A useful starting setup usually has a reporting period and one or two audience-relevant dimensions, with defaults that make the opening view meaningful and its scope obvious. The right fields and initial selections depend on the dashboard’s purpose, audience, and platform.
Start with what readers need to do
Before choosing controls, identify the dashboard’s job and its audience. A dashboard for monitoring current performance may need a recent reporting period; one meant to summarize an entire organization may need a broad starting view. A drill-down dashboard may need a team, region, product, or status selector if those are useful ways to investigate the numbers.

These are candidate dimensions, not a required checklist. Include a filter only when it helps readers answer a real question or take an action. Tableau’s design guidance likewise emphasizes the dashboard’s purpose and audience; its recommendation to keep a dashboard to two or three views refers to views, not a prescribed number of filters. Choose a useful default and make its scope visible
The default is the view readers see before changing anything. Choose one that answers the dashboard’s main question without hiding context that matters.

- Use a recent period when the dashboard is primarily for monitoring current performance or fresh activity.
- Use a broad or all-values view when readers need an overview of the full population before narrowing it.
- Use a focused segment only when that segment is the dashboard’s intended audience or decision context; label it so readers do not mistake it for the whole dataset.
Show the active period and selections in visible labels or controls. A default that is technically correct but hard to notice can lead readers to interpret a limited view as a complete one. Looker and Grafana support configured filter defaults, but their documentation does not establish one universally correct date window or selection. Match each control to the choice
Choose a control based on how readers should select values and how many choices they have.

Do not offer multi-select simply because the platform permits it: decide whether combining values produces a useful result. Tableau documents single- and multiple-value list and dropdown controls, sliders, relative-date choices, and options such as “Only relevant values”; available choices vary by product and version. Decide which tiles each filter affects
A control can change every tile, only selected tiles, or a particular view. Make that behavior clear in the label or layout, then test it with representative selections. If a region filter changes only some charts, readers should not be left assuming the entire dashboard reflects that region.

Looker user-defined dashboard filters can be mapped to all tiles or selected tiles. Tableau provides options for applying filters across worksheets. Consult the current documentation for the product and version you use: Looker filter guidance and Tableau filter guidance.

Show the controls readers need for the common task, and consider moving less-used options into a secondary or collapsed area where the platform supports it. Looker supports expanded or collapsed filter bars; Grafana documents controls above the dashboard, in a controls menu, or hidden. Hiding a control should not obscure the query scope: readers still need a way to understand which values are active.

Grafana’s guidance recommends a consistent dashboard strategy and documenting it. A short explanation of the default period, filter scope, or reset behavior can prevent confusion when dashboards follow the same conventions. See Grafana: Dashboard controls and Grafana dashboard best practices.

Do not use a required filter as access control
In Looker, an optional filter can be left blank, leaving results unrestricted by that field. A required filter can prevent the dashboard from running until a reader selects a value. Google cautions that requiring a filter is not a way to restrict data access; it identifies access_filter as the mechanism for that purpose. Use the equivalent security feature in other platforms rather than relying on a visible dashboard control to protect data. Google Cloud: Adding and editing user-defined dashboard filters
Check the design before publishing
- State the dashboard’s purpose and audience. Write down the main question the opening view should answer.
- Choose only useful fields. Select a reporting period and relevant dimensions only where they support the task.
- Set and label the initial view. Confirm what is included before a reader touches a filter.
- Match control behavior to the data. Verify single- versus multi-select, search, and date or range behavior.
- Test filter scope. Change each control and check which tiles update.
- Check reset and security behavior. Ensure readers can identify and clear their selections, and enforce access restrictions with platform security controls.
Product labels and capabilities change. For click-by-click setup, check the documentation for the current edition and version rather than assuming the same settings exist everywhere.
