For a free starting point, investigate Fiix Free; for mobile-oriented maintenance execution, compare UpKeep; and for offline work, spare parts, and meter-based scheduling, examine Limble. If your current MaintainX workflow works, first check whether the feature you need actually requires a higher tier. Prices and plan details below were checked on October 7, 2026; verify the vendor’s current terms before buying.
First, check whether MaintainX is actually the problem
A plan limit can look like a reason to switch when a tier change would solve it. MaintainX Basic is listed as “Free forever,” with unlimited work orders and procedures, but only two work orders with attached procedures and two active repeating work orders. Its listed Advanced Analytics history is one month. Check the MaintainX pricing page against the exact feature or limit your shop has run into.

MaintainX Essential is listed at $20 per user per month with annual billing or $25 per user per month billed monthly. Premium is $65 per user per month annually or $75 monthly. Premium includes meter-based maintenance, parts inventory, purchase orders, time and cost tracking, and API access. These are vendor-listed US prices checked October 7, 2026, not a guarantee of current or region-specific terms.
If work orders and procedures are already running smoothly, switching has a cost beyond the subscription: assets and recurring tasks must be moved or rebuilt, and staff must adopt a different workflow. Compare the price of the MaintainX tier that contains your needed feature with the candidate product’s complete cost for everyone who will log in.

Which alternative matches your shop’s main need?
| If you need… | Shortlist | Verify before choosing |
|---|---|---|
| A no-cost starting point | Fiix Free | Whether its 25 active preventive-maintenance schedules and limited users, work orders, assets, inventory, and mobile access cover your operation. |
| Mobile-oriented maintenance execution | UpKeep | Whether your required preventive-maintenance, checklist, and inventory features are included in Essential or require Premium. |
| Offline work, parts, and configurable scheduling | Limble | Whether Standard or Premium+ meets your needs, and what a current quote costs for your team. |

Fiix: a free tier with a defined preventive-maintenance cap
Fiix’s official pricing page describes its Free plan as a way to “Create work orders, manage preventive maintenance tasks, build asset hierarchies, and more for free.” The practical qualification is that Free includes 25 active preventive-maintenance schedules, along with limits on users, work orders, assets, and inventory. It also includes mobile app access. For a small shop whose active schedule count remains under 25, it is a concrete free option to evaluate—not an unrestricted plan.
Fiix Basic is listed at $45 per user per month and offers unlimited preventive-maintenance schedules. The Fiix plans and pricing page is the primary place to check current caps, tier contents, and terms. Count the active schedules and logins you need before treating Free as a fit or Basic as affordable.
Rank #2
UpKeep: compare the mobile workflow and tier boundary
UpKeep’s official pricing page lists Essential at $24 per user per month and Premium at $55 per user per month. A comparison guide characterizes UpKeep as mobile-first and places preventive-maintenance scheduling, checklists, and inventory in Premium; confirm those feature placements directly with UpKeep before deciding, because packaging can change.
Use the UpKeep pricing page to verify current prices and included features. The useful comparison is not simply the lower entry price: it is whether the tier you would actually buy supports the work orders, checks, and inventory your crew needs.
Rank #3
Limble: investigate when offline work or deeper configuration matters
Limble’s official page lists unlimited assets, work orders, and preventive-maintenance schedules on Standard. Premium+ adds offline mode, spare parts, vendor and purchase-order management, and meter- or threshold-based scheduling. If those capabilities are central to your workflow, compare the feature boundary carefully rather than assuming the Standard tier includes them.
Limble directs visitors to a pricing calculator rather than publishing a comparable fixed price on its current pricing page. Get an individualized quote and compare it with the actual number of users and features your shop needs. Check current tier contents at Limble pricing.

Compare the full workflow, not just the first price shown
Use the same requirements for every candidate so that an entry-tier price is not mistaken for the cost of a usable setup.
Recommended Free Tools
- Named users and billing: Count everyone who needs to log in and compare the same billing term. Per-user pricing can add up even in a small shop.
- Preventive-maintenance scheduling: Check active schedule limits and whether tasks need calendar, meter, or threshold triggers.
- Parts and purchasing: Confirm the required tier includes inventory or spare-parts management and purchase orders.
- Mobile conditions: If technicians work where connectivity is unreliable, verify whether offline use is available in the tier you are pricing.
- Reporting: Check the analytics history and reporting depth you need; a plan’s label alone does not establish how much history it retains.
- Migration effort: Find out how assets and recurring tasks can be brought over, and whether important procedures must be rebuilt.
- Everyday adoption: Choose a workflow the people doing the maintenance will use consistently, not just one that looks complete on a pricing page.
Run a small migration trial before committing
A small-team comparison guide recommends a representative trial workflow. It is a practical evaluation method, not a vendor test: this article does not report hands-on testing of these products.
- Choose a small, representative set of equipment and record the asset details your team needs.
- Rebuild one important preventive-maintenance task in the candidate system, including its schedule or trigger.
- Assign it to the person who will perform the work, using the device and conditions they normally work with.
- Complete and close the resulting work order, noting where the workflow requires a higher tier, extra configuration, or a different process.
- Use what you learn to confirm the migration effort and the cost of the tier that actually supports the workflow.
QR asset labels can help staff identify equipment during maintenance, but they are an optional task aid—not a requirement for any of these vendors. If your shop uses labels, verify that the asset-identification method fits the workflow you choose.
