Why Pharma ERP Dashboards Miss the Full Supply Chain Picture

A pharma ERP dashboard is only as complete as its underlying data. See how connected sources, shared identifiers, reconciliation, and governance support better supply-chain decisions.

An ERP dashboard can display the records connected to it; it cannot reveal product details, partner activity, or shipment events that were never captured, integrated, or reconciled. In pharmaceutical supply chains, dependable visibility comes from the data architecture behind the dashboard: consistent identifiers and definitions, connected operational systems, validated records, and clear handling of exceptions.

What an ERP dashboard can—and cannot—show

A dashboard is a decision interface, not a data-capture or integration system. It can summarize information available to its connected sources, but the view may be incomplete, too aggregated, delayed, or based on inconsistent definitions.

As an Amazon Associate I earn from qualifying purchases.

A GS1 US healthcare case illustrates the granularity problem: an ERP recorded receipt of a carton quantity, while a connected system recorded each stent’s serial number, lot number, and expiry date. If a decision depends on the individual device, the carton-level ERP record alone cannot answer it. The additional detail becomes useful only when the systems can associate it with the relevant receipt and make it available to the people and workflows that need it.

Even a dashboard that combines several systems can mislead if product codes do not match, units differ, timestamps describe different events, or shipment and receipt records cannot be reconciled. A polished chart does not resolve those underlying problems.

What architecture makes visibility possible?

A practical design connects operational records to an analytics layer and then to a dashboard. The exact integration method and update frequency depend on the systems, data quality, and trading partners involved; a connection should not be called real time unless its source behavior and refresh cadence support that claim.

  1. Capture operational activity. Identify the records needed for the decisions in scope, such as ERP purchase orders, receipts, and inventory; manufacturing or warehouse transactions; supplier and distributor feeds; and serialization or scanning events. Include relevant locations and shipment legs rather than assuming that one system represents the entire chain.
  2. Connect sources deliberately. Exchange data through suitable APIs, files, messages, or event feeds. Define refresh schedules and record what each source actually reports. Scheduled batch updates may be appropriate in some situations; event-driven connections may suit others.
  3. Align identifiers and meaning. Map product and location identifiers, units of measure, timestamps, and business-event definitions. Keep the source meaning visible: for example, distinguish a shipment from a receipt rather than treating both as a generic inventory movement.
  4. Validate and reconcile. Check for missing, duplicate, conflicting, or out-of-order records and mismatches between orders, shipments, receipts, and product events. Route exceptions for resolution instead of silently dropping or overwriting records.
  5. Build a governed analytics layer. A warehouse or equivalent store can reconcile operational data and apply consistent definitions to measures. Preserve source lineage so users can trace a dashboard value back to its underlying records.
  6. Present decisions with a path to detail. Show trends and key measures in dashboards, with drill-through to transactions or exceptions where appropriate. Set access, ownership, and audit controls for sensitive operational, commercial, or patient-related information.

This is a design pattern, not a requirement to buy a particular platform or move every source into one database. The useful architecture is the one that covers the decisions and partners in scope, exposes data quality issues, and makes the limits of each measure understandable.

Why partner data needs shared standards

Supply-chain visibility crosses organizational boundaries. Each participant may have its own systems, identifiers, event definitions, and exchange arrangements. A dashboard cannot bridge those differences unless the data is exchanged and interpreted consistently.

For U.S. enhanced drug-distribution tracing, FDA recommends the GS1 Electronic Product Code Information Services (EPCIS) standard for secure, interoperable electronic data exchange. FDA also says the Drug Supply Chain Security Act (DSCSA) does not require a specific location identifier such as a Global Location Number (GLN), although a trading partner may request one for EPCIS exchange. EPCIS is a recommended interoperability approach, not the only possible approach, and a location identifier should not be described as a DSCSA mandate.

FDA’s DSCSA pilot program explored technologies and methods for enhanced product tracing and verification and has concluded. FDA states that pilot participation does not constitute endorsement of a technology or a determination of compliance. A standard or pilot is therefore not, by itself, proof that a company’s system meets its obligations.

