Check marks on desktop icons are usually status overlays added by a sync or protection service. They’re often harmless—but if they suddenly appeared or won’t go away, they can be distracting and indicate a sync/settings mismatch.
Because the overlay graphics come from different apps on Windows and macOS, the right fix depends on where the check marks are coming from. Below is a practical, step-by-step reference to identify the source and restore normal desktop icons.

What the check marks usually mean
On most systems, a check mark overlay typically indicates one of these states:
- Synced / up to date with a cloud service (most common).
- Files verified or confirmed by an app (less common).
- Overlay rendering cached incorrectly after an update or sign-in change.
In practice, the most common offenders are Microsoft OneDrive on Windows and iCloud Desktop & Documents on macOS. If you use either service, start there.

Common causes on Windows 10/11
OneDrive sync status overlays (most common)
If you see check marks on shortcuts or files on your desktop, OneDrive is the #1 cause. Depending on your theme and OneDrive version, you’ll often see a small check overlay that implies the file is fully synced.
You may also notice other OneDrive overlays (cloud icons, arrows, or pause symbols). Those overlays are controlled by the OneDrive client and the Windows Explorer overlay handler.
Windows File Explorer sync provider / cached status
Sometimes the overlay doesn’t match reality—especially after a Windows update, a OneDrive reinstall, or a sign-out/sign-in cycle. Explorer can hold onto cached overlay information, causing check marks to persist even when syncing is off.
Icon overlays from other sync tools
Other services can add overlays too, such as:
- Dropbox
- Google Drive for desktop
- MEGA (varies by client version)
- Enterprise sync/management tools from IT environments
These tools use the same general mechanism (Explorer overlay handlers), so the symptom looks similar even if the product differs.
Common causes on macOS
iCloud Desktop & Documents sync status
On macOS, iCloud can show status indicators on Desktop items. If iCloud Desktop & Documents is enabled, Finder can show check-like overlays to indicate the item is synced and ready.
Apple changes Finder’s exact overlay appearance across macOS versions, but the underlying cause is usually iCloud sync status.
Finder status overlays and icon cache quirks
After upgrades (for example, to macOS 14 Sonoma) or iCloud sign-in issues, Finder sometimes keeps old overlay states or fails to refresh icons properly. The fix is typically a restart of Finder, toggling the sync feature, or clearing the affected cache behavior.

Fixes on Windows: remove or change the check-mark overlays
Start with identification. If the check marks are status overlays, you’ll either change the sync behavior (so overlays reflect what you want) or disable the overlays without breaking syncing.
Confirm OneDrive is driving the overlay
- Click the ^ (up arrow) in the Windows taskbar notification area.
- Look for the OneDrive cloud icon.
- Right-click the OneDrive icon and choose Settings.
- Check the status on the Account tab (signed in / syncing enabled).
If OneDrive isn’t running or you’re not signed in, but check marks remain, it could be a cached overlay or another sync provider.
Change OneDrive sync behavior (Files On-Demand)
If you want to reduce confusing overlay states, aligning with your intended storage mode often helps.
- Right-click the OneDrive cloud icon in the system tray.
- Select Settings > Sync and back up (wording varies by build).
- Use Files On-Demand settings (enable/disable depending on your goal).
- Let OneDrive finish syncing. Monitor a few affected files for 5–10 minutes.
Turning Files On-Demand off can make overlays less noticeable because files are locally materialized more consistently.

Disable or reduce OneDrive overlay icons
OneDrive doesn’t always provide a single “turn off desktop overlays” toggle in every version. However, you can effectively stop overlays by disabling OneDrive’s integration or pausing syncing.
- Right-click the OneDrive cloud icon.
- Select Settings.
- On the Account tab, consider Unlink this PC if you don’t want OneDrive on this machine (stronger than needed for most people).
- Alternatively, choose Pause syncing (if available) and confirm whether overlays disappear after Explorer refresh.
If you only want to hide the overlay but keep OneDrive functionality, the more reliable path is rebuilding icon cache (next) or ensuring only one sync client is handling overlays.
Rebuild the icon cache
When overlays look wrong (stuck check marks, mismatched status), rebuilding the Windows icon cache often clears stale rendering.

