In XL Data Analyst Pro Version 3.3, averaging means adding the numeric observations in a metric variable and dividing by the number of numeric observations included. The manual calls that count the effective sample size. It says blanks and alphanumeric entries are ignored. This definition is specific to XL Data Analyst Pro; the title alone does not establish whether “XL” means that product or Excel generally.
How XL Data Analyst Pro calculates an average
The XL Data Analyst Pro Version 3.3 Manual, in its “Average Analysis” section, defines averaging as “the summing of all values for a metric variable and dividing that sum by the number of occurrences of all values which is the effective sample size.” In practical terms, add the included numeric values, then divide by their count.

For example, if a metric variable contains 4, 7, and 10, the mean is (4 + 7 + 10) ÷ 3 = 7. The effective sample size is 3. The manual says alphanumeric entries and blanks are ignored rather than counted as numeric observations. It does not specify in this section how every possible Excel cell type or error value is treated, so do not assume that all nonnumeric cases behave identically.
When a mean is the right summary
The manual distinguishes metric variables, which it summarizes with an average or mean, from categorical variables. For categories, it points to a mode or a frequency/percentage distribution. A category that happens to be stored as a number does not automatically become a meaningful metric: averaging category codes may produce a number that does not answer a useful question.

What the Averages worksheet reports
For each selected variable, the output worksheet named “Averages” reports these values:
- Average
- Standard deviation
- Minimum
- Maximum
- Sample size
When multiple variables are selected, the manual says they can be ordered by descending average, ascending average, or selection order; descending average is the default.

Outlier removal is optional
The manual says the option to remove outliers is set to “No” by default. This setting is separate from the averaging formula: removing outliers is an optional choice, not part of the basic definition of the mean. XL Data Analyst Pro’s broader manual describes ±3 standard deviations as its default outlier-identification method and ±1.5 IQR as an alternative. The choice of whether to remove identified values can affect the resulting average, so check the setting when interpreting an output.

The documented procedure is for XL Data Analyst Pro, not a universal definition for every spreadsheet product or file labeled “XL.” The Version 3.3 manual describes the product as a macro-enabled Excel file requiring Microsoft Excel version 16 or higher on Windows or Mac. It says it does not run in Excel Online or tablet-based Excel because those platforms disallow Excel macros; this is the manual’s compatibility guidance for the documented version, not a guarantee about later releases.