For regulatory applicability, FDA describes DSCSA section 582 product tracing as applying to most human prescription drugs in finished dosage form and relevant trading partners, including manufacturers, repackagers, wholesale distributors, and dispensers. FDA lists exclusions such as over-the-counter drugs, animal drugs, certain intravenous drugs, medical gases, and lawfully compounded drugs. Organizations should confirm applicability against current law and FDA guidance rather than infer it from a dashboard or technology choice.

What case studies show—and what they do not

A data warehouse can make measures more consistent

A 2026 case study of Primary Health Care Corporation in Qatar describes supplier ERP data extracted into an enterprise data warehouse, checked for inconsistent product codes, units, and transaction timestamps, and presented in Tableau dashboards with KPIs and drill-downs. The dashboards were deployed across a network of 32 pharmacies. This is one example of combining validation and analytics; it is not a universal architecture prescription.

The study reports a back-order rate movement from 6.7% to 4.5% in 2024, average medication shelf life moving from 551 to 568 days, and— in its abstract—96% valid inventory and 3% very short-expiry items. These are descriptive results from one network. The authors characterize the work as a single observational case without statistical or inferential evaluation, so the figures do not establish that dashboards caused the changes or predict results elsewhere.

Shared event data can address gaps between partners

In a GS1 US case about a non-pharmaceutical retail pilot, organizations described gaps at trading-partner boundaries in fragmented, point-to-point exchanges. Shared EPCIS events helped align shipment information and investigate discrepancies. The example illustrates an interoperability challenge, not evidence of a pharmaceutical outcome.

  • Please Note: To reach 10Gbps speed, keep the cable under 3.3 ft. For USB A Male to USB C adapters, try flipping the USB C connector. USB C Male to USB A adapters support bidirectional 10Gbps transfer within 3.3 ft

That retail case page reports a 99% detection rate during an eight-week Walmart/Gildan pilot. The figure belongs to that specific retail pilot and should not be transferred to pharmaceutical products or treated as a general performance benchmark.

Serialization depends on collaboration as well as technology

A historical GS1 US case describes an AmerisourceBergen and Johnson & Johnson Supply Chain pilot involving serialization. The case gives AmerisourceBergen’s scale at the time as more than 450 manufacturers and more than 60,000 customers; those historical figures are not a current verified count. The case’s broader lesson is that partner agreement and implementation matter alongside a serialization platform. Serialization may support investigations into counterfeiting or diversion, and GS1 US says end-to-end visibility can make recalls more efficient; these are potential benefits, not guaranteed or universally measured outcomes.

How to judge whether a visibility dashboard is decision-ready

Before relying on a measure, check whether it represents the operational question you need to answer, rather than simply the data easiest to display.

  • Granularity: Does the view distinguish aggregate quantities from lot, serial, expiry, and shipment-event details where required?
  • Coverage: Which internal systems, suppliers, distributors, locations, and transportation legs actually contribute data?
  • Quality and reconciliation: Are identifiers, units, and timestamps validated? Can users find missing, duplicate, conflicting, or unmatched records?
  • Latency: When was each source last refreshed, and does the update pattern fit the decision? Label scheduled data accordingly instead of implying real-time status.
  • Interoperability: Can partners exchange and interpret events consistently? For U.S. enhanced tracing, consider FDA’s EPCIS recommendation alongside partner capabilities and applicable requirements.
  • Governance: Who owns definitions and exceptions? Can users trace a KPI to source records, and are access and audit controls appropriate?
  • Decision fit: Are KPI definitions stable, and can each user role drill into the transactions or exceptions needed to act?

If a measure fails one of these checks, adding more charts is unlikely to fix it. The corrective work may be better event capture, identifier mapping, partner data exchange, reconciliation, or clearer metric ownership.

Where scanning fits

A 2D barcode scanner can capture GS1 DataMatrix identifiers at a point where staff handle a product, which can help bring serial, lot, or expiry details into a connected workflow. The scanner alone does not create end-to-end visibility: software must interpret the captured identifiers, associate them with the relevant transaction or event, and pass the resulting data into systems that can validate and share it.
