If Windows 11 search misses files, first check whether the folder is included in the search index and whether the index has finished processing. If filenames appear but text inside files does not, check content indexing for that file type. Then run Windows’ built-in Search and Indexing troubleshooter; rebuild the index only if those steps do not resolve the problem.
First identify what Windows Search is missing
Windows Search uses an index of file names, paths, properties, and—when enabled for applicable file types—file contents to return results faster. A problem limited to one folder, file contents, or Outlook may have a different cause from a problem affecting searches across the PC.

- One folder is missing: Check whether its location is included in the index.
- Names appear but file text does not: Check the file type’s indexing setting.
- New files or results are incomplete: Give indexing time to process them.
- Only Outlook mail is affected: Treat it as an Outlook search or catalog issue rather than assuming Windows Search is broken everywhere.
Check which locations Windows indexes
Open Settings > Privacy & security > Searching Windows and inspect Find my files. The two modes control search scope; Enhanced is not a repair tool.

| Mode | Search scope | Resource consideration |
|---|---|---|
| Classic | Common folders such as Documents, Pictures, Music, and the desktop by default | Focused on common folders |
| Enhanced | User folders and files across the PC | May use more system resources |
If you use Classic and the missing files are elsewhere, select Customize search locations under Find my files, then add or modify indexed locations. Choose Enhanced only if you want broader coverage and are comfortable with its potential resource use. Microsoft explains Windows search indexing and its settings.

Make file contents searchable when filenames already work
If a search finds a file by name but not by words inside it, check the per-file-type setting in Indexing Options > Advanced > File Types. Windows can index a type’s properties only, or its properties and content. Properties-only indexing does not make the text inside those files searchable.
Allow indexing to finish
New files may not appear until Windows processes them. Microsoft says, “When you first run indexing, it can take up to a couple hours to complete.” That is an estimate for initial indexing, not a guaranteed maximum for a large collection or a rebuild. Results may remain incomplete while processing catches up. Microsoft Support’s indexing explanation describes the initial run and indexing behavior.

Run the Search and Indexing troubleshooter
- Open Settings > Privacy & security > Searching Windows.
- Select Advanced indexing options to open Indexing Options.
- Select Advanced, then Troubleshoot search and indexing.
- Follow the troubleshooter’s prompts for the symptom you are experiencing.
Microsoft documents this built-in troubleshooter path in its guidance for search problems. See Microsoft’s Search and Indexing troubleshooting instructions.

Rebuild the index if the earlier steps do not help
Rebuilding restarts cataloging; it does not instantly restore complete results. Use it after checking scope, content settings, indexing progress, and the troubleshooter.

- Open Settings > Privacy & security > Searching Windows, then select Advanced indexing options.
- In Indexing Options, select Advanced.
- Select Rebuild and confirm if prompted.
- Allow Windows time to recreate the index; results can remain incomplete while it processes files.
Microsoft’s catalog-rebuild instructions document the Rebuild control in Indexing Options. Their page addresses Outlook search, so an Outlook-only issue should be handled in that context rather than treated as proof of a Windows-wide failure.

When the problem needs a different investigation
- It began after a Windows update: Focus on the update and the affected device rather than applying unrelated registry edits or third-party utilities.
- The PC is managed by work or school: Check with the administrator before changing settings that may be managed.
- Only Outlook search is affected: Investigate Outlook’s search scope and catalog behavior separately.
- Search remains broken after these steps: Windows’ published guidance does not establish one universal cause or guaranteed repair for every case.
