It can reflect a lost Wi-Fi or USB connection, a stuck print job, the wrong default printer, or a problem with Windows’ Print Spooler. Work through those checks in order, starting with Microsoft’s automated troubleshooter and the printer’s connection.
What can make a printer appear offline?
Windows needs to communicate with the printer to send jobs and report its status. If that communication is interrupted—or Windows is pointed at a different printer—the device may show as offline even when the printer itself is working. Microsoft’s troubleshooting guidance covers connection, printer selection, queued jobs, the Print Spooler, and reinstalling the printer; it does not quantify how often each issue causes the status.

Use the connection type to guide your checks: for Wi-Fi, verify the network and signal; for USB, inspect the cable and port. Also check whether another device can print to the same printer and whether Windows shows pending jobs. These clues can help narrow the issue without assuming a particular cause.

1. Run the Windows printer troubleshooter
Open the Get Help app and run its automated printer troubleshooter. Microsoft recommends starting there; the tool runs diagnostics and attempts to fix printer problems. If it does not resolve the issue, continue with the connection and Windows checks below. Microsoft’s offline-printer troubleshooting guide covers this process.

2. Restart the printer and check its connection
- Turn the printer off and unplug it.
- Wait 30 seconds, reconnect it, and turn it on.
- For Wi-Fi, use the printer’s menu or manual to confirm it is connected. Check that the PC and printer are on the same Wi-Fi network. If your setup has multiple network names, access points, or extenders, make sure both devices are using the intended one.
- For USB, make sure the cable is firmly seated at both ends. If Windows does not recognize the printer, check for visible cable damage and try another USB cable or port.
For a wireless printer, check its network status and signal strength. A weak signal or frequent connection drops points toward coverage; it does not explain a blocked print queue or incorrect printer selection. Microsoft provides general printer connection and printing troubleshooting, while HP’s advice about signal strength and moving the printer is specific to its printer guidance.
3. Check the selected printer and clear stuck jobs
- Open Settings > Bluetooth & devices > Printers & scanners.
- Select the printer you intend to use and set it as the default if Windows has selected a different device.
- Open that printer’s queue and cancel pending jobs if they are stuck.
Confirm you are checking the intended printer, particularly if Windows lists more than one device or a duplicate entry. Clearing the queue removes its pending jobs, so cancel only jobs you no longer need.

4. Restart the Print Spooler
If the printer and queue checks do not help, restart the Windows service that manages print jobs:
- Search Windows for Services and open the app.
- Find Print Spooler.
- Right-click it and choose Restart.
Microsoft also describes a deeper spooler reset: stop the service, clear spool files, then start it again with startup set to Automatic. Clearing spool files removes queued jobs, so reserve that reset for when the simpler checks have failed and you are willing to discard pending work.

5. Remove and add the printer again
If the printer still appears offline, remove it in Settings > Bluetooth & devices > Printers & scanners, then add it again while it is powered on and connected. Restart the PC if needed to refresh printer communication and services. Microsoft recommends using Windows’ built-in add-printer process on some ARM-based PCs, because a manufacturer’s installer may not work on those devices; follow different manufacturer guidance if it is provided for your printer and PC.
6. Address weak Wi-Fi only when the symptoms point to coverage
If the printer repeatedly drops off the network and its signal is weak, try moving it closer to the router. HP also identifies a Wi-Fi range extender as a possible option for frequent wireless connectivity problems. This is conditional advice—not a general offline-printer fix—and will not clear a stuck queue, correct the default-printer selection, or repair a Print Spooler issue. When the offline status keeps returning
Look for a pattern rather than repeating every step at random. If other devices can print but this Windows 11 PC cannot, focus on the PC’s printer selection, queue, and Print Spooler. If no device can print, check the printer’s power and network connection. If the problem happens only when the printer is far from the router or its signal is weak, investigate wireless coverage. For USB, check whether the PC recognizes the printer and try a different cable or port if it does not.
The available Microsoft and HP guidance provides troubleshooting steps, not a statistical ranking of causes. Without details such as the printer model, connection type, network layout, and exact error, it is not possible to identify one cause for every Windows 11 user.
