Record the facts a later scene could contradict—character details, relationships, dates, world rules, and unresolved plot promises—along with where each fact came from and whether it is established, planned, or undecided. Update the reference while drafting, then run a continuity pass after major revisions. The goal is not to freeze characters or document every imagined detail; it is to preserve the story’s cause and effect as it changes.
What a series bible is—and what it should do
A series bible is a working reference for details that need to remain coherent across books. It gives you somewhere to check what the story has already established, what is intended for a later installment, and what is not yet settled. Chapter’s guide to creating a series bible describes its relevant material as characters, timeline, world rules, naming conventions, and plot threads. Its guide to maintaining one recommends updating it as you write rather than waiting until a manuscript is finished.

Think of the bible as a continuity tool, not a second novel or an encyclopedia of the fictional world. Its purpose is practical: when you are writing a scene, you should be able to find the relevant answer quickly. If a fact is unlikely to matter to a later scene, it may not need a dedicated entry. If changing it could create a contradiction or weaken a payoff, record it.
Continuity also does not mean that characters must stay the same. A character may change beliefs, habits, alliances, or goals. The reference should preserve the history and causes behind that change, not prevent it. Chapter’s discussion of multi-book arcs treats character development as one of the elements to carry across installments.

What to track before the details get hard to retrieve
Start with information that can cause a later scene to conflict with an earlier one. A short, accurate record is more useful than a large store of background that is difficult to search or keep current.
Recurring characters
Give each recurring character a record that identifies them and captures details with continuity consequences. Useful fields include their name and aliases, identifying physical details, relationships, relevant history, current status, and arc. Record a physical feature when it helps readers recognize the character or affects an event; there is little value in cataloguing details that never matter to the story.
Keep current state distinct from lasting history. A character’s home, job, allegiance, injury, or relationship may change between books, while the previous state still matters to chronology and cause. A dated or book-specific entry makes it possible to see both what is true now and how it became true.

Timeline and knowledge
Track the order of important events and the dates or elapsed time that affect the plot. This matters when books overlap, scenes happen in parallel, travel takes time, or a character’s age and availability depend on when something occurred. Include the event and the installment or scene where it takes place; if a precise date has not been established, label the timing as approximate or undecided rather than silently turning an estimate into canon.
For mysteries, secrets, and changing alliances, note who knows what and when. This is often more useful than recording only that an event happened. A character who learns a secret in one scene should not act on it earlier unless the story establishes another way they learned it.

Relationships and status changes
Record the nature of important relationships and changes in them: a first meeting, a falling-out, a reconciliation, a new allegiance, or a death. State whose perspective or knowledge the entry reflects when that distinction matters. This helps keep dialogue, choices, and scene assumptions consistent without treating a relationship as permanently fixed.
World rules, places, and names
Write down rules that constrain what can happen, particularly when later plot turns depend on them. Include relevant limits and exceptions, not just a broad label for how the world works. A rule is useful to record if a character could solve a problem by ignoring it, or if a reader may reasonably expect it to apply in a later scene.

Track recurring locations and naming conventions where they affect recognition or continuity. Include the spellings and forms you have chosen, along with distinctions that are easy to confuse. If a place, object, or resource changes state—such as being damaged, moved, lost, or recovered—record that change when future scenes rely on it.
Plot threads and promises
Keep a list of unresolved threads that are meant to matter again: a question raised, a clue planted, a promise made, a threat left active, or a relationship issue deliberately deferred. Note where the thread appears and what the next book is expected to address, if that is already decided. Label an intended payoff as a plan rather than an established event. That distinction lets you revise the plan without accidentally treating it as something readers have already seen.
Separate canon from plans and open questions
The biggest practical safeguard is to make the status of each note visible. A fact printed in a published book is not in the same position as a scene planned for a future installment. If both appear in the same undifferentiated list, a tentative idea can quietly become mistaken for canon.

Use three clear labels:
- Established: The fact appears in a published book or a manuscript you have locked as the current source of truth. Record where it appears.
- Planned: You intend to use the fact in a later installment, but it has not yet been established for readers. Keep it separate from confirmed story history.
- Undecided: The story has not settled the matter. This label prevents an omission from being mistaken for a deliberate answer.
Add the book, chapter, or scene that supports an established note and the date or version of the reference entry. These are editorial practices for making revisions traceable, not a formal standard. Their value is simple: if two notes disagree, you can find the relevant passages and decide which one should govern.
A note can be concise. For example, a record might say that a character’s established injury appears in a particular chapter, that a later recovery is planned, and that the exact timing remains undecided. The important point is to keep those three kinds of information distinguishable, rather than making the note sound more certain than the manuscript does.
Choose a format you can search and maintain
There is no single best format established by the cited craft sources. Choose according to how you retrieve information, how often details change, and whether anyone else needs to work with the reference. Chapter’s guidance supports the contents and maintenance practice; the Scrivener 3 User Manual documents a research folder for reference materials kept alongside a manuscript and index cards for ideas, character names, and scene ideas. Those are options, not requirements to use a particular product or buy software.
| Format | Useful when | Trade-off to consider |
|---|---|---|
| Searchable document | You want to write descriptive notes and keep a straightforward reference in one place. | As the material grows, headings and consistent labels matter so a relevant entry does not get buried. |
| Spreadsheet | You want sortable fields, such as dates, status labels, characters, or book and scene references. | It can be less comfortable for longer explanations unless you keep notes concise or link related records clearly. |
| Writing-project research folder | You want reference material stored alongside manuscript material. The Scrivener 3 User Manual documents this kind of research folder. | The reference still needs a consistent structure and maintenance; proximity to the draft does not by itself prevent contradictions. |
| Index cards | You want a tactile way to arrange ideas, character names, or scene ideas. The Scrivener 3 User Manual describes this use. | Cards can help organize ideas, but you still need a dependable way to preserve and search confirmed canon as the series grows. |
For a solo writer, compare options by search speed, ease of updating, handling of dates and parallel events, links between characters and scenes, offline access, and sharing or version history if collaborators are involved. The cited sources do not establish a head-to-head winner. A simple document that you update is more dependable than a sophisticated system you avoid opening.
Build the reference as you draft
Do not wait for the end of a book to reconstruct every continuity decision from memory. When a scene establishes a durable fact, add it to the bible while the context is still available. If a revision changes that fact, update the record then. Chapter’s maintenance guidance specifically recommends keeping the bible current as you write.

