The exact controls and shortcuts vary across Windows, Mac, and Word for the web, so use the platform-specific guidance where noted.
1. Apply heading styles before a document gets long
Format section titles with Word’s built-in heading styles instead of making them look like headings only by changing font size or bolding them. Select the heading, then choose an appropriate style from Home > Styles. The Styles pane provides additional choices; applying a style set can also change the document’s overall appearance.

Styled headings create useful document structure. In the Windows Navigation pane, headings in the document body appear as an outline, making it easier to move between sections. Microsoft’s instructions cover a range of Word versions, so check your build before relying on older ribbon paths such as Design > Document Formatting. Microsoft’s basic Word tasks explains applying styles.

2. Navigate long documents with the Navigation pane
Windows: Press Ctrl+F or go to View > Navigation Pane. Search for text, select a result, or use the pane’s Headings and Pages tabs to browse. You can also drag headings to reorganize sections or change their level, subject to restrictions in protected areas.

The Headings list depends on heading styles being applied to headings in the document body. Headings placed in tables, text boxes, headers, or footers do not appear there. Navigation pane controls differ on Mac and Word for the web; consult the relevant platform instructions rather than assuming the Windows path applies. Microsoft’s Navigation pane guide covers the Windows workflow and its limits.
3. Find commands and learn a few repeat-use shortcuts
Use Word’s Search or Tell Me field when you know what you want to do but cannot find the ribbon command. In applicable experiences, Alt+Q focuses that field. A small set of frequently useful shortcuts can also reduce menu-hunting:

These are not universal across platforms. Word for the web has different shortcuts, and Mac shortcuts may conflict with macOS or utility apps. Check Microsoft’s shortcut list for your platform and Word version before relying on a combination. Microsoft’s Word keyboard shortcuts identifies the applicable differences.

Dictate can turn speech into draft text, outlines, or notes. Microsoft says it is available to Microsoft 365 subscribers and requires a microphone and reliable internet connection. You can use spoken commands for punctuation, navigation, formatting, and comments; settings include language, microphone, and auto-punctuation.

It can be a useful starting point, but the support guidance does not establish a particular accuracy level. Plan to review and correct the result. Microsoft’s privacy note says speech utterances are sent to Microsoft to provide text results, and that the service does not store audio data or transcribed text. Microsoft’s Dictate instructions and privacy information explain the requirements and controls.
5. Review edits with Track Changes, then resolve them
When you need a record of edits, turn on Track Changes from the Review tab. Word can mark additions, deletions, moves, and formatting changes. Use Previous and Next to inspect revisions, then choose Accept to make a change permanent or Reject to remove it.
Rank #4
Turning off Track Changes does not itself resolve existing revisions: markup may remain visible. Accepting or rejecting changes is what removes revisions permanently. Hiding markup only changes what is displayed; it is not a substitute for deciding what to keep. Microsoft’s Track Changes guide describes the review controls.
6. Check the document mode if you cannot edit
In the Word for Microsoft 365, Word 2024, and Word for the web experiences covered by Microsoft’s guidance, the mode switcher determines what you can do:
Best Value
| Mode | What it allows |
|---|---|
| Viewing | Read-only access. |
| Reviewing | Comments and suggested revisions; Track Changes Just Mine is turned on automatically. |
| Editing | Full editing access when your permissions allow it. |
If the document will not accept edits, check the mode switcher near Share and confirm that you have the necessary permission. Available modes depend on permissions. Microsoft’s guidance on modern comments and document modes describes the covered experiences.
7. Use quick formatting previews when they help
On the desktop editions covered by Microsoft’s General options guidance, selecting text can reveal the Mini Toolbar with common formatting controls. Live Preview lets you see how a formatting choice will look before applying it. The listed path is File > Options > General; labels and availability can vary by Word build. Microsoft’s General options guide covers these desktop conveniences.
