Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minuteSecure the account in two separate layers before connecting an AI email assistant: turn on Google 2-Step Verification (preferably with a passkey or hardware security key), then inspect the assistant’s Google authorization request and grant only the Gmail actions and other services the feature genuinely requires. Strong sign-in protection does not reduce an app’s data access after you approve it.
Use Google’s authorization screen rather than giving the assistant your password. Review the connection after setup, remove access when you stop using the service, and remember that revocation blocks future access but does not automatically erase data the provider already received.

Start with the distinction that prevents the most mistakes
Google Account security settings cover two different risks. Authentication controls determine how difficult it is for someone to sign in as you. App authorization controls determine what an already-authorized application can read or change.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- 2-Step Verification, passkeys and security keys protect the sign-in path if a password is stolen or phished.
- OAuth authorization and connected-app reviews control whether an assistant can read Gmail, copy messages, send mail, manage labels, or reach other Google products.
Enabling 2-Step Verification does not narrow a permission you later approve. Treat the two checks as a sequence: harden sign-in, then examine the assistant’s requested data and actions.

Google explains the sign-in protections in its 2-Step Verification guidance, while its third-party access documentation covers authorization and revocation.
Change these settings before connecting the assistant
1. Turn on 2-Step Verification
In your Google Account, open the Security area, find 2-Step Verification, and complete Google’s enrollment flow. Google describes this as an additional sign-in layer that helps when a password has been stolen. The exact screens and available factors can vary by account and device.
2-Step Verification protects account entry; it does not inspect or limit an assistant’s OAuth scopes. You still need to evaluate every permission on the consent screen.
2. Prefer a passkey or hardware security key for phishing resistance
Google says passkeys can provide passwordless sign-in and that passkeys and hardware security keys are designed to resist phishing. A passkey verifies possession of an enrolled device and can satisfy the second-step requirement. A hardware key is an optional physical device that you purchase and use during sign-in; it is not required for an AI assistant.
Neither method makes broad email access harmless. If you authorize an assistant to read or send mail, that scope remains in force regardless of whether you sign in with a password, passkey or security key.
3. Audit existing connected apps
Before adding another service, open Google Account controls for connections to apps from other developers. Look for old integrations, unfamiliar names and services you no longer use. Google distinguishes among basic profile access, viewing or copying data, and managing data. Remove anything unnecessary before you create a new connection.

Do not assume an old connection is safe merely because you recognize the company. Check whether its current access still matches what you intended; providers can change features and requested scopes over time.
4. Never give the assistant your Google password
Type your password only into Google’s own sign-in page reached through the authorization flow. Google warns that sharing the password with a third-party service can give it full account access and compromise the account. The supported alternative is to grant specific access through Google OAuth.
5. Read the provider’s privacy and security terms
Google’s account settings explain what you authorize, not how an independent assistant stores or processes the information it receives. Before approving access, read that provider’s current privacy policy and security disclosures for:
- Storage location and retention periods for messages, attachments and generated summaries.
- Whether people review content, and under what support, abuse-prevention or quality processes.
- Subprocessors that may handle email data.
- Deletion procedures, including what happens to backups.
- Whether content is used to train or improve models, and whether an opt-out exists.
Those practices are provider-specific. No general Google statement establishes them for an unnamed assistant.
How to evaluate the Google authorization prompt
When you select “Sign in with Google” or a similar option, pause at the consent screen. Verify the developer name and website, then expand every listed product and permission. Google says a third-party app can access only the data and services you authorize, so the prompt is the decisive opportunity to limit access.
| What to inspect | Questions to ask | Decision rule |
|---|---|---|
| Gmail reading or copying | Does the feature need full message bodies, attachments, or only metadata? | Approve only if the stated feature cannot work with less access. |
| Sending or managing mail | Can it send as you, delete, archive, label or modify messages? | Treat as high impact; decline unless automation is an intentional requirement. |
| Other Google products | Is Drive, Calendar, Contacts or another product listed? | Each product must have a specific purpose you understand. |
| Provider identity | Does the developer match the service you selected, and is its domain familiar? | Stop if the identity or reason for access is unclear. |
| Data handling | Do the provider’s disclosures explain retention, deletion, review and model training? | Do not approve until unanswered handling questions are resolved. |
A broad request is not automatically malicious, but “the assistant needs it” is not an explanation. If a requested scope does not map to a feature you plan to use, cancel and ask the provider why it is required. Permission requests can vary by provider, account type and implementation, so rely on the prompt you actually see rather than a generic list.

A safe connection procedure
- Harden sign-in. Enable 2-Step Verification in Google Account Security. Add a passkey or hardware key if that fits your devices and recovery plan.
- Clean up old access. In the Google Account connections controls, remove obsolete or unfamiliar apps before adding the new assistant.
- Start from the assistant’s legitimate site or app. Avoid links in unsolicited messages. Choose its Google sign-in option and confirm that the browser is showing Google’s authorization page.
- Inspect every scope. Expand Gmail and any Drive, Calendar, Contacts or other entries. Compare each action with the exact feature you want.
- Review provider disclosures. Confirm retention, human access, subprocessors, deletion and model-training terms before consent.
- Approve with OAuth, never by password sharing. If the flow asks you to send your Google password to the assistant itself, stop.
- Verify the result. Return to Google Account connection controls and confirm that the expected app appears with the access you intended.
Keep a record of the date and purpose of the connection if the assistant handles sensitive correspondence. That makes later reviews and removal decisions easier.
What to do after the assistant is connected
Review the connection periodically
Revisit Google Account’s connected-app controls after major assistant updates and at regular intervals. Confirm that the developer name and listed access still match your use. A service you stopped using should not remain authorized indefinitely.
Remove access when you stop using or trusting it
Use Google’s remove-access control for the specific connection. Google states that, after revocation, the app can no longer access account data through that connection. This stops future OAuth access; it is not a remote-wipe command.

