Yes, an Excel workbook can carry information that isn’t visible on the sheet you’re looking at: author details, comments, hidden sheets, external links and more. Excel’s built-in Document Inspector can find much of it, but it doesn’t catch or remove everything. The safe approach is to inspect a copy, review each finding, clean up what shouldn’t travel, and inspect again.
What a workbook can carry besides the visible cells
Microsoft Support’s guidance on inspecting documents lists the categories Excel can look for. Which ones apply depends on how the file was built.

- Comments and ink annotations.
- Document properties and personal information. Properties can include author, subject and title, plus details Excel maintains itself, such as who last saved the file, the creation date and the document location.
- Headers and footers.
- Hidden rows, columns and worksheets.
- Document server properties and custom XML data.
- Invisible content.
The Inspector also flags items that usually need manual attention: external links, embedded files and objects, macros/VBA, cached data from PivotTables, PivotCharts, slicers, timelines or cube formulas, Excel Survey questions, Scenario Manager scenarios, filter caches and hidden names.

Microsoft’s privacy supplement for Excel adds that, depending on the features used, a file can also hold file paths, external data details and, in some cases, authorization information. Not every workbook contains all of this. The point is that you can’t tell by looking at the sheet.

How to check a workbook, step by step
- Save a separate copy. Microsoft’s advice is blunt: use the Document Inspector on a copy, “because it is not always possible to restore the data that the Document Inspector removes.” Keep the original as your recovery point.
- Open the copy and run the Inspector. Go to File > Info > Check for Issues > Inspect Document. Tick the categories relevant to your file and select Inspect.
- Read the results before removing anything. Each finding has a Remove All button where removal is supported. Hidden rows, columns or sheets may feed formulas, so removing them can change calculations. Unhide them and check dependencies first.
- Remove what shouldn’t be shared. Do this category by category rather than clearing everything out of habit.
- Handle external links separately (see below).
- Review the manual-only categories: embedded objects, macros, cached BI data, scenarios, filters and hidden names.
- Run the Inspector again on the cleaned copy, then look through the file yourself before sending.
What the Inspector can remove versus only detect

External links need their own pass
According to Microsoft’s “External links found” page, the Inspector can tell you a workbook links to other workbooks but can’t remove those links. In Excel, open the links list (Data > Queries & Connections area, or Edit Links where available), then delete the links you don’t want to share. If you still want the numbers, choose to break the link so formulas become their current calculated values. Inspect again afterward.
Links can expose file names and paths of other workbooks, so it’s worth knowing where yours point.

Hiding or protecting a sheet is not cleaning it
A hidden worksheet is still in the file with all its data. Microsoft’s “Protect a workbook” guidance describes workbook structure protection as restricting access to hidden sheets and preventing structural changes. That controls what a recipient can do in Excel. It doesn’t remove data or encrypt it. If a sheet shouldn’t reach the recipient, delete it from the copy (after checking dependencies) or share values only.

Office also lets you block or allow external content, such as data connections and linked content, as described in Microsoft’s “Block or unblock external content in Office documents.” These settings govern whether such content can update or load when a file opens. They don’t strip metadata or hidden data from your file, so don’t treat them as a substitute for inspection.

Limits to know before you send
- The Inspector may miss objects that are covered by other objects. Skim the sheets visually, including the Selection Pane (Home > Find & Select > Selection Pane).
- If the workbook uses the legacy Shared Workbook feature, Microsoft says the inspectors for comments/annotations, properties/personal information and headers/footers can’t be used. Its workaround is to copy the workbook and turn off the legacy shared-workbook feature to remove that information. Menu names vary by Excel version, so confirm in yours.
- A clean second scan shows the Inspector found nothing more in the categories it checks. It doesn’t prove the file holds nothing sensitive. Cell values, sheet names, formulas and chart data are still yours to review.
