set, scheduled backup, and recovery procedure.
  • Check for overlap with features already included in your hosting, cloud, or monitoring services.
  • Keep production and development access distinct, and grant only the permissions needed for a role.
  • Choose useful retention periods and avoid sending secrets or unnecessary personal data to telemetry services.
  • Test the notification path and recovery procedure rather than relying on a successful configuration screen or scheduled job.

Microsoft’s Azure Well-Architected Framework guidance for SaaS workloads, last updated November 5, 2025, emphasizes prioritizing customer impact and improving operations through automation and structured processes. It also notes that manual operations are impractical at scale. For a small team, that is a reason to automate repeatable work carefully—not to automate a process nobody understands.

1. Cloudflare for edge traffic, DNS, and caching

Cloudflare can manage DNS, serve cacheable assets, and filter traffic at the edge. It can reduce exposure and offload some work from an origin, but it does not secure or patch the origin server for you.

Only DNS records configured to be proxied route through Cloudflare’s proxy. Review which records are proxied and check caching rules against the application’s authentication model. In particular, a misapplied rule around authenticated responses can expose content that should remain private. Confirm that changes to DNS and cache behavior are understood by the person responsible for the service.

2. Grafana Cloud for metrics, logs, and traces

Grafana Cloud offers managed observability services, so a small team can use metrics, logs, and traces without operating the storage and query backends itself. The team still needs to collect useful signals, instrument services, choose retention, and decide what warrants action.

Begin with one production service and a small set of signals that can prompt a response: latency, traffic, errors, and saturation. Add service-specific indicators—such as queue age or failed scheduled jobs—when they reveal customer impact earlier or more clearly. Avoid collecting credentials and other secrets in logs or traces, and choose a retention period that fits operational needs and data-handling obligations.

  • EFFECTIVE PROTECTION: Employs advanced filtering technologies to safeguard against sophisticated threats.

3. Sentry for application errors

Sentry is intended for code-level error context, including stack traces and breadcrumbs that help explain what happened inside an application. It complements, rather than replaces, external availability checks: an application can be reachable while a particular code path is failing, or error monitoring can be quiet while the service is unreachable.

Use release identifiers and environment names that match the team’s deployment practice so errors can be tied to a version and environment. Review captured payloads for personal data, credentials, and other sensitive values. Set alert thresholds around actionable problems instead of paging the team for every low-impact repeat.

4. Better Stack for external uptime and response

Better Stack combines monitoring capabilities with heartbeats, on-call arrangements, and status pages. A focused initial setup might check a critical endpoint and monitor a heartbeat from an important scheduled job. A homepage returning HTTP 200 is not proof that login or a core customer workflow works; choose checks that represent the service customers rely on.

Decide which system owns paging before enabling overlapping alerts from multiple products. An event reported by both an uptime monitor and an application monitor may be useful context, but it should not automatically create redundant interruptions. Test that alerts reach the intended responder and that the responder knows the escalation path.

GL.iNet GL-MT5000 Brume 3 Wired VPN Security Gateway NO Wi-Fi
  • 【Up to 1100 Mbps VPN Speed 】 Hardware-accelerated WireGuard and OpenVPN-DCO deliver up to 1100 Mbps VPN throughput, over 3× faster than Brume 2 for smooth remote access and file transfers.
  • 【Three 2.5G Ports & Multi-WAN】Tri-port 2.5GbE design with flexible WAN LAN configuration supports multi-gigabit wired setups, dual-ISP Multi-WAN and failover to keep home and SOHO networks online.
  • 【Stealth VPN Obfuscation】VPN obfuscation disguises VPN traffic as regular HTTPS, helping you evade blocking, bypass restrictive networks and maintain stable, private connections.
  • 【DPI protection】Deep Packet Inspection with visual dashboards blocks adult/gambling/malicious sites, while SQM and QoS prioritize gaming, calls, and video when bandwidth is tight
  • 【OpenWrt & USB 3.0 Expansion】OpenWrt with 1GB DDR4 and 8GB eMMC lets you install plugins and build VPN, ad-blocking or NAS, while USB 3.0 Type‑C connects high-speed storage or 4G/5G dongles

5. Tailscale for private access

Tailscale provides private connectivity among enrolled devices and can help scope access to internal resources. Start with a narrow deployment and verify both sides of the policy: a permitted user or device can reach the intended resource, and an unapproved one cannot. Keep staging and production permissions separate.

Private connectivity is not a substitute for database authentication, application authorization, or endpoint security. A device on a private network can still be compromised, and a user allowed to connect should not automatically receive broad access to every system.

6. 1Password for team credentials

1Password provides organization vaults and SSH tooling for sharing and managing credentials and keys. Organize access around responsibilities, separate production credentials from development ones, and make sure recovery does not depend on a single administrator being available.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A human password manager is not a workload-identity system. Services and automated jobs should use an appropriate machine-identity approach rather than a person’s shared login. When a team member leaves or changes roles, revoke individual credentials and rotate shared secrets where needed.

7. restic for self-operated backups

restic is an open-source backup client that can create encrypted backups to multiple destinations. It is self-operated software, not a managed backup service: the team must schedule jobs, monitor failures, set retention, protect recovery credentials, and rehearse restores.

For databases, use a database-aware backup process that produces a consistent recoverable copy. restic can retain backup artifacts, but copying database files while they are changing does not by itself make the result valid. Define what must be restored, who can access the recovery credentials, and how the team will verify restored data.

Optional eighth option: NAKIVO Backup & Replication

The source article also lists NAKIVO Backup & Replication, making its actual list eight entries rather than seven. It describes NAKIVO as a whole-workload backup and recovery option spanning virtual machines, physical machines, SaaS, and cloud workloads. Consider it as an alternative backup approach only if its current platform support and plan details fit your environment; verify those details with the vendor before relying on them.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Whether using restic, NAKIVO, or another backup path, a successful scheduled job is not proof that recovery will work. The UK National Cyber Security Centre’s guidance on using SaaS securely recommends preparing incident-response processes, maintaining resilient backups with blast radiuses separated from the protected environment, and establishing robust access recovery. It also advises that break-glass access trigger high-priority alerts.

Build a small, testable operating plan

Tools cover only parts of the operating model. AWS’s cloud security checklist for small and medium businesses recommends lightweight policies for access, passwords and MFA, data handling, backups, and change management. It also highlights assigned roles, MFA for privileged access, least privilege, removal of inactive users, and logging sign-in and access activity.

  1. Map coverage: list what currently detects external failure, application faults, infrastructure pressure, and failed jobs; note existing hosting features before adding another service.
  2. Name owners: assign a person or rotation to alerts, access reviews, backup failures, and recovery decisions.
  3. Make one controlled change: add only the tool or process that closes a priority gap, with production permissions and data collection kept as narrow as practical.
  4. Exercise the path: send a test alert, verify that it reaches the right person, and rehearse restoration from a backup rather than assuming the job succeeded.
  5. Review after changes: recheck access, alert routing, and recovery steps when services, staff, or deployment practices change.

The right starting point depends on your hosting, workload, compliance needs, and existing coverage. BetterCloud’s 2026 State of SaaS report, published July 15, 2026, surveyed 525 IT and security professionals at SaaS-first organizations; its reported 11% year-over-year growth in average apps per organization and 62% of IT leaders citing manual work as a barrier to strategic projects are vendor survey findings, not rates specific to small SaaS infrastructure teams.
