They disappear because CSV is a plain-text table, not an Excel workbook. It can carry cell text and values, but it cannot preserve Excel’s formatting, charts, multiple worksheets, or live formula behavior. Excel exports the active worksheet; formula cells normally become their displayed results, while formulas shown in the cells are converted to text.
Why formatting disappears when you save as CSV
An XLSX workbook can store worksheet structure, formatting, charts, and other supported features. CSV represents rows and columns of text separated by delimiters. It has no way to encode Excel’s visual styling or workbook features, so that presentation is lost during export. Microsoft Support states that “When you save a workbook in any of the text formats, all formatting will be removed.” (Microsoft Support: Save a workbook to text format (.txt or .csv).)

The underlying data may still be present even though it no longer looks the same. For example, cell colors, number display formats, and graphics are not retained as Excel formatting in the CSV. What a separate program shows when it opens or imports that text can depend on that application and its settings; do not assume dates, leading zeros, or formatted numbers will appear identically everywhere.

Does CSV keep Excel formulas?
No. A formula in Excel is an instruction evaluated by the workbook’s calculation engine. In the normal display mode, Excel exports the text and values as displayed in the active worksheet, so a formula cell ordinarily contributes its displayed result rather than a live formula that will recalculate in CSV.
If the worksheet is set to display formulas instead of calculated results, Microsoft says the formulas are converted to text when saved in a text format. That text is not an active Excel formula in the CSV. Microsoft describes these formula and feature limits in its Excel formatting and features that are not transferred to other file formats guidance.
What else changes in the conversion?
Only the active worksheet is exported
CSV is a single flat table, not a multi-tab workbook. Excel saves the active worksheet, so check that you are on the intended sheet before exporting. If multiple sheets are needed, save each separately or deliver the workbook in a format that supports multiple worksheets. Excel’s CSV options and behavior can vary by platform and worksheet type; Microsoft’s guidance for Excel for Mac file formats describes platform-specific availability.

CSV uses text delimiters, not workbook structure
In the documented CSV format, commas separate columns, and a cell containing a comma is enclosed in double quotation marks. The exact CSV variant, delimiter, and encoding available can differ across platforms and versions. Choose the option that matches the receiving system rather than assuming every file labeled CSV will be interpreted identically. Microsoft lists supported formats in its Excel file formats documentation.

How to choose between XLSX and CSV
| Need | Better fit | Reason |
|---|---|---|
| Keep formulas live, formatting, charts, or several worksheets | XLSX | Excel’s workbook format can preserve worksheet structure and supported features. |
| Provide one plain table of text and values to another system | CSV | CSV is designed for exchanging flat tabular data, not workbook behavior. |
Keep an XLSX copy whenever the workbook’s calculations, appearance, charts, or multiple sheets matter. Use CSV when the destination specifically needs plain tabular data.

Before and after exporting
- Keep the source workbook: save or retain the XLSX file before making a CSV copy if you may need formulas, formatting, charts, or other sheets.
- Select the right worksheet: activate the sheet you intend to export, because CSV export covers that active worksheet only.
- Choose the appropriate CSV option: match the available variant and encoding to the receiving workflow; options can vary by platform and version.
- Check the exported file in its destination: inspect representative rows and columns in the application that will receive the CSV. Confirm that delimiters and values are interpreted as expected.
Microsoft’s current support guidance names Microsoft 365, Excel 2024, and Excel 2021 among the applicable versions; interface labels and available CSV choices may vary by platform, region, and version.
