Its onboarding guide covers account settings, customers, appointments, cleaners, calendars and mobile app use. If you are moving from another system, you can request free concierge migration, but the vendor estimates two to four business days for the transfer—not for completing every part of setup.
What setting up ZenMaid involves
ZenMaid’s getting-started guide, dated July 6, 2026, divides basic onboarding into several tasks. Its time estimates apply to individual guide sections, not a tested end-to-end setup:

A practical sequence is to configure relevant account settings and custom fields, add or import customers, create or import appointments, set up cleaners and their access, then learn the calendar and mobile app workflow. If you want customers to book online, you can also configure a booking form and embed it on your website or share ZenMaid’s hosted form, following its booking form instructions.

- Customer contact details, addresses and relevant service notes.
- Recurring appointment dates and frequency.
- Staff details and the access each person needs.
- Any custom fields you need to track for your business.
For a calendar transfer, ask ZenMaid what access it needs to your current system. After records are moved, check upcoming appointments, assignments and cleaner logins before depending on the new schedule.
Moving customers and appointments from another system
ZenMaid says it offers free concierge onboarding for importing customer information and, when it has access to your current system, moving a schedule. Its Help Center import instructions list CSV, XLS and XLSX as the fastest file formats; the onboarding page also lists ICS and PDF. The Help Center says appointment imports are available to paying users, so confirm current eligibility and conditions with ZenMaid before you plan around a transfer.

ZenMaid estimates migration will take two to four business days, depending on file size or when it receives a usable file. The onboarding page describes the account as ready after a usable file is received. This is a vendor estimate, not an independently verified guarantee.
How long does full setup take?
ZenMaid’s demo page advertises getting started in less than five minutes. That is a claim about beginning the process, not a verified estimate for configuring a whole cleaning business. The guide’s section timings and the migration estimate are more specific, but neither establishes how long your complete setup will take.

Your workload will depend on the amount and condition of your existing data, how complex your recurring schedule is, how many staff members need onboarding, and whether you want custom fields or optional features. Some advanced automation and reporting features are limited to Pro and Pro Max plans; check the current plan details if those are important to your workflow.

Adding cleaners involves setting up staff and their app access. ZenMaid’s instructions distinguish cleaner and office-manager roles, which have different schedule visibility. Before inviting the team, decide who needs access to which parts of the schedule and verify that assignments and logins work as intended.

If you are comparing setup workflows, focus on whether the service can move both customer records and recurring appointments, what file formats or account access it requires, how long it estimates migration will take, and whether the staff and reporting features you need are included in your chosen plan. ZenMaid’s documentation describes its own process; it does not establish how it compares with other software in a head-to-head setup test.
