If a table export contains only the rows on screen, the export may be limited by the current view, filters, selected rows, or the export’s scope. Some apps also treat pages or hidden columns differently. The cause depends on the software: check the settings for the specific table, report, or shared view rather than assuming every export works the same way.
What determines which rows an export includes?
An export can represent the current view, a selected set of rows, the visible portion of a report, or all data available to you. Filters and search criteria may also narrow the results. These behaviors vary by application, so “export” does not always mean “download every record.”

Check these settings first
- Identify the source. Note whether you are exporting a table, a saved view, a report, or a shared link. The relevant controls can differ.
- Review filters and search criteria. A filter or search can reduce the rows included. In an Airtable grid view, remove the view’s filters if you want to download all records in the table; the CSV includes the field values visible in that view. Airtable’s export instructions also explain that a full base is not downloaded as one file: each table is exported separately.
- Look for an export scope. Some products let you choose between the visible table region and all data. In SAP Analytics Cloud, “Point of View” exports the visible rows and columns in the table region, while “All” exports all data; filters still apply. SAP Help Portal documentation version 2023.20 sets a limit of 3 million cells or 60 measure columns for an “All” scope CSV. See SAP’s export documentation.
- Check row selection and pagination. Oracle Cloud Applications documents that exports include selected rows. If row selection is disabled or no rows are selected, the export includes all rows, even ones not visible on the page. Search criteria, filters, and paged views can affect what you see; later pages or views may need to be exported separately. Oracle’s version 25D export guidance describes these behaviors.
- Check for hidden columns. A file can appear incomplete even when the row count is right if fields are omitted. Oracle identifies hidden columns as a possible factor in export contents; confirm that the columns you need are included.
How specific apps handle exports

If the export is still incomplete
Compare the exported file with the app’s current filters, selection, page, and export-scope setting. For a shared view, check whether downloading is permitted and whether the file reflects the original view rather than a filter applied by the viewer. If the application is not covered above, consult its current export documentation: the exact menu path and behavior cannot be determined without knowing which product you use.
