10 Best Accounting Software

A practical comparison of the 10 best accounting software platforms, with current U.S. pricing, feature limits, edge cases, and recommendations for freelancers, teams, retailers, and larger organizations.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The right accounting software depends less on brand popularity than on how your business operates. A freelancer who sends five invoices a month needs something very different from a retailer managing inventory, a manufacturer tracking job costs, or a growing company consolidating several entities.

This comparison focuses on U.S. pricing and product details checked on August 8, 2026. Promotional introductory rates are excluded unless specifically noted. The list includes cloud services, desktop software, open-source tools, and larger financial-management platforms.

Watch-outs

  • QuickBooks Online is browser-based and is not the same product as QuickBooks Desktop or QuickBooks Enterprise.
  • Users consume the plan’s allowance; the free accountant invitation does not provide unlimited ordinary users.
  • Standard ACH bill pay is free only within the plan’s allowance. Additional standard ACH transactions are listed at $0.50 each.
  • Some Advanced AI features, including AI Chat and automated project-cost allocation, are labeled beta.

Choose it if: You want the broadest U.S. accountant ecosystem and a large integration marketplace.

2. Xero: best for collaborative, growing businesses

Xero is particularly attractive when several people need to work in the books. Its plans generally make collaboration straightforward, and the service becomes more capable as a company adds bills, projects, currencies, and reporting requirements.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

U.S. pricing is $25/month for Early, $55/month for Growing, and $90/month for Established, excluding temporary new-customer discounts. Early includes bank reconciliation, reports, sales-tax features, W-9 and 1099 management, and online bill payments, but limits the business to 20 invoices and five bills.

Growing removes the invoice limit and adds bill tracking, bill-entry automation, dashboards, and a 60-day cash-flow forecast. Established adds multiple currencies, project time and cost tracking, employee expenses, mileage claims, KPI analysis, and a 180-day cash-flow forecast.

Watch-outs

  • Transactions created by connected app partners may count toward Early’s invoice limit.
  • Automatic bank reconciliation is marked beta on Growing.
  • Same-day ACH, international, and cross-border payment methods may cost extra.
  • Subscriptions auto-renew monthly, with taxes calculated according to the billing address.

Choose it if: Multiple people will collaborate on the accounts or the business is likely to need multi-currency and project tracking.

3. Zoho Books: best value for price-sensitive businesses

Zoho Books offers unusually strong functionality at the low end of the market. It is a good match for an owner who wants invoices, bank reconciliation, tax features, automation, and reports without paying QuickBooks or Xero prices.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The U.S. lineup starts with a Free plan, followed by Standard at $20/month, Professional at $50, Premium at $70, Elite at $150, and Ultimate at $275. Annual billing reduces the listed paid prices.

The Free plan includes invoices, quotes, expenses, journals, bank reconciliation, recurring invoices, payment collection, W-9 and 1099 management, and more than 50 reports. Standard adds bank feeds, sales- and use-tax tracking, period locking, custom reports, and API access. Professional adds inventory, purchase orders, multi-currency transactions, timesheets, and project profitability.

Watch-outs

  • The Free plan remains available only while annual revenue is below $50,000.
  • Free users are limited to 1,000 invoices and 1,000 bills or expenses per year.
  • Free supports one user plus one accountant. Additional users are paid add-ons on paid tiers.
  • Receipt autoscans range from 50 per month on Free and trial accounts to 1,000 on Premium and higher.

To change a Zoho Books subscription, open Settings → Manage Subscriptions under Organization, then select Change Plan.

Choose it if: You want broad features at a lower monthly cost and can work within the Free plan’s limits.

4. FreshBooks: best for freelancers and service businesses

FreshBooks is built around the workflow of consultants, designers, contractors, agencies, and other service providers: estimate work, track time, send an invoice, collect payment, and understand project profitability.

Standard pricing is $21/month for Lite, $38 for Plus, and $65 for Premium. Select has custom pricing. Lite allows unlimited invoices for up to five clients, while Plus raises the client limit to 50 and adds retainers, proposals, accountant access, receipt scanning, accounting reports, and e-signatures. Premium supports unlimited clients and adds accounts payable and project-profitability reporting.

Watch-outs

  • “Unlimited invoices” does not mean unlimited customers. Lite and Plus still impose client limits.
  • Accounts payable is included with Premium, not Lite or Plus.
  • Select is the quote-based tier and adds features such as prioritized support, data migration through Easy Switch, lower payment fees, and two additional team-member accounts.

Choose it if: Your business sells time and expertise rather than physical products.

5. Wave: best free option for basic bookkeeping

Wave’s Starter plan provides free core bookkeeping for very small businesses. It handles basic income and expense tracking, invoicing, reports, and customer management without a monthly accounting charge.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The Pro plan costs $19/month or $190/year. It adds automatic bank-transaction imports, automatic merging and categorization, unlimited digital receipt capture, expense tracking, and late-payment reminders.

