Start by checking whether the Word document itself looks right: that tells you whether to troubleshoot Word’s font availability or the PDF export.
First find where the font changes
- The font is wrong in Word, too: Word may not have the font installed or active on the computer. Microsoft notes that a missing font can be substituted for viewing, changing the document’s design and layout. See Microsoft’s modern font-picker guidance.
- Word looks right, but the PDF does not: The font may not have been embedded during export, or the PDF viewer may be substituting for a font that is absent from the file.
A document can retain its original font assignment in Word even when the computer displays a substitute. The PDF is a separate check: whether the font travels with it depends on embedding and the font’s permissions.

Work through these checks in order

Check the source document
Open the DOCX on the computer where it was created and inspect the affected text. If it is already wrong, identify the font name in Word and check that the font is installed and active. Microsoft’s custom-font installation instructions cover Windows and macOS; after installing a font, reopen Office so it can use it. Obtain font files from a source you trust.

Check whether the font can be embedded
Font creators set embedding permissions, and some fonts cannot be embedded. Microsoft recommends OpenType (.OTF) or TrueType (.TTF) fonts where possible for its embedding feature and advises against PostScript fonts. A file-format change does not override a font’s embedding restrictions. Review Microsoft’s font-embedding guidance.

Embed fonts in the Office file when the option is available
In supported desktop Word versions for Windows, the setting is File > Options > Save > Embed fonts in the file. Microsoft also lists embedding support for Microsoft 365 for Mac and certain Mac PowerPoint versions. Menus and availability vary by product and version, so check the controls in your own Word build rather than assuming every edition has the same path.
Embedding can increase file size. Embedding only the characters used can reduce that size, but may limit later editing with the font. If someone else needs to edit the document using that font, embedding all characters is preferable.

Export to PDF from Word
Use Word’s PDF save or export flow. Microsoft says online PDF conversion can substitute a custom font; embedding the font can prevent that substitution when the font meets the applicable constraints. Its guidance also states, “Only fonts that Microsoft has the legal rights to can be used.” See Microsoft’s PDF/XPS export guidance.

Verify the exported file
Open the PDF in another viewer or on another device and inspect the affected pages before sending it. This can reveal a difference that does not appear in your usual setup, though checking another viewer cannot guarantee identical rendering everywhere.

If the font cannot be embedded
In Word’s PDF export options, consider Bitmap text when fonts may not be embedded if preserving the page’s appearance matters more than editing or searching its text. Microsoft says that without this option, a PDF reader might substitute another font. With it, the affected text is rendered as images, so it may be less editable or searchable as text.
PDF/A is an archival option intended to help a file look the same when opened later on another computer. Microsoft does not promise that PDF/A overrides every font restriction, so do not treat it as a universal fix for an unembeddable font.

When the PDF will be opened on someone else’s computer
A custom font installed only on your computer may be unavailable to the recipient. The font may need to be embedded in the document or provided separately, subject to its license. Office cloud fonts are available across the Office platforms Microsoft supports and generally do not need embedding; the supported apps and cloud-font availability can change. See Microsoft’s cloud-font guidance.
If you need a particular custom font, confirm that its license permits your intended use and distribution. If you cannot embed it or provide it to the recipient, choose an available alternative or use bitmap text in the PDF export when preserving visual appearance is the priority.
