What a Gmail rejection means
The SMTP response tells you which gate failed. Save the complete response, including the enhanced status code and the receiving host’s wording, before changing settings. A single number such as 550 is not enough to diagnose the problem.

| Response pattern | What it usually indicates | What to do first |
|---|---|---|
4.x.x |
Temporary throttling, rate limiting, or a transient policy decision | Keep the queue, slow delivery, and inspect the full text. Do not repeatedly retry at a higher rate. |
550 5.7.1 |
A permanent policy or authorization refusal; the explanatory text identifies the specific policy | Resolve the named authentication, reputation, content, or IP issue, then retry a new message. |
5.7.25 |
Missing or inconsistent reverse and forward DNS for the sending IP | Have the ISP or hosting provider set a PTR record and matching A or AAAA record. |
5.7.26 |
The message is not authenticated with the methods Gmail requires | Verify SPF or DKIM for every sender; bulk senders need SPF, DKIM, and DMARC. |
A message can pass one check and fail another. For example, valid SPF does not compensate for a missing PTR record, and correct DNS does not repair a poor complaint rate. Treat the response as a branch in the sequence below rather than as a generic Gmail error.
Gmail’s current requirements
All senders to personal Gmail accounts
Google’s sender guidance, in force from February 1, 2024, requires all senders to personal Gmail accounts to use SPF or DKIM, valid forward and reverse DNS, TLS, RFC 5322-compliant messages, and controlled spam rates. Mail that is not authenticated can be placed in spam or rejected with a 5.7.26 response. Reverse DNS means the sending IP has a PTR hostname; forward DNS means that hostname resolves back to the same IP.

Bulk senders
If your organization sends more than 5,000 messages per day to Gmail accounts, Google requires SPF, DKIM, and DMARC. For direct mail, the organizational domain in the visible From: address must align with the domain authenticated by SPF or DKIM. Google allows a DMARC policy of p=none while a bulk sender establishes compliance; that policy requests reporting without asking Gmail to quarantine or reject based on DMARC.
Marketing and subscribed mail
Marketing and subscription messages must provide a one-click unsubscribe mechanism. A visible footer address alone is not the same as the one-click method expected for bulk promotional traffic. Honor removals promptly and stop sending to addresses that repeatedly bounce.
Enforcement timing and spam target
Google says enforcement on non-compliant traffic is being increased from November 2025. Bulk senders should keep the spam rate below 0.30 percent, the threshold Google cites for continued delivery support or mitigation eligibility. Policies and thresholds can change, so check Google’s current sender documentation when you make a major configuration or volume change.
Fix the problem in the right order
1. Capture the complete SMTP transaction
Record the date, recipient domain, sending IP, envelope sender, visible From domain, and complete enhanced status code. Separate a Gmail refusal from a rejection by your own upstream relay. If the response is temporary, leave messages queued and use the retry interval recommended by your mail software; aggressive retries can worsen throttling.
2. Publish one complete SPF record
SPF authorizes servers that may send mail for an envelope-from domain. Publish exactly one SPF TXT record at that domain. It starts with v=spf1 and lists every legitimate source, such as your own static IP and an approved sending service, followed by an ending policy such as ~all while testing or -all once the inventory is complete.
Do not create a second SPF record for a marketing system or a help-desk platform. Multiple SPF records cause a permanent SPF error. Add the provider’s documented include: mechanism to the existing record, remove retired senders, and stay within SPF’s ten-DNS-lookup limit. Check the envelope-from domain actually used on the SMTP MAIL FROM command; authenticating only the visible From domain may leave the real sending domain unauthorized.

After publishing, query the authoritative DNS servers and send a test message. In the received headers, look for an SPF result of pass and confirm that the authorized IP is the server that delivered the message. A third-party sender omitted from SPF is more likely to be spam-foldered or rejected.