- Close File Explorer windows.
- Open Task Manager (Ctrl + Shift + Esc).
- Find Windows Explorer, right-click, choose Restart.
- If the problem persists, restart the icon cache by rebooting the PC (simple reset) or using standard icon cache reset methods (varies by Windows build).
If you’re on Windows 11 23H2/24H2 and the overlays don’t refresh after a restart, rebuilding icon cache is worth doing—just avoid “tweak tools” that promise to remove overlays; they often create more overlay handler conflicts.
Reset OneDrive and re-sync Desktop
If the check marks persist because OneDrive’s client state is broken, resetting OneDrive is the most effective repair.
- Press Win + R, type
%localappdata%, press Enter. - Find and rename the Microsoft\OneDrive folder (or perform OneDrive reset steps below).
- Press Win, search for OneDrive, open it.
- Sign in again if prompted, then wait for Desktop items to sync.
- If available in your environment, use the OneDrive reset command (commonly run via Command Prompt) to reinitialize the client.
Be patient: for hundreds of files, the overlay update can lag by several minutes.
Fixes on macOS: remove or change the check-mark overlays
On macOS, you generally solve check marks by addressing iCloud Desktop & Documents sync, then refreshing Finder’s view.
Verify iCloud Desktop & Documents is the source
- Open System Settings.
- Click Apple ID > iCloud.
- Locate iCloud Drive.
- Confirm Desktop & Documents is enabled.
If it’s enabled, check marks are very likely synced status overlays.

Restart Finder and refresh the icon cache
- Press Option, right-click Finder in the Dock (or open Activity Monitor).
- Choose Relaunch.
- Wait for Finder to reappear, then check whether the check marks change.
- If the issue persists, restart the Mac and re-check after iCloud sync completes.
On older macOS builds, a full restart is often faster than trying to “clear caches” manually.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsWhen the check marks are not from sync tools
Not every check mark comes from OneDrive or iCloud. If you don’t use either service (or disable them and the overlays remain), widen the search.
Digital signatures or security labels
Some security or management tools add “verified” visuals. For example, endpoint protection software can overlay trust/scan status. If the icons correspond to downloaded installers or documents, check your security app’s quarantine/scan history.
Third-party shell extensions or overlay handlers
Windows Explorer limits overlay handlers; too many overlay providers can cause broken or stuck overlays. If you recently installed new sync software, backup tools, or file managers, one of them may be registering overlays.
- Disable other sync clients temporarily.
- Check which overlay providers are installed (advanced, but helpful in managed IT setups).
- Perform a clean restart and observe whether overlays change.
Troubleshooting checklist (fast path first)
| Step | Windows 10/11 | macOS |
|---|---|---|
| 1. Identify the app | Check OneDrive tray icon + Settings | System Settings > Apple ID > iCloud > iCloud Drive |
| 2. Refresh Explorer/Finder | Restart Windows Explorer (Task Manager) | Relaunch Finder |
| 3. Reconcile sync state | Toggle Files On-Demand or pause/resume sync | Toggle Desktop & Documents sync |
| 4. Repair client state | Reset OneDrive client | Sign out/in iCloud (if needed) and let sync rebuild |
| 5. Cache issues | Rebuild icon cache via reboot / reset method | Restart Mac after toggling sync |
Common mistakes that make it worse
- Ignoring sync status. If the check marks indicate “synced,” disabling sync immediately can cause re-downloads or file state changes.
- Unlinking or uninstalling too fast. Unlinking OneDrive/iCloud without waiting can create duplicate states and more confusing overlays.
- Using multiple cloud clients on the same folder. Mixing OneDrive, Dropbox, and Google Drive in the same Desktop folder increases overlay conflicts.
- Third-party “overlay fixer” tools. These can break overlay handlers or cause missing overlays system-wide.

FAQs
Why did my desktop icons suddenly get check marks after an update?
On Windows and macOS, updates can refresh how Explorer/Finder loads overlay handlers. If OneDrive or iCloud was updated or re-signed, cached status can also briefly appear or get stuck.
Are check marks on desktop icons a sign of malware?
Usually no. Check marks almost always indicate status from a sync or client app. If you see check marks only on specific downloads and your security tool reports suspicious activity, check that tool’s quarantine/alerts instead of relying on icon overlays.
How can I tell whether OneDrive or iCloud is responsible?
On Windows, look for OneDrive in the system tray and its Settings/Sync status. On macOS, check System Settings > Apple ID > iCloud > iCloud Drive > Desktop & Documents. If you disable the relevant sync feature and overlays change, that’s your source.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Can I remove the overlays without turning off syncing?
Sometimes. Some clients don’t offer a clean “hide overlays” option, so the practical alternatives are adjusting sync modes (Files On-Demand / Desktop & Documents) or ensuring cache/overlay handlers are functioning correctly.
After I fix it, why do the icons still show check marks for a while?
Icon overlays often update asynchronously. After changing sync settings, give Explorer/Finder 5–10 minutes and refresh by restarting Explorer (Windows) or relaunching Finder (macOS).
Bottom Line
Desktop check marks almost always come from sync status overlays—most commonly OneDrive on Windows and iCloud Desktop & Documents on macOS. Confirm the source, refresh Explorer/Finder, and then adjust sync settings or reset the client if the overlays get stuck.
If you tell me your OS version (Windows 10/11 build or macOS version) and whether you use OneDrive or iCloud Drive, I can narrow it to the exact fix path.
