Start with the printer troubleshooter in the Get Help app, then choose the checks that match your symptom: offline, not detected, jobs stuck in the queue, or printing problems in one app. Microsoft recommends Get Help as the starting point for Windows 11; it attempts to diagnose and fix many printer problems, but no single step works for every printer.
You do not need to complete all nine steps if the printer starts working. For an offline printer, begin at Step 2; for a stuck job, go to Step 5. The steps below follow a general progression from connection checks to Windows services and printer setup.

1. Run the Get Help printer troubleshooter
Open Get Help from the Start menu and search for the printer troubleshooter. Run the automated check and follow any on-screen instructions. Microsoft specifically recommends this as the first step on Windows 11 because it runs diagnostics and attempts to resolve common printer problems.

2. Check the printer’s power and restart it
For an offline or unresponsive printer, first make sure it is powered on and not showing an error on its display. Then use Microsoft’s power-cycle sequence:
- Turn the printer off.
- Unplug its power cord and wait 30 seconds.
- Reconnect the cord and turn the printer on.
Wait for the printer to finish starting up before trying to print again. This is a basic reset, not a guarantee that the underlying cause has been fixed.
3. Check the connection: Wi-Fi or USB
For a Wi-Fi printer
Confirm that the printer and Windows 11 PC are connected to the same Wi-Fi network. Check the network shown on the printer’s own screen or setup menu; the precise labels vary by model. If either device has recently changed networks, reconnect it to the intended network before troubleshooting Windows further.

For a USB printer
Make sure the cable is firmly connected at both the printer and PC, and check that the ports are compatible. A cable swap is relevant only for a wired setup—for example, if the cable is visibly damaged or a known-good compatible cable is available to test. Microsoft’s guidance does not establish one universal connector type, so check the printer and PC documentation before replacing a cable.
4. Select the intended printer and check the default
When a document seems to disappear or goes to the wrong device, confirm that the print dialog is sending it to the printer you intend to use. In Windows, open Settings > Bluetooth & devices > Printers & scanners and select the printer to review its settings.
If you want Windows to use that device by default, check the default-printer setting there. Windows can manage the default printer automatically; when that option is enabled, the controls for choosing a fixed default may differ. Microsoft includes checking the default printer in its offline-printer troubleshooting steps.

5. Check the correct print queue
A job can be held in the queue even when the printer itself is connected. In Settings > Bluetooth & devices > Printers & scanners, select the printer that should receive the document and open its queue. Confirm the queue belongs to that printer; a different device’s queue will not show the job you are trying to manage. Microsoft describes the queue as the place to view pending print jobs in its print queue instructions.
If a job is clearly stuck and no longer needed, cancel it from that queue. Avoid clearing other pending jobs unless you intend to discard them. Then try a small test print.
6. Restart the Print Spooler service
If printing remains stuck or the queue does not respond, restart the Windows Print Spooler service:

This resets a Windows service involved in handling print jobs. It can help when jobs or printing are unresponsive, but it does not address every connection, printer, or driver problem. Microsoft includes the service restart in its offline-printer workflow.

A driver problem can prevent Windows from communicating correctly with a printer. Microsoft recommends Windows Update as the preferred way to download, install, and update printer drivers. Open Settings > Windows Update and check for available updates; follow any applicable prompts, then test the printer again. For model-specific requirements, consult the printer maker’s instructions for the exact model.

8. Remove and add the printer again
If basic power and connection checks have not helped, remove the printer from Windows and add it again. Open Settings > Bluetooth & devices > Printers & scanners, select the affected printer, and choose the available remove option. Then return to Printers & scanners, select Add device, and follow the setup prompts.
Keep the printer’s model-specific setup instructions available, especially if it uses a special network or installation process. Microsoft places removal and reinstallation later in its offline troubleshooting sequence, after simpler checks.
9. Restart the PC and test again
After changing printer settings, restarting Print Spooler, updating a driver, or adding the printer again, restart the PC and try printing once more. A restart can refresh Windows components involved in printer communication. Test with a simple document and verify the selected printer before sending a larger job.
Quick Recap
If it still will not print, follow the symptom
- Printer not found: Use Microsoft’s connection guide for discovery and setup issues rather than repeating queue steps.
- Only one app fails: If printing works elsewhere but not in Word, Excel, or another application, use the app-specific troubleshooting path in Microsoft’s printing problems guide.
- Shared printer: A printer shared from another PC has additional connection and availability considerations; follow the shared-printer guidance in the same Microsoft guide.
- Paper jam, slow output, or poor print quality: These are different problems from Windows queue or driver failures. Use the printer maker’s instructions for physical maintenance and model-specific print-quality settings.