3. Sign every message with DKIM
DKIM adds a cryptographic signature to selected headers and the body. Generate a key pair, publish the public key as a TXT record at a selector such as selector1._domainkey.example.com, and configure the MTA to sign with the corresponding private key. Keep the private key only on the sending system and rotate it by introducing a new selector before removing the old one.
Gmail requires a DKIM key of at least 1,024 bits for delivery to personal Gmail accounts and recommends 2,048 bits when your software supports it. Use a domain you control in the d= tag. Preserve the signed headers and body when a message passes through internal relays; rewriting a signed body, subject, or selected header can produce a DKIM failure.
Inspect the Authentication-Results header in a delivered test. It should show dkim=pass, the expected selector, and the expected signing domain. If it fails, check that the TXT value was not split incorrectly, that the selector in DNS matches the selector in the signature, and that line wrapping or a downstream footer is not changing the body.
4. Add DMARC and align the From domain
DMARC evaluates whether SPF or DKIM both passes and aligns with the domain a recipient sees in From:. Publish a TXT record at _dmarc.example.com. A cautious starting record can use p=none with a reporting address you monitor. Review reports, identify every legitimate stream, and only then consider a quarantine or reject policy.
Alignment matters most for direct bulk mail. If the visible address is [email protected], the SPF-authenticated organizational domain or the DKIM d= organizational domain must align with example.com. A provider’s unrelated domain in the visible From field may pass SPF but still fail DMARC alignment. Configure a custom envelope-from domain and custom DKIM signing domain where the provider permits it.
Use relaxed alignment unless your policy requires strict matching. Subdomains can align under relaxed mode because they share the same organizational domain. Test transactional, support, and marketing streams separately; each may use a different envelope sender or signing selector.
5. Repair forward and reverse DNS
Ask the organization that controls the sending IP—normally your ISP, cloud host, or dedicated-server provider—to set the PTR record. The PTR should map the IP to a stable hostname such as mail.example.com. The A record (for IPv4) or AAAA record (for IPv6) for that hostname must map back to the same IP. This bidirectional match is often called forward-confirmed reverse DNS.

A normal domain DNS panel usually cannot change a provider-owned PTR record. Give the provider the exact hostname and wait for DNS propagation, then verify both directions from outside your network. If IPv6 is enabled but has no matching PTR and forward record, disable IPv6 for outbound SMTP until it is configured; otherwise Gmail may evaluate the broken IPv6 identity instead of the working IPv4 path.
6. Confirm that the IP is authorized to send
Gmail refuses mail from unauthorized IP ranges, including many consumer broadband addresses. A residential connection may have a dynamic address, blocked outbound port 25, or an abuse history that makes direct delivery unsuitable. Use an ISP SMTP relay or an authorized business connection with a static address when your provider does not permit self-hosted SMTP.
Check that your firewall allows outbound TCP 25 or the submission port required by your relay, and that your provider has not placed the address on a policy block. Do not move repeatedly between random IPs: a new address with no history can be throttled, while a shared address inherits the behavior of every other customer using it.
7. Verify TLS and RFC 5322 formatting
Gmail requires TLS for delivery. Confirm that your server offers a current protocol and certificate for the hostname it announces, completes the TLS handshake, and does not fall back to cleartext when the receiving server requires encryption. Keep the operating system, MTA, and certificate chain patched; an expired certificate or incompatible cipher can create a connection failure before authentication is evaluated.

Check for a valid Date: header, a globally unique Message-ID:, syntactically valid mailbox addresses, correctly folded header lines, matching MIME boundaries, and a body encoded for the declared character set. Generate the headers through a standards-compliant library rather than concatenating unescaped user input. Ensure the envelope sender and visible From address are present and use domains that can receive administrative mail.
8. Measure reputation and recipient behavior
Authenticate first, then investigate reputation. Google Postmaster Tools can show spam rate, domain reputation, and IP reputation for eligible traffic. Data may be unavailable for low-volume domains, so an empty dashboard is not proof that reputation is good.
Send only to people who requested the mail. Remove invalid recipients, suppress repeated soft bounces after a sensible retry period, and honor unsubscribe requests immediately. Increase volume gradually after a long pause or a major IP change; a sudden spike can look abusive even when the list is legitimate. Keep transactional and promotional streams separate so a complaint-heavy campaign does not damage password-reset or account-notification traffic.

