A text-heavy team that scans two-sided paperwork should shortlist an office-class laser model with a single-pass duplex document feeder; an office that prints frequent color may prefer a refillable ink-tank machine; and a low-volume workspace should weigh compact size and upfront cost against supplies for its actual workload.
Which all-in-one printer is best for a small office?
Start with the work the printer will actually do, then compare models against it. Current review examples point to three different fits: the Brother MFC-L8930CDW and Canon Color imageCLASS MF665Cdw for office-oriented color laser printing, and the Epson EcoTank Pro ET-5850 for business users looking at refillable ink tanks. Those are candidates, not a universal ranking; choose based on scan workflow, print volume, color needs, and ongoing cost.

| Office need | What to prioritize | Evidence-led direction |
|---|---|---|
| Frequent text printing and multi-page scanning | Rated speed, ADF capacity, single-pass duplex scanning, expected workload, and toner and drum costs | Consider an office-class laser. RTINGS’ 2026 guide includes the Brother MFC-L8930CDW and Canon MF665Cdw as examples. RTINGS’ all-in-one printer guide |
| Regular color output with attention to supply costs | Ink yield and price, refill process, output quality, paper capacity, and monthly volume | Consider a refillable tank model. Tom’s Guide’s business example is the Epson EcoTank Pro ET-5850. Tom’s Guide’s all-in-one printer guide |
| Low-volume printing in a compact workspace | Footprint, purchase price, standby behavior, and features you will use | Compare compact inkjets, while calculating the consumable cost for your expected workload. ENERGY STAR describes inkjets as compact and suited to lower-volume use. ENERGY STAR’s imaging-equipment buying guide |
| Recurring two-sided documents or batch scanning | Duplex printing, ADF availability, and whether the ADF scans both sides in one pass | Confirm the exact scan method in the model specifications; duplex printing does not establish duplex scanning. |
| Photos or detailed color graphics | Tested photo and graphics quality, plus supported media | Do not select a laser solely for office speed if photo quality matters; RTINGS flags weak photo output on its Brother laser example. |
Laser or ink tank: which suits a small office?
The choice is mainly about workload and output. ENERGY STAR’s older buying guide characterizes laser all-in-ones as faster and better suited to higher volumes, while inkjets are compact and strong for image output and lower-volume use. Treat that as general guidance, not a substitute for current tests of the particular model you are considering.
Choose a laser when documents and scan workflows dominate
RTINGS’ 2026 guide reports a maximum print speed of 34 pages per minute for the Brother MFC-L8930CDW and 26 pages per minute for the Canon Color imageCLASS MF665Cdw. These are maximum figures reported by the guide, not independent timed results or a promise of the speed you will see with every file. RTINGS describes both as office-oriented color laser options and notes single-pass duplex scanning through their ADFs. It also warns that the Brother requires a separate drum replacement, an additional maintenance cost, and that laser output is weak for photos.

For another color-laser candidate, Consumer Reports’ 2026 buying guide lists the Brother MFC-L3780CDW. Its overall rating combines test results with survey data, and the guide explains its speed and annual supply-cost measures. Any approximate price or annual cost in that table belongs to its stated typical-use and scoring context; it is not necessarily a current retail price or your office’s expected bill. Consider a tank model when ongoing color printing matters
Tom’s Guide recommends the Epson EcoTank Pro ET-5850 for business use, citing refillable tanks and low ink costs. Its review reports dual 250-page cassettes, a 50-sheet ADF, and print, scan, copy, and fax functions; it characterizes the model as able to handle more than 3,000 pages per month. That is a reviewer’s model-specific assessment, not an industry benchmark or a claim that the printer is necessary for every small office. Tom’s Guide says its methodology times text, mixed text-and-graphics, and photo prints, checks output for defects, and estimates page cost from refill prices and cartridge yields. Keep photo needs separate from office speed
Laser speed may be attractive for paperwork, but it does not make a laser the right photo printer. If the office regularly produces photos or detailed graphics, compare tested image quality and media support directly rather than assuming all color all-in-ones perform alike.
What should you check before buying?
Calculate ownership cost, not just the purchase price
Estimate how many pages the office prints in a typical month and how they divide among text, color, and images. Then compare current supply prices and published yields for the exact regional model and compatible consumables. Include maintenance parts where relevant: the Brother MFC-L8930CDW’s separate drum is one example of a cost that a toner-only comparison would miss. Yield estimates and real costs depend on usage and can change with supply prices.

Match the feeder to your scanning routine
An ADF lets you load a stack of pages instead of placing each sheet individually on the glass. If you often scan two-sided originals, confirm that the feeder scans both sides automatically in one pass; a duplex-printing feature alone does not mean it can duplex-scan. TechRadar also recommends checking for automatic duplex printing, an ADF, and duplex scanning for office use, but their value depends on your workflow. TechRadar’s all-in-one printer guide
Confirm features and fit for the actual office
- Fax: Confirm it is included if the office needs it; all-in-one feature sets vary.
- Paper: Check tray capacity and supported paper sizes against the documents you handle.
- Duplex: Verify automatic two-sided printing separately from duplex scanning.
- Connectivity: Check that the printer supports the connection and network workflow your staff use.
- Footprint: Compare the installed printer’s dimensions with available desk or cabinet space.
ENERGY STAR’s older guide notes that all-in-ones can consolidate functions and save space, and that fax is increasingly not included. Its statements describe the guide’s wording, not a fresh measure of current models. ENERGY STAR’s imaging-equipment buying guide

How to narrow the shortlist
- Write down your monthly volume and document mix. Separate routine text from color graphics and photos.
- Identify scan requirements. Decide whether you need an ADF, two-sided scanning in one pass, or both.
- Pick a technology direction. Compare office-class lasers for frequent text and document handling; compare tank inkjets when regular color output and ink costs matter; consider compact inkjets for lower-volume spaces.
- Compare the exact models. Check speed claims, output tests, ADF capacity and scan method, paper capacity, fax, connectivity, and dimensions against the features you need.
- Price supplies and maintenance. Use current prices and yields for the precise model and region, then include any separate maintenance parts.
Model configurations, retail prices, stock, and consumable availability can change. Verify them with the manufacturer or retailer before purchase, and keep independent review measurements distinct from manufacturer-rated maximum speeds.
