First identify which setting disappeared and whether you are using classic Outlook for Windows, new Outlook for Windows, or Outlook on the web.
Why did my Outlook theme disappear?
The cause depends on what you mean by “theme.” A switch from classic Outlook to new Outlook can leave email stationery behind because that feature is not available in new Outlook or Outlook on the web. By contrast, new Outlook can import selected classic Outlook preferences, including dark mode and header theme, when the required cloud-settings option is enabled. An Office visual refresh can also change the Office theme selection so it follows Windows appearance.

Did you switch Outlook clients?
Classic Outlook for Windows, new Outlook for Windows, and Outlook on the web do not have identical features. Microsoft documents email stationery and message themes for classic Outlook for Windows, but says the feature is not currently available in new Outlook for Windows or Outlook on the web. An old stationery design therefore may have no equivalent feature in the client you switched to.

Microsoft’s feature comparison also has a “Themes” entry for new Outlook, while its stationery guidance describes a classic-only email-formatting feature. These refer to different kinds of themes: interface or header appearance is not the same as stationery applied to outgoing messages.

Will my settings transfer to new Outlook?
New Outlook offers an optional settings import when you first switch from classic Outlook. You can choose Import Settings or Skip; if you skipped, preferences may not appear immediately. Microsoft’s import list includes selected mail and calendar preferences, including conversation grouping, reading-pane position, density, preview text, folder expansion, dark mode, header theme, notifications, signatures, auto-replies, Focused/Other, display language, mark-as-read behavior, Quick Steps, calendar and to-do pane settings, default font, meeting hours, reminders, time zones, date and time formats, and calendar view. It is a selected list, not a guarantee that every customization transfers.
Check the classic Outlook cloud-settings prerequisite
In classic Outlook, open File > Options > General and select Store my Outlook settings in the cloud. Microsoft says this option is required for the documented settings import and that Outlook must be restarted after enabling it.

Retry the import in new Outlook
- Open Settings > Accounts > Your accounts.
- Choose Manage next to the primary account.
- Select Get Started to retry settings migration.
If you never used Outlook for Windows, Microsoft says default settings are applied. Microsoft also says new Outlook settings are reflected in Outlook on the web. Neither point means that classic-only stationery is converted into a web or new Outlook feature.
Did Office change from Colorful to the Windows theme?
Microsoft says enabling the Office visual refresh changes a prior Colorful selection to Use system setting. Office then follows Windows’ light or dark choice. To select a different Office appearance, open an Office app’s theme dropdown—often under File > Options > General > Office Theme—and choose the theme you want. The exact route can vary by app or build.

Is dark mode changing the message instead of the app?
Outlook can have distinct appearance controls for the overall app, reading pane, and compose window. A light or dark message background may therefore change even when the overall Office theme has not. In new Outlook, go to Settings > General > Appearance, choose Dark or Light/Use system settings, then select Save. In classic Outlook, choose File > Office Account > Office Theme > Black; Microsoft says this Office theme choice applies across Microsoft 365 desktop applications. The reading-pane light-background control affects how a message is read, not the overall app theme.
Where did my saved stationery go?
Classic Outlook saves custom stationery as HTML in %appdata%microsoftstationery. In classic Outlook for Windows, check that folder for the file and apply the stationery there. Microsoft does not document this as an automatically migrated feature, and the stationery feature is unavailable in new Outlook for Windows and Outlook on the web.

What to check if the setting is still missing
- Identify the client: classic Outlook for Windows, new Outlook for Windows, or Outlook on the web.
- Name the missing setting precisely: Office app color, dark mode, header theme, or outgoing-message stationery.
- If you changed clients, check whether you chose Import Settings and whether classic Outlook’s cloud-settings option was enabled; restart classic Outlook if you just enabled it.
- In new Outlook, retry migration through Settings > Accounts > Your accounts > Manage > Get Started.
- If Office now follows Windows light or dark mode, select the preferred Office theme again.
- For classic stationery, check the stationery folder and use classic Outlook to apply the saved HTML.
If those checks do not explain the change, note your Outlook client and version, account type, when the change followed an update or migration, and the exact setting name. Microsoft’s published guidance does not identify one universal defect behind reports of disappearing themes.