For bulk traffic, keep the measured spam rate below 0.30 percent. Monitor complaints by campaign, domain, and IP rather than averaging them across unrelated streams. Shared-IP activity affects every sender on that address, so ask a relay provider how customers are segmented and what happens when one tenant generates complaints.
9. Treat forwarding as a separate delivery path
Forwarding can invalidate SPF because the forwarding server, not the original sender, connects to Gmail. It can also break DKIM when the forwarder changes the body or signed headers. A message that delivers directly may therefore fail after passing through an alias, mailbox rule, or forwarding service.
Configure a forwarding-domain envelope sender, publish SPF that includes the forwarding infrastructure, and preserve DKIM-protected headers and body bytes. Where supported, use authenticated forwarding standards that retain the original authentication result. Test common routes—direct delivery, one forward, and multiple forwards—because each hop can rewrite headers or MIME content. If you operate the forwarder, avoid adding footers inside signed content and preserve the original From:, Subject:, and Date: headers.
How to verify each change
Make one controlled change at a time and send a test to a personal Gmail mailbox. Open the message’s original source and record the Received, Authentication-Results, DKIM-Signature, and ARC headers when present. A useful verification sequence is:
- Query the SPF TXT record and confirm there is one record containing every active sender.
- Query the DKIM selector TXT record and compare its key to the selector named in the signature.
- Query the DMARC TXT record and verify the policy, reporting address, and alignment mode.
- Resolve the sending IP’s PTR hostname, then resolve that hostname’s A and AAAA records and compare the answers to the actual outbound IP.
- Review the SMTP transcript for a successful TLS handshake and the final Gmail response.
- Check Postmaster Tools after enough eligible traffic has accumulated, then correlate any spike with a campaign, recipient source, or IP change.
Do not infer success solely because one test message arrived. Test every sending application and every path that can alter the envelope sender, DKIM selector, From domain, body, or destination IP.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsChoose an architecture that you can operate
| Option | Control and advantages | Operational risks | Best fit |
|---|---|---|---|
| Self-hosted SMTP on a business static IP | Direct control of queueing, logs, DKIM keys, content, and sending pace; you can request a matching PTR. | You must maintain TLS, DNS, abuse handling, feedback processing, reputation, backups, and gradual ramp-up. | Teams with mail operations experience and a provider that permits outbound SMTP. |
| SMTP relay | The relay supplies delivery queues, connection management, and often DKIM signing while you retain application control. | You must configure SPF and alignment correctly, follow the relay’s limits, and investigate shared-IP reputation. | Applications that need reliable transactional delivery without running a full Internet-facing MTA. |
| Managed email provider | Usually includes dashboards, suppression lists, unsubscribe tooling, reputation controls, and support for authentication records. | Less control over IP allocation and queue policy; shared addresses mean another customer’s activity can affect delivery. | Marketing or mixed-volume programs that need compliance workflows and operational support. |
Before switching, ask who controls PTR/rDNS, whether you receive a dedicated or shared IP, how SPF, DKIM, and DMARC alignment are configured, what TLS versions are supported, how Postmaster Tools data is interpreted, how unsubscribe requests are enforced, and how volume ramp-up is managed. A provider can simplify delivery but cannot make an unconsented list acceptable.
Common failure patterns
SPF passes but Gmail still returns 5.7.26
Check DKIM and DMARC, not just SPF. Bulk direct mail needs all three, and the authenticated domain must align with the visible From domain. Also confirm that the message was not rewritten after signing.
Best Value
Mail works from one server but not another
Compare the outbound IP, PTR hostname, forward DNS answer, DKIM selector, envelope sender, and TLS certificate. The second server may be on an unauthorized or residential range, or its address may lack forward-confirmed reverse DNS.
Delivery stopped after enabling IPv6
Inspect the actual connecting address in the SMTP log. Configure PTR and AAAA records for IPv6, authorize that address in SPF, and ensure the server’s hostname and TLS certificate cover the IPv6 path. Otherwise route SMTP over the correctly configured IPv4 address.
Recommended Free Tools
Forwarded messages fail while direct messages pass
Compare original and forwarded headers and body hashes. The forwarder may have become the SPF sender or altered DKIM-signed content. Configure the forwarding-domain envelope sender, authorize the forwarder in SPF, and preserve signed content.
A new IP is throttled immediately
Warm it gradually, keep recipient quality high, and separate transactional traffic from campaigns. Check whether the address is shared and whether another tenant’s complaints are affecting its reputation before increasing volume.
Maintenance checklist
- Keep one documented inventory of every system allowed to send for each domain.
- Review SPF includes, DKIM selectors, and DMARC reports after adding or removing a vendor.
- Renew TLS certificates before expiry and test the full chain from the sending host.
- Monitor PTR and forward DNS after an IP or hostname change.
- Track bounces, complaints, unsubscribes, and spam rate by stream and IP.
- Suppress invalid and unsubscribed addresses before the next campaign.
- Re-test forwarding paths whenever you change a footer, subject tag, MIME transformer, or mailbox rule.
- Recheck Google’s sender requirements before a major volume increase because enforcement and thresholds can change.
Frequently asked questions
Can I fix a Gmail block by changing only the From address?
No. The receiving server evaluates the connecting IP, DNS identity, authentication results, TLS session, message syntax, and reputation. Changing the visible address without aligning SPF or DKIM can make DMARC fail.
Is a DMARC policy of p=none enough forever?
It can satisfy the documented bulk-sender starting point while you collect reports, but it does not ask receivers to quarantine or reject unauthenticated mail. Use the reports to identify legitimate sources and choose a stronger policy when your operations are ready.
Why does a low-volume server still need SPF or DKIM?
Google’s February 1, 2024 requirements apply to all senders to personal Gmail accounts. Low volume affects eligibility for some reputation data, not the basic authentication, DNS, TLS, formatting, and spam-rate expectations.
