Preserve the information needed to continue work, document its sources and dependencies, secure contractual export and deletion rights, and test whether you can restore it elsewhere. The right level of portability depends on the value of the work, its sensitivity, and the consequences of interruption; portability is not an end in itself.
What counts as company memory?
Company memory is the organisational context and records people need to keep work going when a model, product, or provider changes. It is broader than a model’s internal behavior or a folder of prompts. Depending on how a system is used, it can include:
As an Amazon Associate I earn from qualifying purchases.
- Source data, documents, metadata, and records that are authoritative for the work.
- Prompts, configurations, logs, and model artefacts.
- Integrations, orchestration components, data flows, and dependencies on particular providers.
- Evaluation methods and results that help determine whether a replacement system still performs acceptably.
The Australian Government Architecture checklist asks agencies whether data, metadata, logs, configuration, prompts, model artefacts, and records can be exported in usable formats. That is a useful planning question for companies too, though the government guidance is not a universal legal requirement for private organisations. Australian Government Architecture checklist

Why portability is a system property
A file that can be downloaded is not necessarily a useful exit. Portability also depends on whether the organisation can interpret and restore the data, retain the metadata that gives it meaning, access it securely, and exercise contractual rights to retrieve it. Backups, recovery procedures, migration costs, and continuity arrangements matter alongside file formats. The Australian Government’s guide to managing lock-in, portability, and exit planning treats these as deliberate planning concerns.

Provider-specific features may be valuable enough to justify dependence on them. UK guidance recommends weighing the benefits of those features against switching costs and service importance rather than treating lock-in as automatically unacceptable. UK Government guidance on technical lock-in

Inventory records, owners, and dependencies
Map what the organisation needs to retain, where it lives, who is responsible for it, and which workflows rely on it. Include relevant prompts, datasets, model artefacts, integrations, orchestration components, logs, and evaluation methods. Record provider-specific dependencies, data flows, and accountable owners so that a future migration has a starting point rather than an undocumented web of assumptions. The Australian checklist specifically raises supply-chain mapping, dependency records, and documentation of data flows and ontology.
Keep authoritative knowledge separate from model behavior
Where possible, preserve authoritative source knowledge in records the organisation can govern independently of a model’s internal behavior. Retain useful context about each item: where it came from, when it was created, when it is valid, how confident the organisation is in it when confidence is meaningful, how it relates to other items, and whether it has been superseded or archived.

Portable AI Memory (PAM) v1.0 describes an interchange format for memories generated by AI assistants and includes fields of this kind. It is a proposed specification published on February 17, 2026—not evidence of an adopted industry standard—and it explicitly describes itself as an interchange format, not a storage format. Secure export and exit rights before choosing a provider
Procurement is the time to clarify what the company can take with it and under what conditions. The Australian checklist asks whether prompts, model artefacts, logs, and records can be exported in usable formats, and whether contracts constrain transition, extraction, interoperability, or access to records. Resolve the details in writing rather than assuming that a dashboard’s download button is a complete exit plan.
- Which data, metadata, prompts, logs, configurations, and model artefacts are exportable?
- Can exports be delivered in usable formats, with the context needed to interpret them?
- Who owns or stewards the records, and what audit and access rights apply?
- What are the export charges, technical requirements, timelines, and post-termination access period?
- How are data return and deletion handled, and what transition support is available?
- What security controls protect data during export, transfer, storage, and restoration?
AWS advises buyers to seek clear information on switching processes, technical requirements, timelines, charges, backups, formats, and the period data remains available for porting. Test the exit, not just the export button
An export feature does not demonstrate that a replacement system can use the information or keep a workflow working. Plan and run representative export-and-restore exercises, then record what succeeded, what needed manual repair, and what the transition would cost. The Australian checklist asks agencies to record exit-test results and set future review dates.
- Select a representative workflow. Choose one that uses important records, integrations, and model-dependent steps, rather than testing only a simple file download.
- Export the relevant context. Check that records, metadata, prompts, configurations, and other necessary artefacts are included in usable formats.
- Restore in a separate environment. Verify that the receiving system can interpret the data and that access controls and security safeguards remain effective.
- Evaluate the workflow. Use documented evaluation methods to assess whether the replacement produces acceptable results. Record format incompatibilities, reconfiguration, and manual work.
- Review the transition plan. Estimate migration and dual-running costs, identify continuity risks, assign owners, and schedule the next review.
Govern model changes with documentation and evaluation
Changing a model can affect outputs even when the surrounding data and workflow remain the same. Microsoft’s AI governance guidance recommends assessing risks tied to third-party models, data, and integrations, and documenting policies for model selection and onboarding. Model inventories, documentation, validation, and monitoring are also established model-risk practices in the Federal Reserve’s supervisory guidance. Its scope matters: the guidance dated April 17, 2026, explicitly excludes generative and agentic AI models, so it should not be presented as direct supervisory guidance for those systems. Choose a proportionate level of portability
There is no single format or architecture that makes every organisation’s AI memory portable. The Australian checklist gives CSV, JSON, and Parquet as examples for documenting exports, not as a universal solution. A technically portable format may still omit relationships, provenance, permissions, or workflow dependencies that make records useful.
Compare your options on the factors that affect your own exposure:
Recommended Free Tools
- Whether useful context can be exported and restored.
- Whether the organisation has clear ownership, stewardship, and contractual rights.
- Whether provenance and lifecycle information survive a change.
- Whether security and access controls can be maintained through transition.
- Whether model changes can be validated and monitored.
- What migration, dual-running, and continuity would cost.
- What value provider-specific features deliver, and what complexity they add.
Multiple providers can reduce concentration risk in some situations, but Australian guidance warns that diversification can also increase cost, operational complexity, and workforce demands. Decide deliberately, document dependencies the organisation accepts, and match the safeguards to the importance and sensitivity of the work.
