Before uploading, follow the job posting and application portal’s requirements for file type, size, page count and supporting documents. Then open the final exported file, inspect every page, check that its text can be selected and copied, and review the portal’s preview or extracted fields after upload.
Start with the job posting and upload page
Do not assume a resume format or limit applies everywhere. Read the job announcement and the portal’s upload instructions for the accepted file types, maximum file size, page limit and any required attachments. If the employer specifies a format, use it. The U.S. Department of Labor’s 2026 Employment Workshop Participant Guide puts it simply: “Always follow the employer’s instructions.”

Some portals accept several formats, but their rules differ. These examples are service-specific, not universal requirements:

Choose a format the portal can accept and read
Follow the specified format first. If no format is specified, choose one the portal accepts and check its guidance rather than treating PDF or DOCX as a universal default. PDF can preserve the visual layout; DOCX may be appropriate when requested or supported, though its appearance can vary between software. The Department of Labor’s 2026 Resume Essentials guide notes that applicant tracking systems can often read PDFs when they do not contain images or complex layouts. That is guidance, not a guarantee for every system.
Keep the design simple enough that the meaning does not depend on graphics or a complex layout. For a PDF, make sure it contains actual text rather than only a scanned image: Indeed recommends a text-created PDF, not one scanned as an image. To check, open the PDF, select a few lines and copy them into a plain-text editor. Confirm the words appear in a sensible order and are not missing or jumbled.

Inspect the exported file—not just the editing view
Formatting can shift during export or when the file is opened in another program. Save or export the resume, then open that exact copy in a viewer and check every page. USAJOBS recommends PDF to help preserve formatting and page count, and advises applicants using its resume builder to save pasted text as plain text and inspect it.

- Look for clipped margins, missing text, changed line breaks and unexpected blank pages.
- Check that bullets, symbols and dates still appear correctly and that headings remain with the sections they introduce.
- Make sure the page count follows the application’s limit.
- Use a clear filename, such as
First_Last_Resume.pdf; the Department of Labor recommends a logical, name-based filename.
If you paste content into an online resume builder or form, inspect the result there too. USAJOBS warns that some Word formatting, including bullets, may not carry over correctly when copied into its builder.

Verify what arrived in the portal
After uploading, confirm that the intended file is attached. Check its displayed filename and, if available, open the portal’s preview. If the system fills in contact, employment or education fields from the resume, review those values for omissions or errors before submitting. Upload and extraction behavior depends on the platform, so use the confirmation and preview controls available in that application.
