OneDrive sync copies deletions along with changes, so a synced folder is not an independent copy that is protected from every mistake or account problem. Windows Backup moves selected folders and settings to a new PC; it does not create a full disk image. A complete plan splits the work across three tools: cloud access to selected files, a separate personal-file backup with previous versions, and Windows recovery media.
What each Windows tool actually covers
The tools below have different jobs. Treating them as interchangeable is the gap. The values come from Microsoft’s support pages as reviewed in October 2026.

Windows Backup is not a full system image
Windows Backup restores selected information: your chosen folders, settings, and some app and Wi-Fi details. It does not reproduce every program, driver, and configuration exactly as it was on the old drive. Treat it as a way to set up a new PC faster, not as a way to return a failed machine to its previous state. Reinstalling apps and checking settings after a restore is still part of the job.
Does OneDrive back up my whole PC?
No. OneDrive covers the folders you select, and only those folders are synced. Anything saved elsewhere on the drive, such as a custom folder outside your profile, has no copy in this route unless you put it in a synced location.

What happens when you delete a file
Sync treats deletion as a change to propagate. If you delete a file on your PC, it is removed from OneDrive online too. A cloud copy therefore does not protect you from your own deletion, from an accidental overwrite that syncs, or from a compromised account.
Restoring recent changes with Microsoft 365
Restore your OneDrive can undo file and folder activity from the preceding 30 days, but only for Microsoft 365 subscribers. Restoring the whole OneDrive also requires Microsoft 365. Files permanently deleted from the OneDrive recycle bin cannot be recovered through this feature, so a file that has been emptied from the recycle bin and is outside the window is gone from this route.

Ransomware detection
Microsoft’s support article on detecting ransomware and recovering files with OneDrive describes a workflow that identifies suspect files, asks you to clean the affected device, and guides you through restoring OneDrive. According to that page, a user without a Microsoft 365 subscription receives the first notification and recovery at no charge. That does not mean every OneDrive recovery feature is free, so check the terms for the specific feature you need.

Files in your synced folders that finished uploading are stored in OneDrive and can be reached from another device. Anything outside those folders, and any file you deleted before the failure, has no separate copy unless you set up File History or another backup. Windows Backup can bring the selected information back to a replacement PC, and a Recovery Drive can help reinstall Windows, but neither one restores personal files outside those routes.

- Confirm the synced folders show a complete sync status in OneDrive before you rely on them.
- Recover Windows itself with a Recovery Drive you created earlier, or with installation media on a new device.
- Sign in with the same personal Microsoft account on the replacement PC to restore the selected folders and settings.
- Connect your File History drive and browse it for personal files that were not in the synced folders.
Will a Windows Recovery Drive save my files?
No. A Recovery Drive holds Windows system files, installed updates as of when it was created, and manufacturer customizations. It is for recovering the device itself. Personal files need a separate method such as Windows Backup or File History.
Creating a Recovery Drive
- Plug in an empty USB drive. Creating the drive erases everything on it, so move any data off first.
- Search the Start menu for Recovery Drive and open it.
- Keep the option to back up system files to the recovery drive selected, and follow the prompts until the process finishes.
- Label the drive with the creation date and set a calendar reminder to recreate it each year, as Microsoft recommends.
Secure Boot caveat
Microsoft flags one specific case: Recovery Drives created and used on machines that have the April 9, 2024 security update with the revocation policy applied may be affected by Secure Boot changes associated with CVE-2023-24932. If that describes your machine, consult Microsoft’s KB5025885 before relying on the drive.

How do I restore an older version of a file?
Use File History for previous versions of personal files, and use OneDrive for recent changes to synced files.
- Connect the external drive or make sure the network location is available.
- Open File History from Control Panel and choose the option to restore personal files.
- Browse to the file or folder, pick the version you want, and restore it to the original location or a new one.
- For a synced file that changed recently, sign in to OneDrive on the web and use Restore your OneDrive if you have Microsoft 365 and the change falls within 30 days.
Check your Windows version before building the plan
Windows 10 support ended on October 14, 2025. Since then, the operating system has not received free Windows Update software updates, technical assistance, or security fixes from Microsoft. The PC still runs, but Microsoft recommends moving to Windows 11. A backup of an unpatched system protects your files, not the system that holds them, so update first where your hardware allows it.

A layered plan that closes the gap
- Use OneDrive for access. Keep the folders you use daily in the synced locations so you can reach them from other devices. Watch the 5 GB free allowance, and check your storage before you consider a paid tier.
- Add File History for a separate copy. Use a dedicated external USB drive or a network location, turn on File History, and confirm that it has run. Keep the drive connected or reconnect it when prompted.
- Create a Recovery Drive for Windows. Use an empty USB drive, and recreate it annually.
- Test each layer. Open one synced file on another device, restore one older version from File History, and check that the Recovery Drive opens to a recovery menu. A layer you have never tested is not a backup you can count on.
The external drive is the piece most people lack. File History needs a destination that is separate from the PC, and an external USB hard drive is the usual choice Microsoft documents for that purpose.