Payment processing is separate. Starter lists card payments at 2.9% + $0.60 per transaction. Pro lists 2.9% + $0 for the first 10 cumulative monthly transactions, after which the fee becomes 2.9% + $0.60. American Express uses different rates.

Watch-outs

  • Wave uses Plaid for bank connections, and not every financial institution is supported.
  • Pro is priced per business. Multiple business profiles require separate Pro subscriptions.
  • Payroll, payment processing, bookkeeping services, and coaching are separate products or add-ons.
  • The current upgrade control is the peach Upgrade now button in the dashboard or invoicing/accounting areas.

Choose it if: You have a simple business with modest transaction volume and want to keep recurring costs near zero.

6. Sage 50 Accounting: best desktop option for inventory and job costing

Sage 50 is aimed at businesses that want a traditional desktop accounting workflow while still receiving cloud-enabled access, updates, backups, and collaboration. It is stronger than most inexpensive online tools for inventory, job management, multiple companies, and detailed costing.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Current U.S. plans are Pro Accounting at $128.67/month, Premium at $182.50, and Quantum at $271.17. These are annual subscriptions paid monthly, with a minimum one-year commitment.

Pro supports one user and includes invoicing, bills, purchase orders, bank reconciliation, inventory, expense management, reports, cash-flow management, and job management. Premium supports one to five users and adds multiple companies, advanced budgeting, audit trails, serialized inventory, and advanced job costing. Quantum supports up to 40 users and adds role-based permissions and workflow management.

Watch-outs

  • If payment stops or the subscription ends, Sage says the account becomes read-only until it is brought current.
  • Payroll is a separate subscription priced according to employee count.
  • Sage 50 Cloud and Sage 50 Desktop are related but distinct deployment options.

Choose it if: Inventory, job costing, or a desktop-oriented workflow is more important than having the cheapest monthly plan.

7. Patriot Accounting: best for straightforward bookkeeping and Patriot Payroll

Patriot Accounting keeps its accounting feature set relatively simple. Both tiers include unlimited customers and invoices, unlimited vendors and contractors, automatic bank imports, income and expense tracking, payment acceptance, financial reports, and account reconciliation.

Premium adds estimates, recurring invoices, payment reminders, user permissions, receipt and document management, and subaccounts. Patriot also supports switching between cash and accrual accounting without a manual conversion process.

Accounting and Patriot Payroll are separate products. Basic Payroll is listed at $17/month plus $4 per paid worker; Full Service Payroll is $37/month plus $5 per paid worker. Full Service Payroll charges $12 for each additional state beyond the included state-filing setup.

Choose it if: You want uncomplicated bookkeeping and may also use Patriot for payroll. Patriot’s bookkeeping service requires Accounting Premium.

8. Odoo Accounting: best for accounting connected to an ERP

Odoo is not merely an invoicing application. Its Accounting app provides double-entry bookkeeping, cash- and accrual-basis reporting, bank synchronization, reconciliation, budgets, asset management, multi-company accounting, multi-currency transactions, inventory valuation, and financial reports.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Pricing depends on the number of users and applications selected, so there is no responsible single “Odoo Accounting price” without specifying the configuration. Odoo Invoicing is a separate, lighter app; full Accounting adds reconciliation, financial reporting, budgets, assets, and other controls.

Odoo makes sense when accounting needs to share data with inventory, purchasing, sales, CRM, manufacturing, or other operational modules. It supports country-specific localization packages for more than 100 countries, although suitability still depends on correct localization and tax configuration.

Accounting settings are located at Accounting → Configuration → Settings. Multiple companies can exist in one database, but users work on one company’s accounting at a time.

Choose it if: Accounting is part of a broader operational system rather than a standalone bookkeeping requirement.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

9. GnuCash: best free open-source desktop accounting

GnuCash is free, open-source software for Windows, macOS, Linux, BSD, Solaris, and related platforms. The project currently lists stable release 5.16. It is a genuine double-entry accounting application rather than a basic spreadsheet replacement.

Features include account registers, scheduled transactions, bank-statement reconciliation, invoices, customer and vendor tracking, bill payment, budgets, reports, graphs, multiple currencies, and QIF/OFX imports.

Watch-outs

  • GnuCash is primarily local desktop software, not a hosted multi-user service. You are responsible for file storage and backups.
  • SQL database storage is documented as experimental, and the project warns that uncommon cases may cause data loss.
  • It does not include the hosted payroll, payment processing, app marketplace, and automatic cloud collaboration found in commercial SaaS products.
  • Business tools are accessed through menu-based workflows such as Tools → Assistants, and availability depends on the active window and installed components.

Choose it if: You are comfortable managing files and backups and want full double-entry accounting without a subscription.

