The work is broader than sending a release: it means finding a story that matters to a particular audience, building trust with relevant journalists, and measuring progress against a business goal.
1. A pitch needs a story the outlet’s audience cares about
A product launch may matter to your business without being news to a publication’s readers. Before pitching, start with the outlet’s subject, audience and geography. Then identify what makes the information timely or useful to those people—not just important to you.

A stronger angle might explain a local problem your business can illuminate, offer credible expertise on a developing issue, or share evidence that helps readers make a decision. Support claims with information a journalist can verify. If there is no meaningful hook, wait or offer a useful expert contribution instead of dressing a routine announcement up as breaking news.

Learn what a journalist covers and tailor your approach to that beat. A short, relevant pitch is more useful than a mass email that treats every reporter as interchangeable. Be clear about what you can substantiate, respond promptly when contacted, and make it easy to arrange an interview or obtain approved images.

Trust can grow when you provide useful context even if the immediate story is not a direct promotion for your company. Follow up sparingly and professionally; repeated nudges do not make an unsuitable story more relevant.
3. Earned coverage belongs to the editor
You can share facts, offer sources and make a case for coverage. You cannot buy a promise that an independent newsroom will publish your story. The American Society of Business Publication Editors’ Code of Journalism Ethics says, “Only the editorial staff should make final editorial decisions,” and that dealings with PR representatives and story sources should not create an expectation of preferential editorial treatment. The code page identifies a February 2025 update; it is professional guidance, not proof that every publication uses identical policies. Read the ASBPE Code of Journalism Ethics.

Paid advertising and press-release distribution can serve defined communication goals, but neither turns a paid placement into independent editorial endorsement. Keep the distinction clear when planning campaigns and describing results.
4. PR is more than press releases
Public relations can include media outreach, expert commentary, communication through your own channels, social listening and responses to reputational issues. Choose tactics to fit the outcome you want rather than treating a release as the whole strategy.
PR Newswire’s 2025 earned-media guide describes a complete strategy as including content creation, media relationship building, press release distribution, influencer partnerships, social listening, performance measurement and integration with paid media for amplified visibility. That is a vendor’s summary, not a neutral industry standard, but it illustrates how many activities can sit alongside pitching. See PR Newswire’s 2025 earned-media guide.
For small businesses, PR can be handled in-house or with an agency, according to the Queensland Government’s small-business guidance. The right choice depends on available time, story complexity, the need for specialist media relationships, campaign length and budget—not a universal rule that every business needs an agency. How to get press for a small business
- Choose a clear goal. Decide what the communication should accomplish before choosing a tactic.
- Find a real angle. Identify why a specific audience should care now; if there is no news hook, consider a useful expert contribution or wait.
- Build a small, relevant media list. Select journalists or outlets whose beat and geography fit the subject.
- Make the pitch easy to assess. Put the news or insight first, explain its audience value, substantiate claims and offer a straightforward way to arrange an interview or access approved images.
- Follow up once with restraint. Keep any follow-up professional, then respect the journalist’s decision or silence.
5. Measure PR against the goal, not the activity
Decide what success means before a campaign begins. If the goal is awareness, relevant indicators might include qualified mentions or share of voice. If you want people to visit a particular page, look at referral visits. Sentiment may help assess how coverage or public conversation represents the business. Choose measures that connect to the intended outcome rather than counting distribution volume alone.

PR Newswire’s 2025 guide discusses goals and measures such as mentions, sentiment, share of voice and referral traffic. It is a vendor source, so treat its recommendations as one perspective rather than an independent standard. A survey result it repeats from the 2025 Comms Report says 30% of PR professionals were relying more on earned media than in the previous year. That is a report-specific survey finding about PR professionals—not a measure of what business owners generally do or proof that earned coverage produces a particular return.

Do you need a PR agency or paid distribution?
Start with capacity and the work required. An owner may be able to handle a focused pitch; a complex or sustained campaign may call for specialist support. Distribution services can help circulate a release when broad distribution serves a defined goal, but distribution is not a substitute for editorial relevance. Monitoring tools may be worth considering when activity is sustained enough to justify them. No single approach or budget fits every small business.