- Choose the home for the reference. Use a document, spreadsheet, or project research area that you can find without interrupting a writing session. If you work with collaborators, consider whether the system preserves shared changes or version history.
- Make records easy to scan. Organize by a few useful categories, such as characters, chronology, world rules, locations, and open threads. Give recurring people or events consistent names so searches return the expected results.
- Capture consequential facts at the scene. When a draft establishes a relationship, changes a character’s status, reveals information, or introduces a rule that will constrain later events, add a brief note and identify its location in the manuscript.
- Label certainty. Mark each entry as established, planned, or undecided. Do not file an outline possibility as confirmed story history.
- Update connected records after a change. If a late revision changes an event date, check dependent character ages, travel, knowledge, and future plot notes rather than editing only the line that first appears to be affected.
A useful entry answers the question a future drafting session is likely to ask. It does not need to preserve the whole scene; the manuscript remains the source for the scene itself. Keep enough context to locate and interpret the fact, then link it to the book, chapter, or scene where it was established.
Run a continuity pass after structural revisions
Line edits can alter meaning, and structural edits can change a scene’s order, cause, or outcome. After substantial changes, compare the current manuscript with the reference and classify each mismatch. Either the story is deliberately changing canon, or the draft needs correction. Leaving the conflict unresolved is what makes it easy to carry into another book.
Check these areas in a fixed order
- Names and identifiers: Check spellings, aliases, titles, and the identifying details used to distinguish recurring characters.
- Ages and dates: Compare stated ages, elapsed time, event order, and any timing that affects an installment or scene.
- Knowledge: Check who knows each secret or fact at that point in the timeline, and how they learned it.
- Relationships and status: Verify the sequence of meetings, changes in allegiance, injuries, absences, and other state changes.
- Travel and event order: Confirm that characters can be present where the manuscript places them and that parallel events remain in a workable order.
- World rules: Check that actions and outcomes respect the limits and exceptions already established.
- Objects and locations: Follow important items and places through moves, damage, loss, recovery, or other state changes.
- Setups and payoffs: Compare unresolved threads with what the current book resolves, defers, or changes.
These categories synthesize the reference areas identified in Chapter’s series-bible and book-series guidance. They are a practical checklist rather than a claim that every series needs the same level of tracking. Spend the most attention on facts that affect a scene’s logic or a future payoff.
Resolve every mismatch explicitly
When a check finds a conflict, decide whether the new version is intentional. If so, revise the reference and every dependent record, including future plans that no longer fit. If the manuscript change was accidental, correct the draft. If you cannot yet decide, mark the issue as undecided and avoid building later scenes on either version until you choose. This keeps one uncertain decision from spreading into several apparent facts.

For each major recurring character, track both what remains stable and what changes. A useful arc record connects an earlier state to a later one: what the character believed or wanted, what experience challenged it, and what choice or consequence marks the change. This is more useful than recording only a final personality label, because later scenes may need to show how the character reached that point.

Separate a character’s internal development from the external facts around them. Their beliefs may change while their history remains fixed; their role or relationship may change while an earlier promise still matters. When a character behaves differently in a later book, ask whether the story has supplied a cause, not whether the behavior matches a frozen description.
Also distinguish what the author knows about a character from what readers have been shown. A private note about motivation can help guide a scene, but it is not evidence that the reader has already learned the motivation. That distinction can protect both continuity and the timing of reveals.
Use the bible to support the story, not repeat it
A reference system is for the writer’s retrieval; it is not a requirement to restate every prior fact in each book. When readers need a reminder, provide only the context that helps them understand the current scene. The bible can tell you what is true, where it appeared, and what changed. The scene still needs to decide what a character would notice, remember, say, or avoid saying now.
Likewise, the reference should not dictate that every planned thread receive the payoff originally imagined. A plan can change. When it does, label and update the plan so that you know what the published story has promised and what remains an internal intention. This allows a series to develop while making deliberate changes distinguishable from continuity mistakes.
A practical minimum for a new series
If you are starting with a blank page, create only enough structure to capture the details most likely to affect later books. You can expand when the story gives you a reason, rather than trying to predict every future need.
- A character list with identifying details, relationships, relevant history, current status, and arc notes.
- A chronology of major events, including scene or chapter references and uncertainty labels for unsettled timing.
- A short list of world rules, naming conventions, and recurring locations that constrain the action.
- An open-thread list that records where each promise or question appears and whether its payoff is planned or undecided.
- A visible status label and source location for each established fact, plus a date or version for the note.
That minimum gives you a reference you can use immediately. Add fields only when they solve a recurring retrieval or continuity problem, and keep the reference aligned with the current manuscript rather than an obsolete draft.
