Windows network sharing or OneDrive: which fits your situation?
| What you need | Better starting point | Why |
|---|---|---|
| Share a folder between computers on the same home or workplace network | Windows network sharing | It gives other network users access to a shared location on the local network. The computer hosting that location must be on, and users need permission to access it. Microsoft’s Windows network-sharing guide explains the setup. |
| Share files with someone over the internet | OneDrive | You can invite someone by email or share a link, with available audience and permission settings. Microsoft’s OneDrive sharing guide describes the options. |
| Keep files in sync across devices | OneDrive sync | Changes in the synced OneDrive folder are reflected online and vice versa. Synced files can also be made available offline. See Microsoft’s OneDrive sync guide. |
| Control who can view or edit a cloud file | OneDrive sharing | Link settings can limit the audience and allow or prevent editing. Options vary with account type and, for work or school accounts, administrator policy. Microsoft documents OneDrive sharing settings. |
| Send something to a nearby device without creating a shared folder | Nearby sharing | Windows offers this as a separate sharing option in File Explorer. It is not a persistent network folder share or OneDrive sync. See Microsoft’s Windows sharing overview. |
How to share a folder on your Windows 11 network
Network sharing suits a folder that people on your local network need to open. In File Explorer, the owner can share with a named network user or choose “Everyone” on that network. Sharing a folder also exposes its files.

- On the computer that holds the folder, open File Explorer and right-click the file or folder.
- Choose “Show more options,” then “Give access to” and “Specific people.”
- Select a network user or “Everyone,” then follow the prompts to finish sharing.
- On another computer on the network, open the shared location in File Explorer. If you want a persistent route to it, map the network location as a network drive.
The computer hosting the folder needs to be on and reachable when someone tries to use the share. The person opening it also needs the appropriate permissions. For Microsoft’s full steps, see File sharing over a network in Windows.
How OneDrive sharing differs from OneDrive sync
Share a link or invitation
To let someone else access a file or folder, select it in OneDrive and choose Share. Set the audience and whether recipients can edit before copying a link or sending an email invitation. Depending on the selected audience, a recipient may be able to forward the link for others to use. You can later review access, change permissions, or disable a link. Work or school administrators may restrict which sharing options are available. See Microsoft’s OneDrive sharing instructions.

Sync files across devices
Sync is different from sending a sharing link. It keeps files in a OneDrive folder connected to OneDrive online, with changes reflected in both places. Files can be available offline, so syncing is useful when you need access from more than one device or without a network connection. See Microsoft’s instructions for syncing files and folders.
Save local disk space with Files On-Demand
Files On-Demand lets you see online-only OneDrive items in File Explorer without storing their contents on the PC. You can mark selected items to stay available offline; those items use local storage. Microsoft explains the feature in Save disk space with OneDrive Files On-Demand for Windows.

Can you open a Windows shared folder away from home?
Windows network sharing is designed for access on a local network. A shared folder does not by itself provide internet access when you are away from that network. For sharing over the internet, Microsoft directs users to OneDrive. If the goal is to reach the same files on multiple devices, OneDrive sync is another option; a share link and a synced folder serve different purposes.

Microsoft’s documentation describes features and setup, but does not provide a comparative test of speed, setup time, cost, or security for Windows network sharing versus OneDrive. Those outcomes should not be assumed to favor one option universally. Choose based on where recipients are, whether they need ongoing sync or offline access, what permissions you need, and whether the host computer can remain available.