10. Sage Intacct: best for mid-sized and multi-entity organizations

Sage Intacct is a cloud financial-management and ERP platform rather than a typical small-business bookkeeping app. Sage generally positions it for organizations with 20 or more employees, or more than $4 million in annual revenue.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Its capabilities include core accounting, planning, analytics, HR, payroll, integrations, multi-entity support, and financial workflows. The platform also advertises AI features such as anomaly detection, accounts-payable automation, close-task assistance, and natural-language financial-report questions.

Sage does not publish a standard price. Quotes depend on organization size, modules, users, and implementation requirements. Sage says implementation typically takes three to six months, depending on scope and planning, and the product is sold through an annual subscription rather than a simple month-to-month small-business plan.

Choose it if: You need multi-entity reporting, stronger controls, approval workflows, and integrations that exceed the capabilities of ordinary small-business software.

How to choose accounting software

  1. Count users and entities. Check how many people need access and whether the plan charges for extra users. A free accountant seat is not the same as unlimited internal access.
  2. Define your accounting method. Confirm that the product supports the cash or accrual workflow your tax preparer and business require. Patriot, for example, allows switching between the two methods.
  3. Measure transaction limits. Low-cost plans may cap invoices, bills, expenses, clients, receipt scans, or revenue. Xero Early’s 20-invoice limit and Zoho Books Free’s $50,000 revenue threshold are easy to overlook.
  4. Check inventory and job costing. Service businesses can often use FreshBooks or Wave, while product businesses may need Sage 50, Odoo, or a higher Zoho tier.
  5. Price the complete stack. Add payroll, payment processing, bill pay, extra users, receipt capture, integrations, and state filings. The advertised accounting subscription is rarely the entire operating cost.
  6. Ask your accountant about exports and access. Confirm that the software supports the reports, tax forms, bank feeds, and data exports your accountant actually uses.
  7. Decide whether cloud access is essential. Cloud products simplify collaboration and backups. Desktop products such as GnuCash and Sage 50 can offer more local control but require stronger internal file-management habits.

Which accounting software is best for different users?

Use case Strongest starting choices Why
Solo freelancer FreshBooks, Wave, Zoho Books Invoicing, expense tracking, and low entry prices
Small employer QuickBooks Online, Xero, Patriot Payroll options, bank feeds, and accountant support
Retail or inventory business Sage 50, Odoo, Zoho Books Professional Inventory, purchasing, and product-cost features
Multi-user team Xero, QuickBooks Online, Odoo Cloud collaboration and broader permissions
Free desktop accounting GnuCash Full double-entry features without a subscription
Multi-entity organization Sage Intacct, Odoo Consolidation, controls, and entity-level reporting

Common claims that are wrong or outdated

  • QuickBooks Desktop and QuickBooks Online are separate products.
  • Xero Early does not have unlimited invoices; its current limit is 20 invoices and five bills.
  • Zoho Books Free is not unlimited. It has revenue, transaction, user, and receipt-scan limits.
  • Wave’s free Starter plan does not make payroll, payment processing, or bookkeeping services free.
  • FreshBooks’ unlimited invoices do not remove its client limits on lower plans.
  • Sage 50 is not a normal month-to-month subscription; its listed plans require a one-year commitment.
  • Odoo Accounting is more than the standalone Odoo Invoicing app.
  • Free software does not replace accounting knowledge. Chart-of-accounts setup, transaction classification, reconciliation, tax configuration, and year-end review still need to be correct.

FAQ

What is the best accounting software for a small business?

QuickBooks Online is the strongest general-purpose choice for many U.S. small businesses because of its accountant ecosystem and integrations. Xero is often better for collaborative teams, while Zoho Books and Patriot offer lower-cost alternatives.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What is the best free accounting software?

Wave is the simplest free cloud option for basic bookkeeping and invoicing. GnuCash is the stronger free choice if you want open-source, double-entry desktop accounting and are comfortable handling backups yourself. Zoho Books Free can work for qualifying businesses under its revenue and transaction limits.

Is QuickBooks Online better than Xero?

Neither is universally better. QuickBooks Online usually has broader U.S. accountant and app compatibility. Xero offers a strong collaborative workflow and may be a better fit for teams, multi-currency businesses, or companies that want several people working in the accounts.

Can accounting software replace an accountant?

It can automate data entry, reconciliation, invoicing, and reports, but it cannot guarantee that your chart of accounts, tax treatment, payroll setup, or year-end adjustments are correct. An accountant or qualified bookkeeper is still valuable for setup and review.

The Bottom Line

For a default recommendation, start with QuickBooks Online. Choose Xero when collaboration is central, Zoho Books when value matters most, FreshBooks for service-based freelancing, and Wave for basic free bookkeeping. Inventory-heavy businesses should examine Sage 50 or Odoo, while GnuCash remains the best no-subscription desktop option. Sage Intacct belongs on the shortlist only when the organization has outgrown ordinary small-business accounting tools.
