Shopify Admin automation is not inherently a browser-automation problem: Shopify provides Flow for event-driven workflows and the GraphQL Admin API for custom integrations. The hard parts are choosing the right surface, staying within plan and API limits, handling large workloads, preventing workflow loops, and maintaining automations as API versions change. Shopify’s documentation supports those platform constraints, but it does not establish a particular author’s “nightmare,” fix, or outcome; this guide focuses on what can be verified and how to make the implementation decision.
Why Shopify Admin automation can become difficult
An automation can be easy to build and still be difficult to operate reliably. A workflow may process too much data, overlap with other workflows, compete for API capacity, or depend on fields that change over time. These are design and maintenance constraints—not evidence that every Shopify task needs browser control.

Workload and API capacity
Shopify identifies concurrent workflows that fetch data and call APIs as a potential performance issue. Flow usage limits depend in part on plan, while custom integrations must also handle Admin API throttling. An automation that runs against a small store or narrow event stream may behave differently from one handling many records or frequent events.

Shopify warns that selecting a very large list can hurt performance, and selecting the wrong list can lead to the wrong action. More than 10 active workflows sharing a trigger can produce an activation warning because each event may need to be processed by all of them. A workflow can also trigger itself: Shopify’s example is a “Customer tags added” trigger paired with an action that adds customer tags, which can create further runs.

Version changes create maintenance work
Shopify says Flow uses GraphQL Admin API version 2026-01 to evaluate workflow conditions and variables and to take store actions. Shopify releases API versions every three months and warns that workflows may need changes when fields are altered or deprecated. A workflow can remain present while a data contract it relies on changes.
Choose between Shopify Flow and a custom integration
Start with the task, not with a tool preference. Flow is the native option for event-driven work that fits its triggers, conditions, and actions. A custom integration is worth considering when you need API capabilities, request control, or processing patterns beyond the Flow interface.

| Decision factor | Shopify Flow | Custom Admin API integration |
|---|---|---|
| Best fit | Event-driven task represented by available triggers, conditions, and actions | Task needing API capabilities or control beyond the available Flow actions |
| Plan considerations | Available on Basic, Grow, Advanced, and Plus. Send HTTP Request is available on Grow, Advanced, and Plus; tasks created by custom partner apps are available on Plus. Check current plan documentation. | Access and limits depend on the applicable API rules and store plan; design for the relevant limits. |
| Large reads | Keep selected data narrow and filter results where possible | Consider GraphQL bulk operations rather than many individual reads |
| Maintenance | Review workflows when API versions or fields change | Maintain the integration against Shopify’s versioned GraphQL Admin API |
Shopify’s Flow documentation also describes a “Send Admin API request” action that can use many mutations, including some not exposed as built-in actions, subject to plan and API rules. That can bridge some capability gaps without immediately requiring a separately operated integration.
Check plan and workflow limits before building
Plan eligibility is part of the design, not an afterthought. Shopify’s current documentation lists Flow for Basic, Grow, Advanced, and Plus plans, with the action restrictions shown above. Its troubleshooting documentation currently states a maximum of 100 workflows for creating workflows; stores grandfathered above the limit may continue operating above it. It also says an activation warning may appear when more than 10 active workflows share a trigger. These documented figures can change, so verify the current Shopify pages before relying on them.

- The receipt printer can connect to your tablet via Bluetooth or Ethernet (via router)
- The Cash drawer connects directly to the receipt printer with the included RJ11 cable.
- The Thermal Printer does not require ink or toner. (Thermal paper roll required - 80mm or 3-1/8 inches paper width).
- PRINTER SETUP: In Shopify POS, tap Settings>Set up a new device > Receipt printers, and follow the prompts. (The Cash drawer connects directly to the receipt printer with the included RJ11 cable, no setup required) SCANNER SETUP: 1- In the included manual, scan Bluetooth HID mode. 2-On your device, Search for Bluetooth devices, and pair. 3-In Shopify POS app, go the Settings, and enable "Allow HID mode" 4-Android only- On device, go to Settings > System > Keyboard > Physical keyboard and turn on "Show on-screen keyboard"
Shopify also notes that Flow limits depend in part on plan-related API limits. A workflow that looks correct in isolation may still be a poor fit if many similar workflows run concurrently or the required action is unavailable on the store’s plan.
Design around API throttling and large reads
For new custom integrations, use GraphQL Admin API as the starting point. Shopify labels the REST Admin API legacy as of October 1, 2024, and its REST rate-limit documentation says, “All apps and integrations should be built with the GraphQL Admin API.”

GraphQL uses query-cost limits
Shopify’s current GraphQL Admin API documentation lists query-cost restore rates of 100 points per second for Standard, 200 for Advanced Shopify, 1,000 for Shopify Plus, and 2,000 for Commerce Components. These are GraphQL query-cost restore rates, not requests-per-second figures. Shopify recommends simpler, lower-cost queries and bulk operations for large reads. The applicable limits and plan rules should be checked against the current documentation.

For context when maintaining an existing REST integration, Shopify documents request-based limits of 2 requests per second for Standard, 4 for Advanced, and 20 for Plus. Shopify documents HTTP 429 responses when REST limits are exceeded and advises limiting, caching, and retrying calls responsibly. These REST figures are not GraphQL limits and should not guide a new integration design.

Practical safeguards
- Request only the fields and records the automation needs.
- Filter lists so later steps do not process irrelevant data.
- For large GraphQL reads, evaluate bulk operations instead of issuing many individual requests.
- Plan for throttling with responsible retries; avoid retry behavior that creates a burst of repeated calls.
- Where Flow performance is an issue, Shopify’s optimization guidance suggests options such as adding filters, inserting a Wait step, or adjusting a scheduled trigger.
Prevent workflow loops and unnecessary fan-out
Map each trigger to the actions it causes, then check whether any action can produce the same trigger again. If it can, add a terminating condition or redesign the trigger/action relationship so the workflow does not repeatedly recreate its own starting event. Review workflows that share a trigger as a group: more active workflows on the same event can increase processing and resource use.
Keep workflows focused on a defined event and outcome rather than building one broad workflow that selects large lists and branches through many unrelated tasks. Shopify’s guidance links oversized selections and concurrent API-heavy workflows with performance concerns; narrower data selection and filtering reduce unnecessary work.
Quick Recap
A practical decision checklist
- Define the event and outcome. Identify what changes in the store should start the automation and exactly what it should do.
- Check Flow coverage. Confirm that the trigger, conditions, and actions you need exist, including whether any action requires a particular plan.
- Estimate volume and data size. Consider event frequency, the number of records selected, and whether a large read calls for GraphQL bulk operations.
- Choose the needed level of control. Use Flow when its capabilities fit; consider a custom GraphQL Admin API integration when you need finer control over requests or processing.
- Check for collisions and loops. Count active workflows sharing the trigger and make sure an action cannot immediately cause the same workflow to run again without a stopping condition.
- Plan for change. Keep track of the API version and fields the automation depends on, and review it as Shopify releases new API versions.
