Excel’s built-in features can help you clean text, retrieve values, manage lists, keep headings in view, spot exceptions, and summarize data. These six practical tips work best when matched to the job—and checked against the Excel version and platform you use.
1. Clean up text with Flash Fill
Flash Fill infers a pattern from examples you enter. It can split or combine text, such as turning a column of full names into separate first-name and last-name columns.

- Put the source text in one column and leave an adjacent column for the result.
- Type the desired result for the first row. For example, enter a first name taken from the first full name.
- Start typing the next result. If Excel previews the remaining pattern, review it and accept the suggestion.
- If no preview appears, select the output cells and use Data > Flash Fill or press Ctrl+E in supported versions.
Flash Fill produces values based on the pattern it infers; it does not create a formula that recalculates when the source text changes. Microsoft’s enablement guidance covers Microsoft 365, Excel 2024, and Excel 2021. On Windows, Flash Fill may need to be enabled in Excel’s options. See Microsoft’s Flash Fill instructions.

Use XLOOKUP to find an item in one range and return the corresponding value from another—for example, finding a product price by its ID. Microsoft describes XLOOKUP as able to look in any direction, and an exact match is the default. That flexibility avoids a common VLOOKUP constraint: the lookup column generally needs to be to the left of the return column.

Illustrative formula: =XLOOKUP(E2,A2:A100,C2:C100). Here, Excel searches for the value in E2 in A2:A100 and returns the value from the corresponding row in C2:C100. Adjust the ranges to your sheet and verify that your Excel version supports XLOOKUP; older copies may not. Microsoft’s formula overview covers XLOOKUP and VLOOKUP.
3. Make a data range an Excel Table
For a clean, rectangular list, converting the range to a Table puts sorting and filtering controls in the column headers and makes the data easier to manage.

- Check that the range has one clear header row and consistent columns, with no unrelated data interrupting the list.
- Select a cell in the range, then choose Insert > Table. Confirm the selected range and indicate whether it has headers.
- Use a header arrow to sort a column or filter the list to show matching rows.

5. Highlight exceptions with conditional formatting
Conditional formatting applies visual changes when values meet rules. It can highlight thresholds, text or dates, top or bottom values, duplicates, and custom conditions. For example, a rule can draw attention to overdue dates or duplicate IDs.

If formatting appears in unexpected places, check the rule’s Applies to range, whether its cell references should be relative or absolute, and the order or precedence of overlapping rules. Use color sparingly and keep meaningful labels or values visible so the spreadsheet remains understandable without color alone. See Microsoft’s conditional formatting guide.
