Word Templates vs. Themes: What’s the Difference?

A Word template gives you a reusable document starting point; a theme coordinates colors, fonts, and effects. Styles format text such as headings consistently.

A Word template is a reusable starting document; a theme is a coordinated set of colors, fonts, and effects that controls visual appearance. Choose a template when you need a ready-made structure or content, and choose a theme when you want to coordinate or change a document’s look. Word styles are a related third tool for formatting text such as headings consistently.

What is the difference between a Word template and a theme?

A template is a file you use to start a document. It can provide a layout, design elements, and content—for example, a resume, invitation, or newsletter. A theme is a set of formatting choices: theme colors, theme fonts, and effects. It gives a document a coordinated visual treatment.

The distinction is about their main jobs, not mutually exclusive choices. A template can already include a theme and styles. You can begin with the template’s structure, then use or change its theme to adjust the document’s appearance.

When should you use a template instead of a theme?

If you need… Use… Why
A ready-made layout, structure, sample content, or reusable form Template It is a starting file for a new document.
A coordinated palette, font set, or visual treatment Theme It applies a consistent set of visual formatting choices.
Consistent formatting for headings, paragraphs, or lists Style It applies reusable formatting to selected text.

Templates are most useful when beginning a document. Themes can also be applied to an existing document, and a theme can be reused across supported Office applications to give related documents a consistent look.

Do Word templates include themes?

They can. Microsoft says Word templates come ready to use with preset themes and styles. A template may set up page layout, fonts, margins, and styles as well as provide starter content. The theme is the visual-formatting part; the template is the broader starting document.

What are Word styles for?

Styles apply consistent formatting to selected text, such as headings or paragraphs. If you change a style, the text using it updates accordingly. Applying heading styles can also help Word build a table of contents. Styles therefore affect particular text sections, rather than supplying an entire document starting point or coordinating the document’s overall theme.

Can you change a Word theme without changing the template?

You can change a document’s theme without replacing its starting template. Themes control colors, fonts, and effects, and Microsoft’s guidance describes customizing theme colors and fonts. The documented controls let you select effects but do not let you create a custom effects set. You can save a custom theme as a .thmx file, and Word offers a Design-tab option to make a theme the default for new documents.

How are Word templates and documents saved?

In Microsoft’s documented Word for Windows desktop workflow, a template can be saved as .dotx, .dot, or .dotm; the macro-enabled format is .dotm. A document created from a template is saved separately, typically as .docx or, if macro-enabled, .docm. Saving the new document does not overwrite the template.

These format and menu details are specific to the documented Windows desktop workflow. Microsoft notes that steps can differ on Mac and Word for the web, so check the instructions for your version before following a particular menu path.
