A successful submission only proves the form accepted the visitor’s input. WordPress then hands the message to a mail transport, and the receiving mailbox decides whether to deliver it. The break can happen at any of those three points, so the fix depends on which one failed.
Work through the stages in the order below. Most failures are found in the first two steps, and most of the rest come down to sender identity, authentication records, or the mail route your host provides.

Find which stage failed
Before changing any settings, decide where the message disappeared. The symptom usually tells you which stage to test first.

A page confirmation message is not evidence of delivery. The form can display “Thanks, your message was sent” when only stage 1 has completed.

Troubleshoot the form and WordPress mail
Step 1: Confirm the form actually submitted
Open the submission list or entries screen in your form plugin and look for the test you just sent. Note its time stamp. If the entry is missing, the problem is in the form itself, such as a required field, a validation error, or a blocked request, and the mail settings are not the cause yet. If the entry exists, the form received the message and you can move on.
Step 2: Check the notification settings
Confirm that the notification is enabled, that the recipient address is correct, and that no conditional logic, routing rule, or spam filter is suppressing it. Menu names and options differ between form plugins, so use the documentation for your specific plugin. Step 3: Test WordPress mail separately from the form
Send a plain test message through WordPress, outside the form plugin. If that test also never arrives, the problem is in the site’s mail path rather than the form. If it arrives, the form’s notification configuration is the more likely cause.

Be careful about what a test result means. The wp_mail() function returns true when WordPress processed the request without an error. The official reference states it plainly: “A true return value does not automatically mean that the user received the email successfully.” (WordPress Developer Resources, wp_mail() reference). WordPress also fires the wp_mail_failed action when an error occurs, which a developer or a logging plugin can use to record failures.

Check the mail transport on your host
By default, WordPress sends mail through PHP’s internal mail() function. That function depends on a sendmail-compatible mail transport on the server. On a self-managed server without a properly configured mail transfer agent, mail can fail silently. On managed hosting, the host usually supplies this layer, but its configuration and restrictions vary.
Ask the host three specific questions:
- Does the server accept outbound mail from this site?
- Can you show the mail log entries for the time of my test?
- Is there a sending limit, or is outbound mail restricted for this account?

Fix the sender identity and DNS authentication
Many mailboxes reject or quarantine mail that appears to come from a domain the sending server is not allowed to use. This is one of the most common causes of contact form messages that vanish.
Set a From address you control
Set the From address to an address on a domain you control and that your sending service is authorized to use. WordPress documentation warns that a From address on a domain the sending mail server does not handle can cause delivery problems. The visitor’s email address belongs in Reply-To, which lets you reply directly to the visitor without impersonating them. Most form plugins offer a separate Reply-To field, or they insert the visitor’s address there automatically.

Verify SPF, DKIM, and DMARC
Three DNS records influence whether receiving servers trust your mail:
- SPF lists the servers allowed to send mail for your domain.
- DKIM adds a cryptographic signature that proves the message was not altered and was signed by your domain.
- DMARC tells receiving servers what to do with mail that fails SPF or DKIM checks.
Use the current DNS instructions from the mail provider you have selected, not a generic example. Avoid publishing more than one SPF record for the same domain, because conflicting records can cause authentication to fail. To check the result, open a message that reached your mailbox, view its full headers, and look for the SPF and DKIM results. Route mail through SMTP or a mail API when the default fails
If the host’s default mail route is missing, blocked, or unreliable, you can send WordPress mail through an authenticated service instead. WordPress’s handbook describes configuring the mail function to send through a remote SMTP server, and plugins can do the same work for you.
WP Mail SMTP, listed in the WordPress.org Plugin Directory, supports SMTP and API-based mailers. Choose the mailer that matches the account you already have, whether that is a mailbox provider, a transactional email service, or your host’s own SMTP service. The plugin needs the hostname, port, encryption method, and credentials or API key that the provider gives you. Those values differ by provider, so take them from the provider’s own configuration page rather than from a template. The plugin page is here: WP Mail SMTP.

When you change routes, send a fresh test from the form and check the provider’s sending log. A new route will not fix a sender address or DNS problem if those are still wrong.

If your site runs on WordPress.com, outgoing site email can be blocked at the platform level, and that includes contact-form notifications. A plugin change will not fix a platform block. Check the site’s status and follow the official unblocking steps in Remove a Block on WordPress.com Site Emails.
Check the recipient side
If a message exists in the mail provider’s logs but never shows in your inbox, the receiving mailbox is filtering it. Start with the Spam, Junk, and quarantine folders, then search for the visitor’s address or the form’s subject line. What to send when you escalate
If the host or mail provider has to investigate, a short, specific report saves time. Include:

- The timestamp of a test submission, with its time zone
- The sender and recipient domains
- The form plugin and its version
- Any WordPress or plugin mail error, copied exactly
- The SMTP or API response, if you use a remote mailer
- Full message headers, if a copy reached a mailbox
Ask two direct questions: did WordPress hand the message to the mail service, and did the receiving server accept or reject it?
Choose a sending method with these criteria
When you decide between your host’s mail route, your existing mailbox provider, and a transactional email service, compare them on the following points:
- Whether the provider allows website or application sending
- Which authentication method and DNS records it requires
- Sending limits and whether rejections appear in its logs
- Whether you can verify your sending domain yourself
- How credentials or API keys are stored, rotated, and restricted
- Cost and the quality of support
No single provider is the right answer for every site. The best option is the one that matches your domain, your volume, and the account you already manage.
