Why Excel Custom Lists Aren’t Sorting Correctly—and How to Fix Them

Excel only applies a custom list when you choose it in the Sort dialog. Check the sort column, selected range, headers, and data formats; PivotTables may lose custom order after refresh.

If Excel ignores your custom order, first check the Sort dialog: creating a custom list does not automatically apply it. In Windows desktop Excel, select the sort column’s list under Data > Sort > Order > Custom List. If the order still looks wrong, check the selected range, header setting, and values’ formats before rebuilding the list. Microsoft documents these steps for Microsoft 365 and Excel 2024, 2021, 2019, and 2016; Excel for Mac uses a different path, and PivotTables behave differently after refresh.

Why Excel custom lists aren’t sorting correctly

A custom list defines an order—such as High, Medium, Low—but Excel uses it only when you select that list for the relevant sort. An ordinary A-to-Z sort does not apply it automatically. Other common causes are sorting the wrong column or range, misidentifying the header row, or values that look alike but are stored differently.

The steps below cover ordinary worksheet ranges and tables. If your data is in a PivotTable, see the separate refresh guidance below.

How to fix a sort that ignores your custom list

  1. Select a cell in the target column whose values should follow the custom order.
  2. Choose Data > Sort to open the full Sort dialog. A quick A-to-Z or Z-to-A command is not the same as choosing a custom list.
  3. Under Sort by, choose the column whose values you want to order.
  4. Under Order, choose Custom List, select the intended list, and confirm the dialog.

Microsoft recommends using headings on columns. Check the dialog’s header setting as well: if Excel treats a data row as a heading, or a heading as data, the result can appear to skip or misplace values. The Sort dialog and custom-list workflow are documented in Microsoft’s instructions for sorting data using a custom list.

Check that the custom list exists and is in the right order

For a short sequence, you can type entries directly into the Custom Lists settings. For an existing sequence in worksheet cells, put each desired value in a separate cell, in the intended top-to-bottom order, and import that range.

Windows: type a list or import a cell range

  1. To open list settings, go to File > Options > Advanced. Under General, choose Edit Custom Lists.
  2. To create a short list, select NEW LIST, enter each item in the List entries area, and choose Add.
  3. To import worksheet values, select the cells containing the ordered sequence before opening the settings. In Import list from cells, verify that the range is correct, then choose Import.
  4. Check that the entries appear in the intended order, then close the settings and choose that list in the Sort dialog’s Order setting.

Built-in lists include weekdays and month names. User-defined examples include High, Medium, Low and Large, Medium, Small. Microsoft says built-in lists cannot be edited or deleted. A custom list can contain text or text mixed with numbers; for a numbers-only list, Microsoft instructs users to format the values as text first. Its documented limits are 255 characters, with the first character not beginning with a number. See Microsoft’s instructions for creating or deleting a custom list.

Check the selected range, headers, and values

A correctly configured list can still produce unexpected results if Excel sorts the wrong cells or cannot treat values consistently.

  • Confirm the sort column. In the Sort dialog, check that Sort by names the column containing the list entries.
  • Keep each record together. If Excel asks whether to expand the selection, expand it when adjacent columns belong to the same records. Sorting only one column can detach values from the rest of their row.
  • Check the header setting. Ensure Excel recognizes the first row as a header only when it contains column headings.
  • Look for mixed data types. Values that look like numbers may be stored as text, while others are numeric. Microsoft warns that mixed number-and-text data can sort unexpectedly.
  • Remove leading spaces when relevant. Extra spaces can make entries differ from the intended values; Microsoft specifically flags leading spaces in its PivotTable sorting guidance.

Microsoft’s guide to sorting a range or table in Excel explains selection and unexpected sort results. Inspect these issues before deleting and recreating a list.

Why the list appears missing on another computer

Custom Lists settings are stored on the computer where the list was created. Microsoft also says that when a custom list is used to sort data, it is saved with the workbook. As a result, a workbook’s list may be selectable in the Sort dialog on another computer even though it does not appear in that computer’s Custom Lists settings.

PivotTable custom-list order can be lost after refresh

PivotTables are a separate case. Microsoft Support states: “A custom list sort order is not retained when you update (refresh) your PivotTable.” A refresh can therefore undo the order you applied. After refreshing, reapply or adjust the PivotTable’s sorting behavior. Microsoft’s PivotTable sorting instructions cover manual sorting, automatic sorting options, and first-key sort-order controls.

Older Excel file formats

In Excel 97–2003 format, custom-list sorting does not work the same way as in newer workbooks. Microsoft’s compatibility guidance describes changing the sort state or group and sorting the data manually as a workaround. See Microsoft’s sorting and filtering compatibility notes.
