Which Small Office Printer Fits Your Team? 5 Options to Consider

A criteria-based shortlist of five small-office printers, with manufacturer-listed features and practical checks for workload, scanning, paper handling, and ownership cost.

There is no defensible universal “top five” in the available manufacturer information: it does not establish a current cross-brand ranking, comparable running costs, or independent print-quality and reliability results. It does support a useful shortlist of five small-office models and a way to choose among them. Treat the speeds and features below as manufacturers’ published specifications, not independent test results.

How to choose a printer for a small office

Start with the work the office actually does. HP’s small-business guidance recommends monochrome printing when text dominates and color when presentations or customer-facing materials matter. That is manufacturer guidance, not independent evidence that one type costs less for every office. HP’s small-business printer guide

Match functions to the workflow

A print-only machine can suit a dedicated printing station. If staff regularly copy, scan, or fax, an all-in-one can reduce the need for separate devices. For frequent multi-page scanning, check for an automatic document feeder (ADF) and confirm that the scan workflow meets your needs; basic scanning and advanced document routing are not the same capability. HP’s business printer lineup and small-office multifunction catalog show these differences across its products.

Check workload, paper handling, and connections

Compare your expected monthly output with the model’s recommended monthly volume. Do not treat a maximum duty-cycle figure as a recommended everyday workload: HP’s guide distinguishes the two. Check duplex printing and scanning, connectivity (such as wireless, USB, or Ethernet), input capacity, paper sizes, and supported media against your office’s actual setup. These features vary by model; do not assume they are standard.

Work out ownership cost before deciding

Compare the exact printer and compatible supply model, including current supply prices and stated yields. The manufacturer pages used for this shortlist do not provide comparable current cross-brand per-page costs, cartridge yields, or prices, so they cannot establish which option will be cheapest to run.

Five small-office models to put on a shortlist

These are five examples supported by US manufacturer pages, not a ranked or independently tested top five. Select a candidate based on the features your office needs, then confirm current availability and the full specifications on its product page.

How to narrow the shortlist

  1. Mostly text, with scanning and copying: Start with the monochrome HP LaserJet MFP M234sdw, then verify that its monthly volume and paper handling fit your work.
  2. Color output with scan, copy, and fax: Compare the HP Color LaserJet Pro MFP 3301fdw and OfficeJet Pro 9135e by the functions and duplex workflows you need. The published speeds alone do not establish which is the better fit.
  3. Color printing without multifunction features: The HP Color LaserJet Pro 3201dw is the print-only example in this shortlist.
  4. Higher-volume color documents: The HP Smart Tank 7301 is HP’s ink-tank example, but calculate cost only after verifying current ink prices and page yield for your exact model.
  5. Before buying any finalist: Confirm the current product listing, recommended monthly volume, connectivity, tray capacity, supported paper and media, duplex behavior, and the exact compatible supplies.

Why this is a shortlist, not a definitive top five

The available product evidence is manufacturer-led and concentrated on HP examples. It does not provide comparable current prices, cross-brand running costs, or independent tests of print quality and reliability. HP also publishes a separate guide to Enterprise-focused devices, including models with higher-workload specifications; those are not automatically compact small-office choices. Confirm current availability and fit before considering one. HP distinguishes standard multifunction scanning needs from advanced Flow scanning in that guide. HP’s printer guide

The page does not establish that this model is currently available, so it is not presented as a current recommendation. Its specifications also should not be generalized to other printers.