Request deletion separately
The provider may retain copies of messages, attachments or summaries obtained before revocation. Google’s guidance says you may need to contact the third party to request deletion. Follow the provider’s deletion process and ask what will happen to backups, logs and data held by subprocessors. Revoking access alone does not prove historical data has been erased.
Google’s instructions for reviewing and removing access are available at Google Account third-party access and Google’s connected-app management guidance.
Personal accounts and Workspace accounts are governed differently
| Account type | Who controls access | What to do |
|---|---|---|
| Personal Google Account | You review and remove third-party connections in Google Account controls. | Inspect the consent screen, approve narrowly, and revoke unused apps yourself. |
| Work or school Google Workspace account | An administrator can review OAuth apps and scopes, set trust levels and block or limit access. | Ask the administrator whether the assistant is permitted and which scopes are acceptable. Do not try to bypass policy. |
Workspace administrators can inspect accessed applications and their OAuth scopes, classify apps as trusted, limited, specific-data or blocked, and restrict high-risk Gmail scopes. Google’s administrator documentation is at Control which apps access Google Workspace data. Exact controls depend on the organization’s configuration and the administrator’s privileges.

- FIDO2 & Passkey Ready: Business-ready and FIDO2 L1 certified. This key is supported by major management suites and is ideal for both individual and enterprise deployment. Works seamlessly with Gmail, Facebook, GitHub, Dropbox, Coinbase, and more.
- Dedicated Manager App: Use the Thetis Manager App for the initial hardware PIN setup. Setting the PIN on the device first ensures a smooth registration process. Once the PIN is configured, you can begin registering the key across your favorite FIDO2-compatible online services.
- Universal Connectivity (USB-C, USB-A, & NFC): Designed for PCs, Macs, iPhones, and Android. For mobile use, simply unfold the key, align it with your phone’s NFC antenna, and hold for a few seconds to authenticate.
- Enhanced MFA (FIDO2 & TOTP/HOTP): Strengthen your security with flexible options. Use the Manager App to access TOTP/HOTP features for accounts that do not yet support FIDO2.
- Check FIDO2 compatibility before purchase - Known limitations: ID Austria is not supported (requires FIDO2 Level 2). Windows Hello login only works with Windows Enterprise editions that support Entra ID. NFC is supported only through mobile authentication, Not MacOS/windows.
A user who cannot authorize an assistant on a managed account should contact the administrator. The block may be intentional, and changing personal security settings cannot override an organization policy.

Google Workspace Admin Help states that, beginning May 1, 2025, Workspace accounts no longer support less-secure apps or devices that ask for only a Google Account username and password. Google directs users toward more secure authorization such as OAuth. This date and restriction concern Workspace accounts; they should not be generalized to every consumer account or every email client.
If an assistant offers an old “basic authentication” setup, ask whether it supports Google OAuth and whether your administrator permits it. A failure at this stage can be an account-policy issue rather than a bad password. See Google’s Workspace third-party email client guidance.

Google’s published statement about Gemini in Gmail says: “Google does not train its foundational AI models, including Gemini, on your personal emails.” Google also describes Gmail access granted to Gemini as supporting isolated tasks such as summarizing a lengthy email. Those statements apply to the specific Gemini product and terms described by Google at the time of publication.
They do not establish how an independent assistant stores, reviews, trains on, shares or deletes email. Evaluate the other provider’s own disclosures instead of transferring Google’s first-party claims to it. The Gemini statement is at Google’s Gmail privacy article.
A practical decision framework for risky requests
Approve
Approve when the developer identity is clear, every scope has a feature-level explanation, the provider’s handling terms are understandable, and the requested access is proportionate to the benefit.

Pause and investigate
Pause when the assistant asks for Drive, Calendar or Contacts even though you want email-only help; requests permission to send or manage mail for a read-only feature; uses vague explanations; or provides no clear deletion process. Ask the provider for a narrower plan or technical explanation.
Decline
Decline when the flow requests your Google password, the developer does not match the service you selected, the consent screen is unexpected, or the provider cannot explain how sensitive email is retained and deleted. You can revisit the decision after obtaining reliable answers.
Common problems and recovery steps
The assistant cannot connect
Check whether you are using a Workspace account with an administrator restriction. Confirm that the assistant supports OAuth rather than an obsolete username-and-password method. Ask your administrator to review the app and scopes; do not weaken account security to force a connection.
Recommended Free Tools
The assistant asks for more access after setup
Re-read the new consent screen as a new authorization decision. Features such as sending mail or calendar-aware scheduling may require additional scopes. Approve only if you intentionally enabled that feature and the provider’s handling terms still satisfy you.
You revoked access but remain concerned
Revocation prevents further access through Google’s connection. Contact the provider to request deletion of data previously obtained, including cached copies and backups, and retain confirmation of the request.
You suspect the password was shared
Change the Google Account password immediately, review active sessions and connected apps, and ensure 2-Step Verification is enabled. Remove unfamiliar connections and follow Google’s account-recovery guidance if you see unauthorized activity.
Quick Recap
