For better transcripts, prioritize a clean, undistorted recording: place the microphone close to the speaker, aim it appropriately, and set sensitivity for the speaker’s distance and volume. Use mono for a single speech source when your transcription service supports it; preserve separate channels for different speakers when available. Settings vary by recorder and speech-recognition service, so make a short test recording in the real environment and check the service’s format requirements.
Start with the recording, not a preset
Transcription depends first on whether the speech is clear in the captured audio. Google Cloud’s Speech-to-Text guidance recommends a good-quality, well-positioned microphone and advises avoiding clipping. Listen to a sample for muffled speech, unexpected noise, or distortion before recording something important. Once peaks are clipped, changing the codec later cannot restore the lost speech detail. - Move the recorder closer to the speaker when possible; a stronger direct voice relative to room noise is generally more useful than simply raising sensitivity.
- Aim the microphone toward the speaker when recording one person. For a voice note, a slightly off-axis position can help reduce breath noise.
- Keep the recorder steady and away from clothing rub, handling noise, and desk vibration.
- Make a brief test in the same room and position you will use for the full recording.
Choose settings for the scene
| Recording situation | Practical starting point | Why and what to check |
|---|---|---|
| Solo dictation or voice note | Speak close to the recorder, slightly off-axis; avoid clipping. If the recorder’s manual associates low sensitivity with close speech, try it. | Sony recommends this approach for its ICD-PX470. Sensitivity controls differ by model. Sony ICD-PX470 sensitivity guidance |
| One-speaker interview | Place the microphone near the speaker and aim it at them. Use a forward-facing or focused mode only if the speaker remains in front of the recorder. | Close placement is Google guidance; Focused is a feature of the Sony ICD-PX470, not a universal mode. Google Cloud · Sony Focused/Wide guidance |
| Small meeting | Position the recorder centrally and as close to participants as practical. Keep stereo or separate channels if they preserve useful speaker or spatial context. | Sony describes Wide mode as useful for meeting context. Separate-channel recognition only applies when speakers are actually recorded on different channels. Sony · Google Cloud · Amazon Transcribe |
| Lecture in a large room | Point the recorder toward the lecturer and move it closer if possible. Increase sensitivity only as needed; check for room echo and noise. | Sony describes High sensitivity for distant or soft voices on the ICD-PX470. Higher sensitivity may also make ambient sound more prominent. Sony ICD-PX470 sensitivity guidance |
| Noisy setting | Reduce noise at its source and improve microphone proximity before relying on processing. | Google advises against routine noise-reduction processing before its Speech-to-Text service; other recorders and recognition systems may behave differently. Google Cloud best practices |
Set sample rate, codec, and bit depth for the transcription service
Sample rate
For Google Cloud Speech-to-Text, Google recommends recording at 16,000 Hz or higher when possible. Its guidance says higher rates do not provide an appreciable recognition-quality benefit for that service, and cautions against resampling an existing file merely to reach 16 kHz. Upsampling an 8 kHz recording does not recreate speech detail that was never captured. Check the current requirements of your chosen service before selecting or converting a recording format. Numbers published for other workflows are not universal transcription presets. Google’s audio-optimization guidance specifies at least 16 kHz and 16-bit for audio files. Microsoft specifies mono, 24 kHz, 16-bit PCM for its custom-voice sample workflow, which is for custom voice preparation rather than ordinary transcription. Codec and bit depth
For Google Cloud Speech-to-Text, FLAC and LINEAR16 are recommended lossless formats. Google warns that lossy formats such as MP3, MP4, and M4A can reduce recognition accuracy, especially when the audio has other problems. That does not mean every recorder must capture studio-quality files: if your device only offers compressed audio, prioritize clear, undistorted speech and correct file metadata. Sony’s ICD-PX470, for example, uses MP3 at 128 kbps for its voice-note scene and 192 kbps for several other scene presets; those are that model’s preset values, not Google’s lossless recommendation. Decide whether to record mono, stereo, or separate channels
Mono is a straightforward choice for one speech source when it matches the transcription service’s input requirements. Stereo can preserve left-right spatial clues that help a human listener follow a meeting. Separate channels are different from stereo ambience: they can keep speakers apart when each is actually recorded on its own channel.

- One speaker: use a single-channel recording if suitable for the service and workflow.
- Speakers recorded on separate channels: use the service’s channel-identification or separate-channel option where supported. Google recommends submitting separate channels separately for best recognition; Amazon Transcribe documents channel identification. Google Cloud · Google Cloud audio optimization · Amazon Transcribe channel identification
- Voices already mixed together: record the mixture as it is. A recorder setting cannot recreate isolated speaker tracks after the voices have been combined.
On the Sony ICD-PX470, Wide is intended to retain left-right presentation for meetings, while Focused aims forward for situations such as lectures and interviews. Sony describes Wide as controlling left-right panning to help minimize overlapping voices and add a stereo impression. This is model-specific guidance, not a guarantee that stereo will separate speakers for transcription. Sony ICD-PX470 Focused/Wide guidance

Sensitivity determines how strongly the recorder picks up quiet or distant sound. Raising it may also make room noise more prominent, so it is not a substitute for moving the microphone closer. On the Sony ICD-PX470, Sony describes High sensitivity for distant or soft voices, Medium for small meetings and interviews, and Low for close voice notes or nearby loud voices. Directionality is useful only when it fits the scene. A focused, forward-facing mode can suit one speaker who stays in front of the recorder; a wider pickup may better retain context around a group. Place the device near meeting participants when possible, and avoid aiming it at a reflective surface or a persistent noise source. Sony’s placement tips are specific to the ICD-PX470. Be cautious with automatic gain and noise filters
For Google Cloud Speech-to-Text, Google recommends disabling automatic gain control and noise-reduction processing before submitting audio. It says the service is designed to handle background noise and that applying noise-reduction signal processing before submission typically reduces recognition accuracy. That is service-specific advice, not a rule for every transcription product. First improve placement, reduce noise in the room, avoid clipping, and listen to a sample. If a recorder’s scene preset applies filters automatically, check which processing is active rather than assuming a “noise cut” setting will help. Use presets as starting points, not guarantees
A scene preset may change several controls at once, including sensitivity, recording mode, directionality, and filters. Sony’s ICD-PX470 provides Auto Voice Rec, Meeting, Lecture, Voice Notes, and Interview scenes with different combinations of these settings. Compare the setting table for the exact recorder model; similarly named presets on other devices may behave differently. Sony ICD-PX470 scene settings

The ICD-PX470 also offers voice-operated recording (VOR). A threshold-triggered feature may save storage, but it creates a practical risk of missing quiet speech at the beginning of a recording or during pauses. For material where completeness matters, continuous recording is the cautious choice; review the resulting file rather than assuming activation thresholds captured every word. A short setup checklist
- Choose the target service first. Check its accepted formats, sample-rate guidance, channel options, and metadata requirements.
- Place the recorder for the speaker. Move it closer, point it appropriately, and reduce handling or room noise.
- Set sensitivity conservatively. Match it to distance and loudness, then check that speech is audible without clipped peaks.
- Choose channels intentionally. Use mono for a single source when appropriate; preserve genuine separate channels or useful stereo context for groups.
- Review a test recording. Listen for distortion, muffling, rustle, echo, and missed quiet speech before relying on the full recording.
